An authorized MP4 session recording is normally downloaded from the service where the meeting was recorded—not from the meeting chat itself. In Zoom, check the host’s cloud-recording portal or the computer that made a local recording. In Google Meet, look in the organizer’s Google Drive or the recording link. In Microsoft Teams, check the organizer’s OneDrive or the channel’s files. If there is no Download button, ask the organizer or file owner for access; do not try to bypass a restriction.
MP4 is the usual video file. Audio, chat, captions, and transcripts may be separate files. The exact location and who may download it differ by platform, host settings, and organization policy.
Before you download: confirm permission and identify the platform
Only save a recording when you are allowed to do so. A meeting invitation or view link does not automatically grant download rights. The organizer, recording owner, or administrator may control whether downloading is available, and a recording can contain confidential or personal information.
- Ask whether you may keep a local copy and how long it may be retained.
- Use the platform’s own sharing and download controls.
- If you can watch but cannot download, request a permitted copy rather than using screen-recording or access-bypass tools.
- Check available disk space. Recording size depends on resolution, frame content, and whether video or screen sharing was recorded.

Download a Zoom MP4 recording
Cloud recording
- Sign in to the Zoom web portal used by the meeting host.
- Open the recordings area and select the meeting. Cloud recordings can be viewed, shared, and downloaded there.
- Choose the video download control for the MP4 file. Zoom may also show an M4A audio file and a text chat file; download those separately if you are authorized to retain them.
- Save the file to a named folder and open it with a local media player to verify that the download completed.
If you only have a viewing link, the owner may have disabled downloads. Ask the host to enable an appropriate download permission or send you an authorized copy.

Computer (local) recording
A computer recording is written directly to the computer that performed the recording. Ask that user to locate the completed recording in Zoom’s recording folder or use Zoom’s recording-management screen, then copy the MP4 through an approved file-sharing method. A participant cannot retrieve another person’s local recording from Zoom’s cloud because it was never uploaded there.
How large is a Zoom file?
Zoom gives approximate storage figures of about 20 MB per hour for screen-sharing recording and about 200 MB per hour for video recording. These are estimates, not guarantees: Zoom notes that resolution and the type of content change the actual size.
Download a Google Meet MP4 recording
- Open the recording link from the meeting email, Calendar event, or chat, or open Google Drive for the person who organized the meeting.
- In Drive, check the Google Meet folder. Meet recordings are saved in the organizer’s Drive, not automatically in every attendee’s Drive.
- Select the MP4 and choose Download. You can also use the download command on the recording page when it is offered.
- For best results, download the recording and then play it from your computer.
Why the Meet download option may be missing
Recording may require host permission, and a Workspace administrator can control whether recording is available. File sharing settings can allow viewing without allowing downloading. Ask the organizer or Drive file owner to grant the minimum access you need or provide a permitted copy.

Google administrator guidance says that starting April 30, 2026, users in an organization with Viewer or Commenter access to new Meet recordings can copy and download them, while administrators can manage that setting. This is an organization policy change, so confirm the current rule with your Workspace administrator when a control is absent.

Download a Microsoft Teams MP4 recording
Non-channel meetings
- Open the meeting chat or recording link in Teams.
- Follow the link to the organizer’s OneDrive Recordings folder.
- Select the MP4 and choose Download if you are permitted.
Channel meetings
A channel meeting recording is stored with the channel’s files rather than in the organizer’s personal OneDrive folder. Open the relevant team and channel, select the Files tab, and locate the recording. Your ability to download still depends on the file’s permissions.
Microsoft’s support guidance states that only the meeting organizer can download a meeting recording. If you can play it but cannot download it, contact the organizer for a permitted copy or for appropriate access. Do not attempt to defeat the file’s permission settings.

Verify the downloaded MP4
- Check that the filename ends in
.mp4and that the file size is plausible for the meeting length. - Play the file from your computer, not only in the browser preview.
- Scrub near the beginning, middle, and end to detect an incomplete transfer.
- Check that the expected audio, screen share, camera feeds, and captions are present. Some services provide chat or transcript files separately.
- Keep the original filename or add the meeting date and owner so the source remains clear.
Troubleshooting missing recordings and failed downloads
The meeting or recording is not listed
Confirm that you are signed into the account associated with the meeting. For Meet and Teams, search the organizer’s storage rather than your own. For Zoom, determine whether the recording was cloud or local; a local recording will not appear in the cloud portal.
There is no Download button
The owner or administrator may have disabled downloads, or your role may be view-only. Request access or a copy through the service’s official sharing controls. On Google Workspace, an administrator policy may govern the behavior; on Teams, the organizer may be the only permitted downloader.

- Retry on a stable connection and avoid closing the browser until the transfer finishes.
- Use a computer with sufficient free storage.
- Download again from the original recording page rather than a stale browser tab.
- Ask the owner to regenerate or re-share the file if the source itself is incomplete.
The file plays without sound or expected content
Check whether the service exposed separate audio, chat, caption, or transcript files. A video MP4 may not contain every artifact from the meeting. If the recording is silent, verify that the original meeting had an active microphone source and ask the organizer to check the source files.

The file is too large to send by email
Keep the MP4 in the service’s cloud storage and share an authorized link, or use an organization-approved file-transfer system. Do not reduce quality or split the file unless the owner permits it and the recipient needs that format.

Training/2026-09-29-Topic/. - Record the source platform, organizer, meeting date, and permission owner in a text note or filename.
- Limit access to the people who need the recording.
- Set a deletion date that matches your organization’s retention policy.
- Do not upload confidential sessions to an unapproved converter or public file host.

The three services covered here document MP4 as the meeting video format. Audio, chat, captions, or transcripts may be separate artifacts.
Can I download a recording if I can watch it?

Where should I look first when someone else hosted the meeting?
