Microsoft 365 is not automatically an independent, all-workload backup. Microsoft provides service resiliency and recovery features, and its separately configured Microsoft 365 Backup service protects selected SharePoint sites, OneDrive accounts and Exchange Online mailboxes. Coverage, recovery points and retention are fixed within the native service: Exchange Online has a documented 10-minute recovery-point objective (RPO); OneDrive and SharePoint have 10-minute points for the most recent two weeks and weekly points from two through 52 weeks; backup data is retained for one year.
You should consider an independent Microsoft 365 backup service when your organization needs retention beyond one year, a separate administrative or storage boundary, Teams chat protection, different restore or export workflows, or governance controls that the native service does not provide. The right decision starts with a workload, retention, recovery and compliance map—not with the assumption that cloud hosting equals a separate backup.
Microsoft 365 backup and Microsoft 365 resiliency are different things
Microsoft operates the Microsoft 365 service with redundancy and platform-recovery mechanisms. Those measures are designed to keep the service available and recover it from infrastructure failures. They do not automatically give your organization an independently controlled historical copy of every item, nor do they satisfy every retention or recovery requirement.
Microsoft 365 Backup is a separate service that an administrator must configure. It uses protection policies for specific workloads, with one policy set for SharePoint, another for OneDrive and another for Exchange Online. Each policy can cover all eligible accounts or sites, or a selected set. If a site, account or mailbox is not included in the relevant policy, it is outside that backup scope.

This distinction matters during incidents such as accidental deletion, ransomware, a compromised administrator account, a failed migration or a legal request for historical data. A resilient production service can continue operating while your organization still lacks the retention period, isolation or restore destination needed to recover from that event.
What Microsoft 365 Backup protects
SharePoint sites
A SharePoint protection policy can include all sites or selected sites. Content in those protected sites is versioned at the service’s documented recovery cadence and can be recovered within the available retention window. The policy scope must be reviewed whenever sites are created, renamed, archived or transferred between business units; a policy that covers a selected list does not automatically prove that future sites are included.
OneDrive accounts
OneDrive accounts can likewise be protected through an administrator-created policy. Decide whether the policy covers every eligible account or only named accounts, such as employees handling regulated records or executives whose files are business-critical. Offboarding, account deletion and ownership changes deserve special attention because the recovery window is governed by the backup service rather than by a user’s normal recycle-bin experience.
Exchange Online mailboxes
Exchange Online mailboxes are protected under their own policy. Microsoft documents a 10-minute RPO for Exchange Online. An RPO is a service objective describing how much recent change might be absent from the latest recoverable point; it is not a promise that every message can be restored instantly or to any destination you choose.
Teams files, but not Teams chats
Teams coverage is narrower than many organizations expect. Files shared in a Teams channel are stored in the SharePoint site associated with that team. Those files are backed up only when the associated SharePoint site is included in the SharePoint protection policy.

Teams chats and other content held on Teams servers are not currently protected by Microsoft 365 Backup. A policy that protects the channel’s SharePoint files therefore does not make one-to-one chats, group chats or other Teams-server data recoverable. If chat history is a business record, confirm that any independent service explicitly supports it rather than inferring coverage from the word “Teams.”
Recovery points: what the published RPOs actually mean
| Workload | Documented recovery-point pattern | How to interpret it |
|---|---|---|
| Exchange Online | 10-minute RPO | Recent recoverable changes are targeted at a 10-minute interval; this is an objective, not a guarantee of an individual restore’s completion time. |
| OneDrive | 10-minute points for the trailing two weeks, then one-week points from two through 52 weeks | Fine-grained recent recovery gives way to weekly historical points as the data ages. |
| SharePoint | 10-minute points for the trailing two weeks, then one-week points from two through 52 weeks | The same recent-versus-historical pattern applies to protected sites. |
Microsoft specifically cautions that “a backup frequency of 10 minutes” does not mean a snapshot is taken every ten minutes. Changed items are saved as new versions at the target frequency, while deletions are backed up. In practice, a recovery point represents the versions captured by the service, not a full, frozen copy of the entire tenant made on a stopwatch.
Before relying on an RPO, translate it into an incident question: if a user overwrites a document at 9:07, which version would your team expect to recover at 9:15? If a mailbox is compromised and messages are deleted over several hours, how will investigators identify the last trustworthy point? The published interval helps answer the first question, but restore search, permissions and operator speed determine how quickly you can act.
Retention, deletion and the offboarding grace period
One year from change or snapshot
Microsoft 365 Backup retains backup data for one year from the time an item changed or a snapshot was taken. That is a rolling service limit, not an unlimited archive. A file that has not changed does not thereby acquire an indefinite historical chain, and an old recovery point eventually falls outside the one-year window.
Retention is separate from Purview policies
Backup recovery is isolated from Microsoft Purview retention and deletion policies. Purview settings do not extend the backup window, and changing a Purview policy does not shorten or lengthen the backup recovery period. Treat the two systems as separate controls: Purview can support records, compliance and discovery requirements, while Microsoft 365 Backup supplies its own defined recovery history.

90-day recovery grace after offboarding
Microsoft describes a fixed 90-day recovery grace period after offboarding. This matters when a subscription, tenant relationship or user population is being shut down. It is a post-offboarding safety period, not a replacement for an archive or a long-term legal hold. If you must preserve information for several years, plan that requirement before the one-year backup period and the 90-day grace period expire.

