For most construction firms, a useful starting point is one company-wide team for shared information and a separate team for each active project that has its own people, files, schedule, or access needs. Build each project team around recurring work, keep project records in the connected SharePoint site or the company’s designated construction platform, and use Planner for tasks with owners and due dates. Microsoft’s Manage a Project template is a starting point—not a construction-specific standard.

Start with a team structure that fits your projects

Use a company-wide team for information that should reach everyone, such as company announcements, operating guidance, and reusable resources. Create a project team for an active job when it needs a distinct membership, document set, schedule, or access boundary. This one-project, one-team approach is a practical recommendation rather than a Microsoft requirement.

A smaller firm, or one managing many small, similar jobs, may prefer fewer teams and a channel for each project. Before choosing that arrangement, consider who needs access, how many projects each person must follow, whether project files need separate ownership, how guests will participate, and how the firm will administer and close out each space. Microsoft describes the available team and channel options, but does not prescribe a construction-company structure.

Use Microsoft’s project template, then adapt its channels

Microsoft’s Manage a Project template starts with General, Announcements, Resources, and Planning. It also includes project and issue tracking Lists, Planner, OneNote, Approvals, and SharePoint Pages. These are useful building blocks, but the template is general-purpose; it does not define a standard construction workflow.

For a project team, consider organizing channels around work that repeats throughout the job rather than creating one for every conversation:

  • General: Keep the project overview, orientation notes, and links people need to find their way around.
  • Announcements: Share updates and decisions intended for the full project team.
  • Field coordination: Use for day-to-day coordination and site questions.
  • Drawings and documents: Discuss controlled project files here, but store the authoritative files in the agreed SharePoint library or construction platform.
  • Planning: Coordinate Planner tasks, milestones, and near-term work.
  • Issues and decisions: Track issues and decisions that need to remain easy to find later.

This is a suggested taxonomy based on Microsoft’s project template and construction workflow example, not an industry standard. Adjust the channel names to match the company’s delivery model and trade vocabulary.

Choose channel types by audience and access need

Microsoft describes channels as conversations organized around a topic, department, or project. The channel type determines who can participate:

  • Standard: Open to all members of the team. Use for work that belongs to the broader project group.
  • Private: Limited to a smaller audience within the team. Use only when there is a real reason that those members should not see the wider conversation.
  • Shared: Supports collaboration with people outside the host team or organization, subject to the organization’s configuration and policies.

Microsoft notes that creating a new team or private channel also creates a SharePoint site. Because channel type affects membership and connected files, choose the audience deliberately at setup and review membership as project roles change. Set local rules for guest access and approvals with the people responsible for IT and security.

Give project files and records a clear home

A connected SharePoint project site can serve as the durable information layer. Microsoft’s Project management site template includes a document library, project tracker, issue tracker, calendar, and status-report template, which the company can customize. Files added to Teams channels are stored in and sync with the corresponding SharePoint document library.

Tell staff which location holds the authoritative copy of each record. Avoid parallel file stores that can leave people unsure which version is current. Where a specialized construction platform already owns controlled drawings, submittals, correspondence, or other project records, make that ownership explicit instead of copying everything into Teams.

Use Planner for shared tasks, not as an undefined project record

Planner can help the team assign work and track due dates. Microsoft’s construction scenario shows tasks assigned to owners with due dates at project kickoff. The app offers three useful ways to review a shared plan:

  • Grid: List-oriented review of tasks.
  • Board: A Kanban-style view that groups tasks.
  • Schedule: A calendar view of tasks.

Some Planner plan options require a premium license, so confirm what the company’s Microsoft 365 licensing includes before basing a workflow on a particular capability. Decide separately where formal schedules, contractual notices, or controlled records belong; a task board should not become their accidental system of record.

Validate the field workflow on site

Microsoft’s construction guide illustrates a superintendent using Teams on mobile for notifications, site visits, project information, file review, meetings, and task planning. This is a vendor scenario, not proof that mobile access will work reliably at every site or meet a company’s safety and operating requirements.

Before making Teams the required route for critical updates, have field staff test the workflow under actual working conditions. Check device suitability, connectivity, access to the needed files, and what staff should do when the connection or app is unavailable. The cited example does not establish offline availability or guarantee performance at a particular jobsite.

Decide what Teams owns when other construction platforms are in use

Teams can sit alongside construction-specific systems rather than replace them. Microsoft’s AECOM case describes onboarding across Teams, SharePoint, Autodesk Construction Cloud, and Revizto; Autodesk also documents a Teams integration. These examples show that connections are possible, but do not establish which product should own a particular company’s records.

For each important information type, document whether the authoritative record lives in Teams, SharePoint, or a specialized platform—and whether Teams carries the file, a link, or a notification. Check integration behavior, permissions, field access, and licensing before relying on a connection for project work.

Set governance and closeout rules with the right owners

Microsoft’s product guidance does not determine a construction firm’s retention, legal-hold, contract, guest-access, document-control, or project closeout requirements. Those depend on the company’s tenant, agreements, and records obligations. Have IT or security, project controls, and records owners establish rules before rolling out a template broadly.

At minimum, agree on who can create teams, how guests are approved, who reviews membership, which locations hold authoritative records, how long project information is retained, and what happens to a team and its files at closeout. Verify applicable licensing and tenant settings as part of that decision; the exact choices are company-specific.
