Microsoft 365 security is not a single product or entitlement. Every organization with cloud mailboxes receives baseline Exchange Online protection, while Defender for Office 365 adds stronger prevention and, in Plan 2, investigation and response. Endpoint, identity, cloud-app and cross-domain XDR capabilities are separate workloads whose availability depends on the exact Microsoft subscription and add-ons.
A third-party platform can fill a defined gap or fit an existing security operation, but it also can add routing, permissions, cost, false positives and another investigation console. The right comparison is therefore workload by workload: what is licensed now, what risk remains, how the proposed tool integrates, and who will operate it.
What security is included with Microsoft 365?
Microsoft documents baseline protection for all Exchange Online cloud mailboxes. That baseline is useful, but it should not be confused with a full Microsoft Defender deployment or with every control shown in Microsoft security marketing.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →| Baseline mailbox capability | What it does | Operational note |
|---|---|---|
| Anti-malware | Scans messages and attachments for malicious software. | Included for cloud mailboxes; policy tuning and incident handling remain administrative responsibilities. |
| Anti-spam and bulk-mail filtering | Identifies unwanted messages, including bulk email. | False positives still require quarantine review and user-reporting processes. |
| Anti-phishing and spoof protection | Uses message and sender signals to identify impersonation and spoofing attempts. | Advanced impersonation controls are associated with Defender for Office 365 rather than the baseline alone. |
| Outbound spam protection | Helps prevent compromised accounts from sending large volumes of spam. | Outbound limits and alerts do not replace account-compromise investigation. |
| Connection filtering | Evaluates the connecting infrastructure before normal message processing. | Mail-flow changes must preserve authentication and legitimate sender delivery. |
| Quarantine | Holds messages that require review instead of delivering them to the inbox. | Decide whether administrators, users or both can release messages and define retention rules. |
| Reporting and message trace | Provides delivery, filtering and message-path evidence. | Useful for troubleshooting and incident scoping, but not equivalent to advanced hunting. |
| Audit-log search | Records searchable administrative and user activity. | Retention and available events depend on the tenant’s licensing and configuration. |
| Zero-hour auto purge | Can remove a message after delivery when a later signal identifies it as malicious. | It limits dwell time but cannot guarantee that a recipient did not open or act on the message. |
Microsoft Learn describes this baseline as built-in security for organizations with cloud mailboxes. Microsoft also states that “no matter how many layers of email protection exist, total protection never reaches 100 percent.” That is a limitation to plan around, not a reason to assume that adding products automatically produces complete coverage.

What Defender for Office 365 adds
Defender for Office 365 is an additional email and collaboration security layer. Its plans should be compared separately from the broader Defender product family because a tenant can have one workload licensed without having the others.
| Capability area | Baseline cloud-mailbox protection | Defender for Office 365 Plan 1 | Defender for Office 365 Plan 2 |
|---|---|---|---|
| Core anti-malware, anti-spam and quarantine | Yes | Yes, with additional policy and detection layers | Yes |
| Impersonation-aware anti-phishing | Not the full advanced set | Added | Added |
| Safe Attachments | Not the full advanced service | Added for email and supported SharePoint, OneDrive and Teams content | Added |
| Safe Links | Not the full advanced service | Added | Added |
| Teams-related protection | Limited baseline controls | Additional controls | Additional controls |
| Advanced investigation and hunting | No | Not the main differentiator | Added |
| Automated investigation and response | No | Limited compared with Plan 2 | Added capabilities |
Plan 1 primarily strengthens prevention and protection for messages, links, attachments and collaboration content. Plan 2 adds post-delivery investigation, advanced hunting and automated response workflows. The exact feature list changes as Microsoft updates plans, so verify the live comparison for the tenant’s region, edition and user population before signing an order.
Prevention and response are different buying decisions
A prevention requirement asks whether a suspicious message, URL, attachment or collaboration item should be blocked or detonated before a user acts. A response requirement asks how quickly analysts can discover related activity, identify affected identities and endpoints, remove malicious content and document the incident. A plan that solves the first problem may not provide the investigation depth needed for the second.
