Short answer: You can use Word, Excel and PowerPoint for free in a browser with a Microsoft account, and those files are saved in 5 GB of OneDrive storage. Microsoft 365 Personal is worth paying for when you need installed Windows or Mac apps, dependable offline editing, Outlook or OneNote desktop, 1 TB of OneDrive, support, or the subscription tier’s higher Copilot allowances.
If your work is mostly short documents, simple spreadsheets, basic presentations and browser collaboration, the free tier may be enough. If you need the full desktop experience or routinely work without an internet connection, Personal supplies capabilities the free web apps do not.
Free Office web apps and Microsoft 365 Personal at a glance
The free option is a browser-based version of three familiar Office programs. Microsoft 365 Personal is a subscription for one person that combines those web apps with installable desktop software, substantially more cloud storage and additional services.
| Capability | Free Office web apps | Microsoft 365 Personal |
|---|---|---|
| Word, Excel and PowerPoint | Browser versions | Browser versions plus desktop versions |
| Outlook and OneNote desktop apps | Not included in Microsoft’s free comparison row | Included |
| Access and Publisher | Not available | Desktop versions for PC only |
| OneDrive storage | 5 GB | 1 TB |
| Users | 1 | 1 |
| Device use | Browser access | Sign in on five devices at once; use on PCs, Macs, phones and tablets |
| Offline desktop work | No desktop installation | Available after installation and activation |
| Technical support | None in the comparison table | Included |
| AI and Copilot | Free-level availability varies | Higher usage and Copilot in supported apps; limits and availability vary |
The practical dividing line is not whether you can open a document. Both options let you work with Microsoft’s core formats. It is whether you need locally installed applications, offline operation, a larger storage allowance or the additional desktop programs.

What you get for free
Browser Word, Excel and PowerPoint
A free Microsoft account gives you the web versions of Word, Excel and PowerPoint. Microsoft describes the free tier plainly: only the free web versions of those three applications are available. You open them in a supported browser rather than installing the full desktop suite.
The web apps are suitable for writing letters and reports, making straightforward calculations, editing ordinary worksheets, preparing basic slides and collaborating on files shared through the browser. They are a sensible choice when your documents do not depend on advanced desktop-only features and you can remain connected while working.
Automatic saving to OneDrive
Free users receive 5 GB of OneDrive storage. Documents created in the web apps are automatically saved there, so the files are available from the account’s browser session and other signed-in devices. That automatic cloud location is convenient, but 5 GB can become restrictive if you keep many large presentations, photographs or other files alongside Office documents.

The free account does not provide a desktop Office installation. It also does not include desktop Access or Publisher, and Microsoft’s comparison table lists no technical support for the free option. You can still use a browser on a computer, phone or tablet, but you do not get the installed Windows or Mac applications that can continue working when the connection disappears.
What Microsoft 365 Personal adds
Installed apps for PC and Mac
Personal includes desktop versions of Word, Excel, PowerPoint and Outlook that you can install on a PC or Mac. OneNote is also included as a desktop app. The subscription therefore covers both ways of working: browser versions for quick access and installed programs for a fuller feature set and local performance.
Microsoft also lists Access and Publisher desktop versions for PC only. Those programs are not part of the free web-app option. If you use a Mac, Personal still provides the listed Word, Excel, PowerPoint, Outlook and OneNote apps, but the Access and Publisher entitlement is Windows-specific.
One terabyte of OneDrive
Personal raises the storage allowance from 5 GB to 1 TB for the individual subscriber. That capacity can hold a much larger working library and gives the desktop OneDrive client room to synchronize files between the computer and the cloud. Storage is often the deciding factor for people who keep years of documents, large slide decks or other personal files in OneDrive rather than moving them to separate storage.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsFive-device sign-in and cross-device use
The plan is for one person, not a household or a team. That person can be signed in on five devices at once, with support for PCs, Macs, phones and tablets. The allowance is about the subscriber’s active sign-ins; it does not turn Personal into a multi-user family license.

