Outlook supports category search, but whether you can combine categories depends on the Outlook app and the kind of search you need. First decide whether you want messages with any selected category (OR) or messages with all selected categories (AND), then check the instructions for your client. Microsoft documents a category: search operator, a category filter, Search Folders in classic Outlook, and Category search fields in Outlook for Mac—but those features are not interchangeable across every version.
Why “search multiple categories” needs a more specific answer
A message can have more than one category, so “find messages in multiple categories” can mean two different things:
- Any category (OR): return a message if it has at least one of the selected categories.
- Every category (AND): return a message only if it has all of the selected categories.
Outlook’s search controls and query behavior vary by client and search method. Identify whether you use classic Outlook for Windows, new Outlook, Outlook on the web, Outlook for Mac, or a mobile app—and check the version or build—before assuming a limitation is universal. A Microsoft Q&A question captures the frustration users report in new Outlook, but a community question is not proof that every client or build lacks the capability: Microsoft Q&A.

Try Outlook’s built-in category search
Use the search operator
Microsoft documents the category: operator. For example, category:red searches for items whose category name includes “red.” It is not documented as an exact whole-label match: Microsoft’s examples include category names such as “Red category,” “Redo,” and “Redundant.” If similar category names exist in your mailbox, review the results rather than assuming the query matches only one exact label. Choose a category from search filters
In Outlook for Microsoft 365, Outlook 2024, and Outlook 2021, Microsoft documents refining search results by choosing a category. The guide also describes search scopes such as all mailboxes, the current mailbox, the current folder, a subfolder, or all Outlook items. This is a built-in way to narrow results by a category; the documentation does not promise that the filter control supports arbitrary AND/OR combinations of multiple category values. Consult Microsoft’s search and filter instructions for the applicable Outlook client.
Save category criteria with a Search Folder in classic Outlook
If you use a classic Outlook for Windows version covered by Microsoft’s documentation—Microsoft 365, Outlook 2024, 2021, 2019, or 2016—a custom Search Folder can save criteria that include specific categories. A Search Folder is a virtual view of matching mail, not a separate copy of the messages. Confirm that your Outlook client offers Search Folders before relying on this method; the cited instructions do not establish availability in every Outlook app.

Microsoft’s Search Folder guide explains how to create one and choose criteria. Use its category criteria to build the view you need, and verify the resulting matches against the intended AND or OR logic.

Outlook for Mac: Category AQS is documented, but test your query
Microsoft’s Outlook for Mac guide lists Category as an Advanced Query Search (AQS) field and explains that AQS can combine search terms. Its examples demonstrate general AND and OR queries. That establishes Boolean search in the documented Mac search context; it does not establish that category combinations behave identically in Mac, Windows, web, new Outlook, and mobile. Developer searches are a separate case
If you are automating Outlook through its object model, do not assume that the search box and API methods have the same limitations. Microsoft describes Categories as a multi-value keywords field, but says it behaves like text when accessed programmatically, with values separated by comma and space. Microsoft also warns that Find and Restrict may not easily retrieve every item assigned a given category when multiple categories are present. This caveat applies to those developer methods, not to Outlook’s user interface as a whole. See the Outlook Categories property documentation.
Exchange eDiscovery has its own Category property and Boolean search operators. That is a specialized mailbox-search context, not a normal Outlook search-box workaround; see Microsoft’s eDiscovery query documentation.

What to verify before relying on a workaround
- Your Outlook client and version: features documented for classic Outlook or Mac should not be assumed to exist in new Outlook, web, or mobile.
- Your logic: specify whether results should match any selected category or all of them.
- Category matching: the documented
category:operator can match part of a category name, not just an exact label. - Your account and mailbox: confirm the search method returns the expected messages in the mailbox configuration you actually use.
- A known test set: check messages with one category, each individual category, and the full combination so you can spot false positives and omissions.
