Sharing Microsoft 365 Copilot does not mean sharing the Copilot entitlement or the files behind a conversation. A Copilot session or response link shows a snapshot of the chat; recipients do not automatically receive access to referenced files, email, meetings or other Microsoft 365 data. On Microsoft 365 Family and Premium, the included AI features belong only to the subscription owner. If a personal subscription expires, shared users stay in the family group but lose subscription benefits, desktop Office becomes view/print-only, and OneDrive returns to the free storage allowance. Work and school accounts follow their organization’s licenses and policies instead.
“Sharing” can mean four different things
Before deciding whether another person can use Copilot, identify what is actually being shared. These actions have different permission results:

What a Copilot conversation link actually shares
It is a snapshot, not a data-access pass
Microsoft’s sharing documentation states: “Sharing a Copilot session or response doesn’t give recipients access to files, emails, chats, meetings, or other Microsoft 365 content referenced in the conversation. Existing Microsoft 365 permissions still apply.” In practical terms, the link exposes the conversation text that was shared, not the underlying Microsoft 365 objects.

Continuing a shared session creates a separate copy
When a recipient continues a shared session, Copilot creates a separate conversation in that person’s chat history. Their follow-up questions and resulting answers are not a live continuation inside the sender’s original chat. This separation matters when a recipient adds new information: changes in one copy do not grant the other person access to newly referenced content.
Administrators can disable new sharing links
In the Microsoft Copilot app and Microsoft 365 apps, an administrator can disable Copilot sharing. If the setting is disabled, users cannot create new session or response links. A recipient who already continued a session retains that separate conversation; disabling link creation does not merge or delete the recipient’s copy.
Organizations should therefore treat a shared link as content that may be visible outside the original chat, while relying on Microsoft 365 permissions to protect the underlying records. If a link should no longer circulate, remove or restrict the original files and other data through their normal Microsoft 365 permission controls; changing a Copilot link setting is not a substitute for revoking file access.

The included AI benefit belongs to the subscription owner
No. Microsoft’s consumer support FAQ says: “AI features in Word, Excel, PowerPoint, Outlook and Designer included in Microsoft 365 Family and Premium plans are only available to the subscription owner and cannot be shared with others.” Family members may be added to the subscription and receive the plan’s other sharing benefits, but that does not transfer the owner’s included Copilot features.

This is separate from sharing a Copilot chat. A family member might be able to read a session link you send, subject to the information in that snapshot, without being entitled to use the owner’s in-app AI features. Conversely, adding someone to the family group does not give that person access to your Copilot history, private email, files or meetings.
Private data remains account-specific
Microsoft 365 subscription sharing does not make each person’s private data visible to the rest of the family group. Each person signs in with their own Microsoft account, and access to OneDrive files, Outlook mail and other personal content remains governed by that account’s permissions. Use explicit file or folder sharing when another person genuinely needs the original document, rather than assuming that a Copilot summary gives them a usable copy.
What a family member needs for their own Copilot access
A person who needs the AI features in the Microsoft 365 apps must use an account and plan that independently provides that entitlement. The Family or Premium owner cannot make the owner-only benefit available simply by adding the person to the family group or forwarding a conversation link. Microsoft can change plan features over time, so check the current plan description for the account that will actually use Copilot.
What happens when a personal Microsoft 365 subscription expires?
Benefits continue until the stated expiry date
Turning off recurring billing is not the same as ending the subscription immediately. The subscriber and shared users can continue using the subscription benefits until the expiry date shown in the Microsoft account. Plan the transition from that date, not from the day recurring billing was disabled.