- [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.
- [Classic Office Apps] — Includes Word, Excel, PowerPoint, Outlook and OneNote.
- [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.
Support, updates and security features
Microsoft lists support, updates and security features with Personal. The installed applications continue receiving the subscription’s ongoing updates, rather than remaining at the feature level of a one-time Office purchase. The free comparison row does not include technical support.
Copilot and other AI features
Personal includes Copilot in supported apps and a higher paid-tier allowance than the free level, but AI availability is not uniform. Microsoft says features and usage limits vary by plan, region, device and language. Treat Copilot as a qualifying benefit rather than an unlimited capability: check the feature shown for your account and location before subscribing specifically for AI.
How offline work differs
Using the free apps
The free Word, Excel and PowerPoint web apps run online in a browser. You need an internet connection to open and edit files in that web environment. If you lose connectivity, the free option does not give you a locally installed Office application as a fallback.
Using Personal’s desktop apps
After you install and activate the desktop applications, Microsoft says ordinary use does not require the computer to stay online. This is the important distinction for travel, unreliable connections, restricted networks and workplaces where browser access is interrupted.
Internet access is still required for the first installation and activation, for updates, for subscription management and for OneDrive access. If you install the OneDrive desktop synchronization client, files that have already been synchronized can be available locally, while cloud-only files still require a connection. Offline capability is therefore a feature of the installed apps, not a promise that every cloud file is always present on the device.
Which features matter in real work?
Documents
Free Word in a browser handles everyday writing and editing. Personal’s desktop Word is the better fit when you rely on installed templates, advanced layout work, local add-ins, extensive document automation or a workflow that must continue on a plane or in a dead zone. The free version remains practical for occasional letters, school assignments and shared documents that do not need those desktop-dependent tools.
Spreadsheets
Free Excel is appropriate for simple budgets, lists, basic formulas and collaborative edits. Personal gives you the installed Excel application for workbooks that need more extensive desktop functionality, local files and offline editing. The correct choice depends on the workbook itself, not merely on how often you use a spreadsheet: a small browser table may be fine, while a large or specialized workbook can justify the desktop program.

PowerPoint for the web covers basic slide creation and edits from a browser. Personal adds the desktop application for more involved presentation production and for editing when the internet is unavailable. If you mainly review or make a few uncomplicated slides, the free version can meet that need; if presenting is a regular part of your work, the installed app provides a more dependable environment.

Price and commitment
Microsoft’s US Store page checked on October 16, 2026 lists Microsoft 365 Personal at $99.99 per year or $9.99 per month. These are a US snapshot and can change by region, tax, promotion or billing date, so confirm the checkout amount before paying.
| Option | Price shown in the US snapshot | Payment model | What it is for |
|---|---|---|---|
| Free Office web apps | Free | No Microsoft 365 subscription | Browser Word, Excel and PowerPoint with 5 GB of OneDrive |
| Microsoft 365 Personal | $99.99 per year or $9.99 per month | Subscription | Desktop and web apps, 1 TB OneDrive, support, updates and eligible Copilot features for one person |
| Office Home 2024 | $179.99 | One-time purchase | Classic desktop Word, Excel, PowerPoint, Outlook and OneNote for one PC or Mac |
The subscription’s recurring billing is the trade-off for ongoing updates, cloud storage and services. Office Home 2024 avoids a recurring charge, but Microsoft says a one-time purchase does not include the subscription’s continuing feature upgrades.
Choose the free tier when these conditions fit
- You mainly write short documents, edit simple spreadsheets or make basic presentations.
- You are comfortable working in a browser and can maintain an internet connection.
- You collaborate through shared online files rather than depending on desktop-only tools.
- 5 GB of OneDrive is enough for your documents and other stored files.
- You do not need installed Outlook, OneNote, Access or Publisher.
- You do not need Microsoft’s paid-tier Copilot allowance.
For this pattern, paying for Personal would mostly buy capabilities you may not use. Create or open the file in the web app, let OneDrive save it automatically and keep the account’s storage within its allowance.
Choose Personal when one of these needs is decisive
- You need Word, Excel or PowerPoint installed on a PC or Mac.
- You must edit documents while offline after the initial installation and activation.
- You need Outlook or OneNote as desktop applications.
- You require Access or Publisher on a Windows PC.
- Your files and synced content will exceed the free 5 GB allowance, or you want 1 TB of OneDrive space.
- You want one person signed in on up to five devices.
- You want the paid plan’s support, updates, security features or higher Copilot usage in supported apps.
These are capability-based reasons to subscribe. They are stronger than a vague expectation that a paid plan will make every document look different: the core question is whether you need the installed software, storage or services listed above.
How to start with the free web apps
- Create or sign in to a Microsoft account.
- Open the Microsoft 365 web app launcher in a browser and choose Word, Excel or PowerPoint.
- Start a blank file or open an existing document stored in OneDrive.
- Edit in the browser and allow the web app to save the document to OneDrive automatically.
- Monitor the 5 GB OneDrive allowance before uploading large files or moving an extensive archive into the account.
This route requires no desktop installation. It is the quickest way to test whether browser editing covers your actual workload before committing to a subscription.
How to move to Personal
- Purchase Microsoft 365 Personal through Microsoft’s current checkout for your region, confirming the displayed price and renewal terms.
- Sign in with the Microsoft account that will own the subscription.
- Download the Microsoft 365 installer for your PC or Mac from the account’s services or subscription area.
- Run the installer, then open an included application such as Word and sign in to activate it.
- Install the OneDrive desktop client if you want synchronized folders, and choose carefully which folders should be stored locally.
- Keep the applications online long enough to receive updates and periodically sign in so subscription status can be verified.
The first installation and activation need internet access. Once activated, ordinary editing in the desktop apps can continue offline, while cloud retrieval, synchronization, updates and subscription administration still depend on connectivity.

