Microsoft To Do is the better starting point for personal daily tasks and Outlook-linked reminders; Planner is better for organizing work in shared plans with assignments, schedules, and progress tracking. They are not mutually exclusive: tasks assigned to you in Planner can appear in To Do, and the Tasks app in Teams brings personal and team tasks together.
The practical difference is the work each app is built around: To Do centers on your own task lists, while Planner centers on plans that can be organized and shared. The right choice depends on whether you need a personal task list or a structured view of work that involves other people.
Microsoft To Do vs Planner: What is the difference?
| Need | Microsoft To Do | Microsoft Planner |
|---|---|---|
| Main purpose | Manage individual tasks, daily priorities, and lists. | Organize work in plans, assign tasks, and track progress. |
| Typical structure | My Day, personal lists, and smart lists. | Plans containing tasks and buckets, with views such as Board, Grid, or Schedule depending on plan and license. |
| Outlook connection | Supports Outlook tasks and flagged email in compatible experiences. | Planner tasks assigned to you can appear in To Do’s Assigned to me list. |
| Working with others | Lists can be shared. | Plans support shared work, task assignment, and team progress views. |
| Advanced planning | Suited to personal task management rather than project scheduling. | Some advanced features, including dependencies and Timeline, require an eligible Premium plan. |
Microsoft’s own guidance recommends To Do for individual tasks or shared lists, and Planner for working with a team. Microsoft’s To Do vs. Planner guide and its app-selection guide describe the distinction.

- Outlook follow-up: Use flagged email and Outlook task connections when they are available in your account.
For a personal daily list without project-style views or team coordination, To Do is the simpler default. Microsoft outlines its task and Outlook connections in Plan and connect with Microsoft To Do and Manage tasks with To Do in Outlook.
When should you use Microsoft Planner?
Choose Planner when work needs to be organized as a plan rather than just recorded as a personal list. A plan can group tasks into buckets, show work in different views, assign tasks, and help a team follow progress. Planner can be used in a browser, mobile app, or Teams, depending on the available experience and account.

Premium personal plans add views and capabilities such as Timeline, People, and Goals; some templates require a Premium license. See Microsoft’s guide to managing personal tasks with Planner in Teams.
What changes between Planner Basic and Premium?
Planner’s feature set depends on the subscription. Microsoft’s comparison lists several planning and tracking capabilities as Premium, while some useful views and integrations are available in Basic. The comparison also lists task limits of 9,000 for Basic and 3,000 for Premium. Microsoft does not state a year for those limits on the cited comparison page; treat them as product limits, not performance or usage figures, and verify the current page if capacity matters to your plan.
Can you see Planner tasks in Microsoft To Do?
Yes. Microsoft says Planner tasks assigned to you can appear in To Do’s Assigned to me list, so your own assigned work can be viewed alongside personal tasks. This does not turn To Do into the full plan view: use Planner when you need the plan’s broader organization and team context. Microsoft’s Planner-task integration instructions include a rollout caveat, and direct Government Cloud users to continue using those instructions.

In Teams, the Tasks app combines personal tasks from To Do and Outlook with team tasks from Planner. Microsoft describes this aggregation in its guide to choosing Project, Planner, To Do, or Tasks in Teams.
How to choose between To Do and Planner
- Start with the work unit. If you are managing your own reminders and daily priorities, start with To Do. If you are managing a plan of related work, especially with other people, start with Planner.
- Check how much structure you need. A personal list may not need buckets, multiple views, or progress tracking. A shared plan can benefit from those features.
- Check the feature and account requirements. If you need Timeline, dependencies, milestones, or another Premium feature, verify your subscription and account eligibility in Microsoft’s current plan comparison.
- Use both when the work crosses the boundary. Keep personal tasks in To Do and use Planner for shared plans; assigned Planner tasks may surface in To Do, and Tasks in Teams can provide a combined view.
In short, To Do is the natural home for an individual’s daily task management, while Planner is the stronger fit for structured work that needs a shared plan. Neither is a universal winner: choose based on whether your work is personal or plan-based, and on the Planner features your account can access.