Defender is a family of workloads, not one universal license
“Microsoft Defender” can refer to different services. Treat each workload as a separate row in the buyer’s coverage map.
| Workload | Relevant Microsoft capability | What it protects or contributes | Entitlement question |
|---|---|---|---|
| Email and collaboration | Defender for Office 365 | Exchange Online, links, attachments, collaboration content and related investigation. | Is baseline protection sufficient, or is Plan 1 or Plan 2 licensed for the affected users? |
| Endpoints | Defender for Endpoint | Endpoint telemetry, attack-surface controls, detection and response for supported devices. | Which operating systems and device populations are licensed and onboarded? |
| Identity | Defender for Identity and related identity protections | Signals from identity infrastructure and suspicious authentication or account activity. | Are the relevant identity sources covered, and are alerts connected to the response team? |
| SaaS and cloud applications | Defender for Cloud Apps | Discovery, session and activity context across supported cloud applications. | Which applications, users and session controls are included in the purchased SKU? |
| Cross-domain XDR | Defender XDR, with connected Defender workloads | Correlates alerts and activity across email, endpoints, identities and cloud apps. | Are the underlying workloads deployed well enough for cross-domain correlation to be useful? |
Cross-workload value depends on actual deployment. Buying an XDR label without onboarding endpoints, connecting identity signals or licensing the relevant email features does not create the missing telemetry. Microsoft documents native links among Defender for Endpoint, Defender for Office 365, Defender for Identity, Defender for Cloud Apps, Conditional Access and Sentinel. For example, endpoint risk can inform Conditional Access, and investigators can use related activity and identity context in one investigation flow. That integration is especially relevant to a Microsoft-centric environment, but it is not an independent efficacy comparison against every third-party product.
Check the exact Microsoft entitlement before comparing prices
Do not infer capabilities from the phrase “we have Microsoft 365.” Suites, add-ons, user eligibility rules and regional packaging differ. Build an entitlement inventory before evaluating another platform.

- Record the exact SKU and edition. Capture whether users have Microsoft 365 E3, Office 365 E3, E5, a frontline edition, a standalone Defender plan or another combination.
- Map licensed users. A control may apply to only the users assigned the qualifying license. Include shared mailboxes, privileged accounts, service accounts and contractors where the licensing terms require review.
- List add-ons and exclusions. Note Defender for Office 365 Plan 1 or Plan 2, security bundles, compliance add-ons and any no-Teams or regional variant.
- Confirm deployment, not just purchase. Check whether endpoints are onboarded, identity sources connected, cloud apps discovered and policies enabled. An unused entitlement is not operational coverage.
- Identify the remaining gap. Specify whether it is a missing prevention control, a telemetry source, a response action, a retention requirement or analyst workflow problem.
How Microsoft pricing changes the incremental-cost question
Microsoft’s displayed US pricing page accessed in 2026 lists the following annual-billing figures. They are vendor list-price snapshots, not independent market quotes, and Microsoft says agreement prices can vary.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Displayed option | Price shown | Important qualification | What the buyer is purchasing |
|---|---|---|---|
| Defender Suite | $12 per user per month, paid yearly | Requires Microsoft 365 E3 or Office 365 E3 plus Enterprise Mobility + Security E3. | A security-focused bundle; compare the specific workloads needed rather than assuming every Defender service is automatically deployed. |
| Microsoft 365 E5 | $60 per user per month, paid yearly | Displayed US configuration; agreement, geography and eligibility can change the payable price. | A broad productivity, security and compliance suite, not a security-only purchase. |
| Microsoft 365 E5 without Teams | $51.45 per user per month, paid yearly | Displayed variant; confirm availability and commercial terms for the buyer’s market. | A different suite composition, so compare included services and migration implications. |
The relevant number is the incremental cost to close a documented gap. If an organization already owns the required Microsoft licenses, adding a gateway may duplicate prevention controls. If it lacks endpoint or identity coverage, buying an email-only service will not solve that broader gap. Conversely, moving to a suite can be uneconomical when the requirement is a narrowly defined mail-flow control for a small user population.
When a third-party platform can make sense
An additional platform is most defensible when it meets a requirement that is explicit and measurable:
- An existing security operation already uses another console, response process or XDR platform and needs selected Microsoft signals there.
- The organization has a mail-flow, policy or reporting requirement that its licensed Microsoft controls do not satisfy.
- Non-Microsoft endpoints, identities or SaaS applications are central to the environment and the alternate platform has stronger operational coverage for those sources.
- A managed security provider owns a defined monitoring and response workflow around the proposed service.
- A separation-of-duties, regional or organizational requirement calls for an independently operated mail gateway.
The case is weaker when the proposal is simply “more layers.” Microsoft advises evaluating the effect of a non-Microsoft service on cost, complexity, false positives, quarantine experience and existing SecOps, SIEM and SOAR processes. A second detector can improve visibility, but it can also create duplicate alerts, conflicting verdicts and uncertainty over who is authorized to release or remediate a message.
Three ways a third-party service integrates with Microsoft 365
MX gateway routing before Exchange Online
In an MX design, inbound mail is directed to the external service first. The service filters or modifies the message and then relays it to Microsoft 365. Outbound mail can follow a corresponding route through the gateway.