Family membership remains, but subscription benefits stop
After a consumer subscription expires, shared users remain in the Microsoft Family group. The group relationship itself is not automatically removed, but the subscription benefits end and accounts revert to the free state. Any Copilot capability that depended on the paid subscription is no longer available through that expired entitlement.
Desktop Office apps become view-and-print only
Microsoft’s expiry guidance says the desktop Office applications become view/print-only after the subscription ends until a subscription is restored. You can open and print existing documents, but editing and creating new content in the desktop apps require an active qualifying license. This change is separate from whether the documents are still stored in OneDrive.
OneDrive files are not deleted immediately
Existing OneDrive files remain intact at the moment a personal subscription expires. The important change is the storage allowance: Microsoft says the account returns to the free 5 GB quota. Check the account’s actual storage usage and status, because a library that was within the paid allowance may now be over quota.

The three- and six-month points are conditional support timelines, not a promise that deletion occurs on a precise day. Microsoft’s wording is “may” and “might,” so do not use the grace period as a backup strategy. Download or move important files, reduce storage below the free allowance, or restore a qualifying subscription before account actions occur.

What to do before the expiry date
- Sign in to the Microsoft account that owns the subscription and note the exact expiry date.
- Open OneDrive storage details and compare current usage with the 5 GB post-expiry allowance.
- Download essential files or move them to storage you control if usage exceeds that allowance.
- Check shared folders and make sure collaborators have their own copies or continuing permission where needed.
- Confirm which desktop Office documents must remain editable and arrange a separate qualifying license if necessary.
- If the subscription was cancelled accidentally, restore it before the displayed expiry date rather than waiting for benefits to disappear.
How personal and work or school Copilot access differ
Personal Microsoft accounts
The consumer rules above apply to personal Microsoft accounts using Microsoft 365 Family or Premium. The subscription owner’s included AI entitlement is owner-only, and expiry affects the owner and shared users according to Microsoft’s consumer support guidance.
Work and school Entra accounts
Organizations use a different licensing path. Copilot access for a work or school account depends on the organization’s Microsoft 365 plan, the Copilot license assigned to the user and the permissions configured by administrators. Do not apply the consumer Family expiry sequence to a company or school tenant.
Microsoft distinguishes Copilot Chat access from a Microsoft 365 Copilot license. Copilot Chat without a Microsoft 365 Copilot license cannot access the user’s shared enterprise data, individual data or external information indexed by Microsoft Graph connectors. The exact capabilities depend on the organization’s configuration and the account’s assigned license.
What to verify with an administrator
- Which Copilot product and license is assigned to your work or school account.
- Whether your organization permits Copilot session or response sharing.
- Which SharePoint, OneDrive, Teams and Outlook permissions apply to the content discussed in a chat.
- What retention, suspension and deletion rules apply if the organization removes a license or closes the account.
The consumer support timelines for a 5 GB allowance, a three-month freeze and possible six-month deletion are not established as universal rules for organizational tenants. Ask your Microsoft 365 administrator for the tenant’s policy and retention terms before assuming that a work or school account will behave like a personal account.

Common scenarios and the correct answer
“Can my spouse use my Copilot because they are in my Family plan?”
Not through your owner-only AI entitlement. They can remain in the family group and may receive other subscription benefits, but the Copilot features included in your Family or Premium plan are not shareable. They need an account and plan that independently provides the feature.
“Can someone open the file that Copilot summarized for me?”
Only if that person already has permission to the file. The Copilot link shares the conversation snapshot, not the file’s access rights. Share the file through its normal Microsoft 365 sharing controls when the original document is needed.
“I switched off renewal. Did access end today?”
No. Benefits continue until the expiry date displayed in the account. The billing choice changes future renewal, not the remaining paid term.
“Will Microsoft delete my OneDrive files as soon as the subscription expires?”
No immediate deletion is stated. Files remain intact at expiry, but the allowance returns to 5 GB. If the account stays over quota, uploads and syncing can be affected; Microsoft says OneDrive may be frozen after three months and might be deleted after six months. Treat those as warnings to act, not as guaranteed deadlines.
“Does a shared Copilot link let a coworker search my mailbox?”
No. The recipient sees what the shared snapshot contains. Mailbox and other Microsoft 365 permissions continue to control access to the underlying information.
