That means attaching citations close to claims, showing when support is incomplete or contradictory, checking access when a citation opens, and distinguishing missing evidence from system failure.
What a useful document citation should let you verify
Consider the question, “When does the supplier renewal need approval, and who can approve it?” It contains two claims to establish: a deadline and an approver. Those facts may be supported by different passages—or only one may be supported at all. A single citation placed at the end of a paragraph can leave the reader unsure which source supports which assertion.
Place citations beside the claims they support. Each citation should lead to a readable source passage and retain enough provenance for the reader to identify the document and version that informed the answer. The design proposal in Byte Chap’s September 30, 2026 article treats citations as part of the assistant’s interface, not merely as references appended after generation.
Represent support claim by claim
A search result is a candidate passage, not proof that the passage supports the answer. Exact matching and semantic similarity can retrieve relevant-looking material, but the assistant still needs to inspect readable source content and assess how it relates to each claim. The proposed model gives each claim one of four distinct states:

- Sufficient: The inspected passage supports the claim being made.
- Partial: The source establishes part of the answer, but leaves a material detail unresolved.
- Conflicting: Relevant sources support incompatible versions of the claim.
- No evidence: A completed search found no usable supporting passage.
These are outcomes, not steps in a progression. Different claims in one answer can have different states. In the supplier-renewal example, the approver might be supported while the deadline remains unresolved.
Make partial support explicit
State the supported fact and the missing detail separately. For example, if a source names the approver but does not give a date, show the approver with its citation and say that the deadline was not established in the inspected material. Do not let support for one part make the whole answer appear verified.
Show conflicts instead of choosing by rank
When sources disagree, show the relevant passages and describe the discrepancy. Retrieval order or a newer upload timestamp alone does not establish which source takes precedence. Readers need to see the disagreement rather than receive a confident answer that silently selects one side.

Separate source statements from inference
A document may establish a requirement without establishing what will happen in a particular case. Keep what the source says distinct from any further inference, and cite the source statement directly. Do not make an inference look like text the document itself supports.
Preserve a stable path from claim to page
A usable citation needs more than a search chunk identifier. Chunk boundaries and identifiers can change when a system reindexes documents; readers need a human-usable route back to evidence. The proposed evidence record includes these fields:
- Evidence ID, document ID, and version ID.
- Zero-based physical page index and the page label visible to the reader.
- The relevant passage text, linked claim IDs, and a support classification.
This is a proposed structure, not a claim that every document assistant already stores these fields. If a passage was extracted with OCR, record that provenance in associated extraction metadata so a reader can distinguish extracted text from the original page image.

Use both physical position and printed page label
A citation target should identify the version actually used and navigate by physical page position while showing a readable page label. Viewer position and printed numbering can differ when a file has a cover or front matter. Keeping both values helps the reader reach the cited page without mistaking a viewer’s page count for the page number printed in the document.
Do not silently replace the cited version
If a document changes, redirecting an old citation to its newest version changes the evidence while leaving the original claim in place. Retaining versions that have been cited makes verification possible, but it also creates storage and deletion-policy trade-offs. If a cited version has been removed, say that it is unavailable rather than presenting a different version as the one originally used.

Access control must apply both when evidence is retrieved and when a reader opens its citation. Permissions can change between those actions. A preview or tooltip that still exposes cited text from a cache after access has been revoked defeats the access check at the link.

Microsoft’s Azure AI Search guidance on security filters describes a pattern that stores group or user identity strings in a filterable index field and applies a search.in filter to trim returned documents. Microsoft explicitly says the principal value is a string used by the filter and that “There’s no authentication or authorization through the security principal.” It also warns that marking a field non-retrievable is not, by itself, content obfuscation or field-level security. This is result-filtering guidance, not a substitute for authenticating users and enforcing authorization throughout the application.
Highlights over a scanned page can help readers find a passage, but their coordinates depend on extraction and display using consistent rotation, crop, and scale. If those transformations differ, a highlight may point away from the cited text; the passage and page reference should remain understandable without relying on the highlight alone.

“No supporting passage was found” should mean the search completed and found no usable evidence. It should not be used for a timeout, extraction problem, source that became unavailable, or viewer error. Those failures do not establish that the requested fact is absent.

- Completed search, no support: Say that no supporting passage was found.
- Timeout: Identify the search as incomplete and offer a retry.
- Unavailable cited version: Explain that the source could not be inspected because that version is unavailable.
- Extraction or viewer error: Report that inspection failed, rather than implying the source contains no relevant information.
Clear failure wording helps the reader decide what to do next without mistaking an application problem for a substantive answer.
Why a citation display is aid, not proof of correctness
A September 15, 2026 opinion from the U.S. District Court for the Western District of Pennsylvania describes AI-assisted legal filings with incomplete citations and hyperlinks that led to a Lexis homepage rather than legal authority. The court found violations of Federal Rule of Civil Procedure 11(b) and Pennsylvania Rule of Professional Conduct 1.1 and imposed non-monetary sanctions. This case-specific outcome is a reminder about verification, not evidence that all AI-generated citations fail or that interface design alone prevents professional errors. The court opinion recounts Judge Nora Barry Fischer telling counsel at a May 18, 2026 hearing: “whether you use Lexis, Westlaw, or any other search engine, as an attorney, you have a duty to verify citations.”
A well-designed citation can make that verification practical: it connects a particular claim to a readable passage, preserves which version was used, and makes uncertainty or access failure visible. It does not relieve the reader of judging whether the passage actually supports the claim.
What this design proposal does—and does not—establish
Byte Chap describes DocBento as a self-hosted document management application built with FastAPI and React, using PostgreSQL with pgvector or MariaDB. The article lists hybrid keyword and semantic search, document versions and previews, roles, groups, and restricted folders among its capabilities. It presents the evidence schema, claim-state model, and version-specific citation contract as design recommendations; those recommendations should not be mistaken for verified product behavior.