Recommended Free Tools
- Strength: the external service sees mail before delivery and can apply its own gateway policies.
- Design work: update MX and connector settings, define trusted source ranges, preserve SPF, DKIM and DMARC behavior, and document failover.
- Operational risk: routing errors can delay or reject legitimate mail; authentication results and Microsoft reporting can look different from a direct-delivery design.
- Ownership question: decide whether the gateway or Microsoft quarantine is the authoritative release and investigation location.
Graph API scanning after delivery
An API model allows a service to inspect Microsoft 365 mail or alerts after delivery, without becoming the universal SMTP gateway. It can be easier to introduce without changing MX records, but it operates with post-delivery timing and depends on API permissions.

- Review whether the connector needs access to individual mailboxes, all mailboxes or selected security events.
- Use the narrowest permissions that satisfy the use case and document who approves consent.
- Measure detection-to-alert and detection-to-remediation latency; a post-delivery model is not equivalent to pre-delivery blocking.
- Confirm how the service handles deleted, quarantined, encrypted or otherwise inaccessible messages.
In-and-out routing or hybrid designs
Some organizations route selected traffic through an external service while retaining direct Microsoft processing for other flows. This can support staged deployment or different policies for departments, but it increases the number of paths to document and troubleshoot. Microsoft notes that supportability, reporting and authentication behavior differ among these methods.
Proofpoint Essentials as an MX-gateway example
Proofpoint Essentials documents an inbound and outbound Microsoft 365 mail-gateway deployment using MX routing. In that design, mail is sent through the service before reaching Microsoft 365, and outbound messages can be routed back through the gateway.
This example is useful for understanding architecture, not for declaring a winner. The documentation demonstrates a vendor-described integration path; it does not establish that the service replaces Defender for Office 365, covers endpoint or identity workloads, or performs better in an independent efficacy test. A buyer should validate message authentication, connector restrictions, quarantine ownership, fail-open or fail-closed behavior, journaling requirements and rollback before production cutover.
CrowdStrike as a cross-console telemetry example
CrowdStrike Marketplace describes a Graph API connector that brings selected Microsoft Defender for Office 365 email alerts and identity telemetry into Falcon Insight XDR. This is a different model from an MX gateway: the purpose is to place selected Microsoft signals in a security operation that already uses Falcon.
The connector can be relevant when analysts want one investigation queue or correlation layer. It does not establish full feature parity with Microsoft Defender XDR, does not imply that all Microsoft telemetry is imported, and does not prove superior detection. Confirm which event types, fields, retention periods, response actions and API permissions are supported, then decide whether analysts will investigate in Falcon, Microsoft portals or both.
Built-in Microsoft integration versus a separate platform
| Decision axis | Microsoft baseline and Defender | Third-party or hybrid approach |
|---|---|---|
| Email and collaboration coverage | Baseline mailbox protection; Plan 1 and Plan 2 add advanced controls and response depth. | May add gateway policies, another scanning engine or specialized workflow; scope depends on the product and integration method. |
| Endpoint coverage | Available through Defender for Endpoint when separately licensed and onboarded. | May already exist in an alternate endpoint platform; verify whether Microsoft and third-party agents overlap. |
| Identity coverage | Defender for Identity and related Microsoft signals can connect to Conditional Access and XDR workflows. | Can ingest selected identity telemetry, but connector scope and response actions must be checked. |
| Cloud-app coverage | Defender for Cloud Apps provides Microsoft-native discovery and activity context when entitled. | Another platform may cover non-Microsoft SaaS more naturally, but API depth varies by application. |
| Investigation | Plan 2 and connected Defender workloads support advanced investigation, hunting and correlation. | Can provide a familiar existing console, but duplicate alerts and split evidence can increase analyst time. |
| Mail flow | Direct Exchange Online processing avoids an additional gateway hop. | MX or hybrid routing adds a hop and operational dependencies; API models avoid MX changes but may be post-delivery. |
| Permissions | Uses Microsoft tenant roles and service-specific permissions. | May require broad mailbox or Graph permissions, plus external administrative roles and consent. |
| Quarantine and user experience | Can use Microsoft quarantine and reporting experiences. | May introduce another quarantine, release process, notification style and help-desk script. |
| Cost | Incremental cost depends on existing suite and add-ons. | Adds subscription, implementation, integration and ongoing administration costs; it may also duplicate licensed controls. |
How to choose for common environments
Microsoft-centric organization with limited security staff
First verify that baseline controls are configured and that the required users have the appropriate Defender for Office 365 plan. A native stack can reduce routing changes, permission reviews and console switching. Plan 2 is most relevant when the team needs advanced investigation and automated response but does not have capacity to operate a second gateway.

