Microsoft 365 Copilot is usually the better starting point when your work happens inside Word, Excel, PowerPoint, Outlook, or Teams. It is designed to sit alongside those applications and, in eligible licensed work experiences, use Microsoft Graph context. ChatGPT becomes the more suitable option when you need connected-app retrieval, cross-service analysis, or a conversational workspace that can combine Microsoft information with other sources. That advantage exists only when the required app connection, subscription, region, permissions, model, and administrator settings are available.
There is no documented universal winner for answer quality or task success. The practical choice depends on where the work is performed, which data each assistant can reach, what actions it is allowed to take, and how much setup your organization accepts.

Use Copilot for an in-app Microsoft 365 workflow. Consider ChatGPT when retrieval across services is the central requirement. For a business deployment, compare the exact tenant, plans, connector settings, permissions, and data policies rather than comparing brand names in the abstract.

Microsoft 365 Copilot: an assistant placed in Microsoft 365
Microsoft 365 Copilot is designed to work beside Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, and Teams. In eligible licensed work experiences, Microsoft describes grounding with Microsoft Graph context so the assistant can use organizational information that the signed-in user is allowed to access. The visible features depend on the Copilot experience, Microsoft 365 plan, tenant configuration, application version, capacity, and regional availability.

Microsoft Learn summarizes one Word capability as “Word: Draft, rewrite, and summarize documents.” That wording is a feature description, not a guarantee that every account has the same controls or that every generated result is correct. The important distinction is the editing surface: the user can request help while working in the Microsoft application rather than first exporting material to a separate chat.
ChatGPT: a conversational assistant with optional Microsoft connections
ChatGPT can work with Microsoft information through connected apps when the user’s subscription, region, workspace, role, model, and administrator settings permit it. The Outlook apps can retrieve supported email and calendar information and may support actions, but an action is not automatically available merely because an account can read messages. A SharePoint app can reference accessible SharePoint content and supported OneDrive for work or school content. Personal OneDrive is not supported by that SharePoint app.
That model is different from a native Word or Excel editing surface. The documented OpenAI materials establish retrieval and app connections, but they do not establish an equivalent direct Word editing workflow or a universal set of PowerPoint and Excel actions. Treat “ChatGPT can read the source” and “ChatGPT can edit the source in place” as separate questions.

Word work favors Copilot when editing is the job
If the user needs a first draft, a rewrite, or a summary while preserving the document workflow, Copilot has the clearer fit because Microsoft documents those actions in Word itself. The benefit is operational: less copying between applications and a shorter path from suggestion to edited document. You still need to review facts, citations, tone, tracked changes, and formatting before sharing.

Excel requires a distinction between analysis and workbook control
“Analyze this data” can mean two different things. A chat assistant may explain trends after receiving permitted data, while a spreadsheet assistant is expected to create formulas, alter ranges, or produce visuals in the workbook. Microsoft explicitly lists those Excel-oriented capabilities for Copilot, although access varies. The available documentation does not prove that a ChatGPT connection offers the same in-place controls, so do not assume parity from a successful data retrieval.
PowerPoint is about the deck, not only the script
Copilot’s documented presentation features target creation, summarization, and editing in PowerPoint. ChatGPT can be useful for an outline, speaker notes, or a content brief, but the cited materials do not establish that it can perform the same native deck operations. If slide design, theme fidelity, and direct revision are acceptance criteria, evaluate the actual presentation file rather than a text-only response.
Outlook comparisons depend on action permissions
Both products can be relevant to mail and calendar work, but the comparison is not simply “which chatbot writes better.” Copilot is presented inside Outlook for drafting and thread summaries. ChatGPT’s Outlook apps can retrieve supported messages and events and may perform actions when the workspace and Microsoft permissions allow them. Reading a thread, proposing a reply, sending that reply, and changing a meeting are separate permission decisions.

Neither assistant should be treated as a shortcut around Microsoft access control. Copilot’s organizational grounding follows the eligible user’s Microsoft 365 context. ChatGPT’s SharePoint app follows the user’s existing access to SharePoint and supported work or school OneDrive content. Personal OneDrive is unsupported in that app. An administrator-managed sync option is not the same as an individual connection and has narrower workspace and regional eligibility.

Teams meeting assistance needs a tenant-level check
Meeting summaries and transcripts can contain sensitive participant information. Microsoft lists these features for Teams, but availability differs by plan and environment. A Teams connection in ChatGPT’s app ecosystem does not by itself guarantee transcript or recording access. Confirm that the meeting produced a transcript, that the user can access it in Microsoft 365, and that both workspace and tenant policies permit the requested operation.
Plans, licensing, and availability
Microsoft 365 Copilot Basic and Premium
Microsoft distinguishes Basic and Premium Copilot access. Basic users may receive standard in-app Copilot features, subject to capacity and feature availability. Premium is the full add-on experience described as including priority access and deeper grounding in work data. Business and enterprise licensing prerequisites, included capabilities, and prices differ by plan and geography, so one advertised figure cannot be used as a universal comparison.

