Office productivity software is a category of applications for creating, organizing, analyzing, and exchanging everyday work information. Its core commonly includes word-processing, spreadsheet, and presentation tools; suites may add email, calendars, notes, databases, and collaboration features.
What the term means
Office productivity software describes what applications do, not one specific product. The European Commission defines productivity software as applications that let users create documents, databases, graphs, worksheets, presentations, and other data structures used to exchange information. The definition appears in section 3.2, paragraph 19 of its Case M.8124 decision.
In everyday use, the term most often refers to tools for writing and formatting documents, working with tabular data, and preparing presentations. These applications help people produce and handle work materials, whether they work alone or with others.

The common core
- Word processors create and format text documents.
- Spreadsheet applications organize data in rows and columns, calculate values, and create charts.
- Presentation applications arrange text, images, and other material into slides.
These functions are a practical core, not a required checklist that every office suite must meet. For example, Microsoft’s service descriptions classify Word as word-processing software, Excel as spreadsheet software, and PowerPoint as presentation software. The descriptions also assign distinct functions to other applications, as documented in Microsoft Learn’s Office applications details, last updated April 25, 2023.

Common additions
Depending on the suite, additional applications may handle email, calendars, tasks, contacts, notes, databases, desktop publishing, diagrams, or mathematical formulas. Microsoft’s descriptions, for example, classify Outlook as email, OneNote as note-taking, Access as database management, and Publisher as desktop publishing. Those are examples of possible suite components, not features found in every bundle.
Does it have to be installed on a computer?
No. Office productivity software can run on a user’s own hardware or be hosted in the cloud by a third party. The European Commission’s description explicitly recognizes both deployment types. Whether an application is installed locally or accessed through a hosted service does not change its basic function: helping people create and work with information.

How is it different from broader productivity software?
The boundaries depend on how broadly a source uses the term. A narrow use of “office productivity software” centers on documents, spreadsheets, and presentations. A broader use of “productivity software” may also cover communication and collaboration applications that help people do their jobs. Examples of office productivity suites
Examples named by TechTarget include Microsoft Office, LibreOffice, Google Workspace, Zoho Office Suite, and Apple iWork. These products illustrate the category; they are not interchangeable labels for it, and their current names or included applications can change.
The Document Foundation describes LibreOffice as free and open source, and lists Writer for word processing, Calc for spreadsheets, Impress for presentations, Draw for vector graphics and flowcharts, Base for databases, and Math for formula editing. Its LibreOffice overview shows how one suite can combine core office tools with additional functions.

If you are selecting a suite rather than just learning the definition, start with the work you need to do. Useful criteria include:

- Deployment: Decide whether you need locally installed applications, cloud-hosted access, or both.
- Compatibility: Check whether the suite works smoothly with the file formats and applications used by the people you collaborate with.
- Features and usability: Match the available functions to your work and the experience of the people who will use them.
- Budget: Compare the cost of the options that meet your requirements; do not assume every suite or component has the same pricing model.