Organization already operating another XDR platform
Map the telemetry that analysts actually use. A connector such as the documented CrowdStrike example may be sensible if it imports the needed Microsoft alerts and identity context into the existing workflow. Keep Microsoft controls that still enforce prevention or remediation, and define which console is authoritative for each action.
Organization seeking an independent mail gateway
Evaluate an MX design such as the documented Proofpoint Essentials pattern against the specific requirement: pre-delivery inspection, policy separation, managed service ownership, regional routing or another stated need. Test authentication, quarantine, failover and reporting before changing production MX records.
Mixed estate with non-Microsoft endpoints or SaaS
Compare endpoint, identity and SaaS coverage directly rather than selecting an email product to solve a cross-domain problem. Determine which platform has the required agents or APIs, who monitors each alert source and how incidents are correlated across identities and devices.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Implementation checklist before buying or switching
- Inventory the environment. Count cloud mailboxes, shared mailboxes, endpoints, identity sources, critical SaaS applications and existing security agents.
- Document the current Microsoft licenses. Record SKU, edition, add-ons, user assignments, region and renewal terms.
- Export the current control state. Capture anti-spam, anti-phishing, Safe Links, Safe Attachments, quarantine, audit, retention, Conditional Access and endpoint-onboarding settings.
- Write the gap as an outcome. Examples include reducing malicious-link dwell time, centralizing alerts, covering a non-Microsoft endpoint population or assigning a managed provider to response.
- Model mail flow and permissions. Draw inbound, outbound and internal paths; list MX records, connectors, API scopes, service accounts, failover behavior and consent owners.
- Define analyst and user workflows. Specify where alerts are triaged, where messages are released, who contacts users and which system records the incident.
- Run a controlled pilot. Use a representative group, safe test messages and normal business traffic. Measure false positives, delivery delay, alert duplication, quarantine usability and remediation time in the buyer’s own environment.
- Plan rollback. Keep documented DNS, connector, policy and permission changes so the organization can return to the prior configuration without losing evidence.
- Recalculate total operating cost. Include licenses, gateway traffic, implementation, analyst time, managed-service fees, training, help-desk workload and renewal changes.
Common pitfalls and how to correct them
Assuming every Microsoft 365 tenant has the same Defender features
Correction: verify the named SKU, add-ons, eligible users and live plan comparison. Treat undocumented or unavailable capabilities as not covered until confirmed.
Calling a mail gateway an XDR platform
Correction: separate email and collaboration prevention from endpoint, identity, cloud-app and cross-domain investigation. Require evidence for each workload in the decision matrix.

Granting broad Graph access without a permission review
Correction: document every permission, limit mailbox scope where possible, set an approval and review date, and remove consent when the integration is retired.
Ignoring authentication and reporting effects of routing
Correction: test SPF, DKIM, DMARC alignment, message trace, sender allow-lists, journaling and failure behavior with real business senders before migration.
Comparing list prices as if they were equivalent products
Correction: compare the incremental cost and included scope. Microsoft 365 E5 combines productivity, security and compliance; Defender Suite is security-focused and has prerequisites. A third-party quote may omit implementation, users, retention or managed operations.

Interpreting vendor integration documentation as efficacy evidence
Correction: treat integration pages as architecture evidence. The reviewed material does not provide a controlled independent comparison or named efficacy statistic across vendors, so validate detection and workflow outcomes in the organization’s own pilot.
Final decision checklist
- Have you listed every workload that must be protected: email and collaboration, endpoints, identities, SaaS applications and cross-domain investigations?
- Have you verified the exact Microsoft subscription, add-ons, users, region and deployment state?
- Is the requirement prevention, investigation and response, or both?
- Would MX routing, Graph API access or a hybrid path change authentication, reporting, permissions or supportability?
- Who owns quarantine release, alert triage, remediation, user communication and evidence retention?
- Will a third-party product duplicate controls that are already licensed, or close a documented gap?
- Can the proposed configuration be piloted and measured without changing the whole tenant at once?
- Does the total cost include licenses, implementation, analyst time, false-positive handling and ongoing administration?
The practical answer to “Do I need a third-party email security platform for Microsoft 365?” is conditional. Baseline protection exists for cloud mailboxes, and Defender for Office 365 can add advanced prevention and response when the right plan is licensed. A third-party service is justified when it closes a specific coverage or operating-model gap and its integration costs are understood. Choose the combination that matches the workloads and staff you actually have, not the product label with the broadest feature list.