ChatGPT access variables
ChatGPT’s connected-app availability depends on subscription, region, workspace, role, model, and interface. An organization may allow one app while disabling another, or permit retrieval while blocking actions. Microsoft Entra permissions may require administrator approval, and a ChatGPT workspace administrator separately controls which actions are enabled. Verify the exact account and workspace instead of assuming that a feature documented for one deployment is present in another.
Can ChatGPT connect to Outlook or SharePoint?
Yes, in supported configurations, but connection is not automatic access. The Outlook apps can retrieve supported mailbox and calendar information, while the SharePoint app can reference permitted SharePoint and supported work or school OneDrive content. Personal OneDrive is not supported by that SharePoint app.

- Confirm eligibility. Check the ChatGPT subscription, workspace type, region, model, and interface where the Microsoft app is expected to appear.
- Check workspace controls. A ChatGPT workspace administrator may need to enable the app or its actions before users can connect it.
- Complete Microsoft authorization. Microsoft Entra permissions may require administrator approval. Granting Microsoft permissions does not automatically enable every read or write action.
- Test with least-privilege data. Use a permitted mailbox, calendar event, SharePoint site, or work OneDrive folder and verify exactly what the assistant can retrieve.
- Record the allowed operations. Document whether the connection can search, summarize, draft, send, edit, or synchronize. These are distinct capabilities.
For SharePoint, administrator-managed sync is a separate feature. The documented limits include eligible Enterprise and Edu workspaces and supported regions; do not present it as a universal connector for every ChatGPT account.
Security and governance questions to settle first
- Permission inheritance: The assistant should respect the signed-in user’s Microsoft permissions. Test a user who can access some sites and not others.
- Action boundaries: Reading an email is lower risk than sending a reply, changing a calendar event, editing a file, or synchronizing a repository. Approve each class separately.
- Tenant administration: Entra approval and Microsoft 365 policies can affect access independently of ChatGPT workspace settings.
- Data location and retention: Establish which sources may be used, how transcripts and prompts are handled under your organization’s policy, and who can audit actions.
- Personal versus organizational storage: Do not substitute personal OneDrive for supported work or school OneDrive when evaluating the SharePoint app.
- Human review: Require review for external messages, financial or personnel data, legal content, meeting records, and any generated spreadsheet formula that could change a decision.
How to run a fair hands-on comparison
Official product documentation describes features and access conditions, not a directly comparable head-to-head task-performance result. A controlled pilot is therefore more useful than a generic ranking.
- Choose representative work. Select the same types of Word documents, Excel workbooks, presentations, email threads, SharePoint files, and Teams transcripts your users handle.
- Use identical inputs. Give both assistants the same source files, instructions, language, formatting requirements, and success criteria. Do not let one tool see information the other cannot access.
- Match permissions. Use accounts with equivalent access to the same Microsoft content. Record whether each tool can only retrieve information or also edit, send, or synchronize it.
- Score factual accuracy. Check names, dates, numbers, formulas, citations, quoted passages, and claims against the source.
- Score completeness and traceability. Note omitted material, unsupported conclusions, links back to source documents, and whether a reviewer can understand where an answer came from.
- Measure editing effort. Count the manual steps needed to place a result into the final Word document, workbook, presentation, email, or meeting record.
- Measure operational behavior. Record latency, failures, throttling, file-size limits, formatting damage, and whether the assistant asks for clarification when it should.
- Check policy compliance. Confirm that prompts, retrieved data, generated outputs, and actions remain within organizational data rules.
- Repeat important tasks. Run each scenario more than once because a single successful or failed response is not a performance benchmark.
Report results by task and account configuration. Do not turn a small internal pilot into a claim that one assistant is universally better.

Decision framework by user type
Individual Microsoft 365 user
Start with Copilot if most work is performed directly in Word, Excel, PowerPoint, Outlook, or Teams and the relevant Microsoft plan is already available. The native placement can outweigh the value of a separate conversational environment.

Analyst working across several services
Consider ChatGPT when the job requires retrieving permitted Microsoft information alongside other connected sources. First confirm that the needed Microsoft apps are available in the user’s region and workspace and that administrators allow the required actions.
Small business choosing a paid plan
Compare the exact Microsoft and ChatGPT plans available to your organization, including licensing prerequisites, user limits, connector availability, and administrator controls. Avoid using a consumer price or feature list as a proxy for a business deployment.
Enterprise or education administrator
Evaluate tenant governance before user experience. Map Microsoft permissions, Entra consent, ChatGPT workspace controls, sync eligibility, regional restrictions, retention requirements, and audit processes. Pilot with representative roles rather than a single highly privileged account.
Security-sensitive team
Prefer the option whose data path, permissions, logging, and action controls your organization can document and enforce. A slightly faster draft is not a benefit if the workflow cannot meet the team’s data-handling rules.
Common mistakes that produce misleading comparisons
- Comparing chat text with in-app editing: A polished answer in a chat is not equivalent to a correctly modified Word document, workbook, or presentation.
- Assuming a connector equals full control: Retrieval, drafting, sending, editing, and synchronization can each require separate permissions.
- Ignoring the account context: Personal, business, enterprise, and education environments can expose different features.
- Using unsupported storage in a test: Personal OneDrive is not supported by the documented SharePoint app.
- Promising every Teams capability: A connection does not guarantee transcript or recording access.
- Ranking without comparable evidence: The reviewed official materials do not provide a universal task-performance benchmark.
- Quoting one price as universal: Microsoft licensing and ChatGPT availability vary by plan, geography, workspace, and eligibility.