One-time purchase alternative: Office Home 2024
Office Home 2024 is the relevant alternative for someone who wants classic desktop applications but dislikes recurring billing. Microsoft lists it at $179.99 as a one-time purchase for one PC or Mac and includes desktop Word, Excel, PowerPoint, Outlook and OneNote.

- What’s Included: Installation Disc in a protective sleeve; the serial key is printed on a label inside the sleeve. For Windows PC only
- Essential Office Suite: WordPerfect for word processing, Quattro Pro for building spreadsheets, Presentations for creating slideshows, and WordPerfect Lightning for digital note‑taking
- Seamless File Compatibility: Open, edit, and share more than 60 familiar file types—including Microsoft Office formats (Word DOC/DOCX, Excel XLS/XLSX, and PowerPoint PPT/PPTX)
- Creative Content: Includes 900+ TrueType fonts, 10,000+ clip art images, 300+ templates, 175+ digital photos, WordPerfect Address Book, Presentations Graphics (bitmap editor and drawing application), and WordPerfect XML Project Designer
- Reveal Codes: Turn on Reveal Codes to edit the codes and adjust formatting and structure
That purchase changes the ownership model, not the storage model: it does not provide the 1 TB OneDrive allowance associated with Personal, and Microsoft says it does not include the subscription’s ongoing feature upgrades. It can make sense when you plan to keep one computer for years, need the listed desktop programs and prefer a single upfront payment. It is less suitable if you value continuing feature updates, large integrated cloud storage or use across several devices.
Storage-focused alternatives
If your main problem is cloud capacity rather than desktop software, Microsoft points to OneDrive Standalone or Microsoft 365 Basic. Basic is listed with 100 GB of storage, compared with 5 GB on the free tier. These options address storage and email-related needs without automatically giving you the full desktop-app bundle of Personal.
Choose a storage-focused plan only after separating two questions: how much cloud space you need and whether you need installed Office applications. Paying for storage will not, by itself, turn the free web apps into the Personal desktop suite.

“Word is free, so Personal adds nothing.”
Free Word is real, but it is the web version. Personal adds the installed PC and Mac application, offline use after activation, 1 TB of storage and additional desktop programs. The distinction is between access to a browser editor and access to the broader desktop-and-cloud package.
“The subscription is for five people.”
Personal is for one person. The five-device statement means that one subscriber can be signed in on five devices at once; it is not a five-user license.
“Offline means every OneDrive file is available.”
Offline editing applies to installed apps and files that are available on the device. Cloud-only content still needs a connection, and synchronization must complete before you disconnect.
“Copilot works identically everywhere.”
Microsoft says AI features and limits vary by plan, region, device and language. A feature shown for one account or country may not have the same availability or allowance elsewhere. Check the current details for your account before making AI the sole reason to subscribe.

“The prices are universal.”
The listed $99.99 annual, $9.99 monthly and $179.99 one-time figures are US prices checked October 16, 2026. Regional pricing, taxes, currency conversion and future changes can produce a different checkout total.
A practical decision test
- List the applications you actually need. If Word, Excel and PowerPoint in a browser cover the list, start free. Add Personal if Outlook, OneNote, Access or Publisher desktop is required.
- Mark your offline situations. If you need to edit during travel or outages, the free web-only setup is the wrong fit; Personal or a one-time desktop purchase is more appropriate.
- Estimate storage. Stay free if 5 GB is comfortable. Consider Personal for 1 TB, or Basic/OneDrive Standalone when storage is the only missing capability.
- Check device patterns. Personal supports one subscriber on five devices at once. If several people need their own entitlement, Personal is not the appropriate license.
- Decide whether updates matter. Personal includes subscription updates; Office Home 2024 is a fixed one-time purchase without those ongoing feature upgrades.
- Verify current terms. Recheck price, regional availability, Copilot limits and renewal details at checkout because those details can change.
Bottom line
Use the free Office web apps when browser editing, online collaboration and 5 GB of OneDrive meet your needs. Buy Microsoft 365 Personal when offline desktop work, installed Word/Excel/PowerPoint, Outlook or OneNote, Windows Access or Publisher, 1 TB of storage, support or the paid Copilot allowance solves a problem you actually have. Office Home 2024 is the non-subscription path for classic desktop apps, while Microsoft 365 Basic or OneDrive Standalone are better aligned with a storage-first requirement.