Append-only backup storage
Microsoft describes backup storage as append-only: existing restore-point data cannot be modified by the service. Deletion is controlled through separate defenses, including the post-offboarding recovery grace period and notifications to multiple administrators. Append-only behavior reduces the risk that a normal service operation silently rewrites an old restore point, but it does not remove the need to protect administrator identities, review alerts and test who can initiate recovery.
What Microsoft 365 Backup does not replace
- Complete workload coverage: the native service does not automatically protect every Microsoft 365 workload, and Teams chats are not currently covered.
- Indefinite retention: the documented backup period is one year, with a separate 90-day post-offboarding recovery grace period.
- Independent administration: the service is configured and operated by your administrators, so a compromised identity or poorly governed role can still affect your recovery process.
- Restore testing: documented RPOs do not prove that your staff can find the right version, restore it to the required destination or verify permissions and sharing afterward.
- Compliance by itself: backup retention is not automatically a legal hold, records schedule or data-residency solution. Those requirements need explicit design and verification.
Microsoft’s own FAQ summarizes the shared-responsibility point: “No, we still have the same point of view, but are now offering more tools to help organizations achieve those goals and responsibilities.” In other words, adding a native backup capability does not transfer every data-protection responsibility to Microsoft.
How to configure and operate the native service
The exact labels and availability can vary by tenant and administrator role, so use the Microsoft 365 administration experience’s Microsoft 365 Backup setup area and verify the settings shown for your tenant. The operational sequence is:
- Inventory the data: list SharePoint sites, OneDrive accounts and Exchange Online mailboxes that must be recoverable. Identify Teams channels whose files depend on protected SharePoint sites.
- Choose policy scope: create a separate policy for each workload and choose all eligible locations or a defined selection. Record exclusions and the owner responsible for reviewing them.
- Read the fixed settings: confirm the displayed recovery cadence and one-year retention. These settings are not a menu of arbitrary frequencies and durations that you can tune to any value.
- Enable and monitor: save the policies, watch for configuration or protection errors and establish an alert-review routine. A policy that was created but never monitored is not an effective control.
- Run a controlled restore: select representative files, a mailbox scenario and a SharePoint site scenario. Verify the recovered content, timestamps, versions, permissions and sharing links in a safe destination.
- Document the runbook: record who approves recovery, who performs it, how compromised accounts are contained and how restored data is checked for malware or unauthorized changes.
- Review lifecycle events: revisit scope when people leave, sites are archived, domains change or the tenant is being offboarded. Confirm that the 90-day grace period is included in the shutdown plan.
When a third-party Microsoft 365 backup service is justified
An independent service is warranted when a requirement is material and the native scope or controls cannot meet it. “Third-party” is not automatically synonymous with a different storage architecture: Microsoft documents that partner applications can be built on Microsoft 365 Backup Storage. Evaluate the provider’s actual implementation, administrative boundaries and storage controls.

Retention longer than one year
Tax records, contractual obligations, litigation preservation and internal governance may require multiple years of recoverability. If that is your requirement, compare the provider’s retention model, legal-hold behavior, deletion process and pricing over the full period. Do not assume that a product advertising “long retention” keeps every version forever; ask how unchanged items, deleted users and expired licenses are handled.
Separation from the production tenant
A separate provider account, administrator domain or storage location can reduce dependence on the same tenant’s administrators and control plane. This is a design criterion, not a guarantee. Verify whether provider staff can access content, whether your administrators use separate credentials, how privileged actions are approved and whether an attacker who controls the Microsoft 365 tenant could also delete the backup.
Broader workload coverage
If Teams chats or another unsupported workload is essential, require an explicit statement of support and the precise data types covered. Ask whether chat messages, attachments, reactions, edits, retention metadata and deleted conversations are all included. “Teams support” without a workload definition is not enough.
Different restore and export workflows
Organizations vary in how they recover. Compare item-level, mailbox-level, site-level and tenant-wide recovery; search and filtering; restore to the original location versus an alternate location; export formats; preservation of permissions and metadata; and the time required for a large recovery. A service can have a strong RPO yet be operationally unsuitable if it cannot produce the restore destination or export format your incident plan requires.

Native versus independent backup: a decision framework
| Decision axis | Native Microsoft 365 Backup | Questions for an independent service |
|---|---|---|
| Workloads | SharePoint sites, OneDrive accounts and Exchange Online mailboxes under separate policies; Teams channel files only through protected SharePoint sites; Teams chats not currently protected. | Which Microsoft 365 workloads and data types are explicitly included, especially Teams chats and attachments? |
| Retention | One year from item change or snapshot, with a 90-day post-offboarding recovery grace period. | Can retention exceed one year, support legal holds and preserve deleted users or tenants? |
| Recovery points | Exchange Online: 10-minute RPO. OneDrive and SharePoint: 10-minute points for two weeks, then weekly points through week 52. | What are the actual schedules by workload, and are they objectives, snapshots or version-capture targets? |
| Isolation | Append-only storage with deletion defenses and multi-admin notifications, operated through the Microsoft 365 administration model. | Is storage and administration separated from the production tenant, and which identities can delete or alter policies? |
| Restore and export | Validate the restore scope and destinations available in your tenant before relying on them. | Can you restore individual items, whole mailboxes, sites or a tenant, and export usable data with metadata? |
| Governance | Backup recovery is separate from Purview retention and deletion policies. | Which regions, keys, audit logs, access approvals and deletion guarantees are offered? |
| Cost | Microsoft listed Backup data storage at $0.15 per GB per month as of July 31, 2024. | Calculate recurring storage, protected-user or workload fees, restore charges, minimums and support costs using your own data volume. |
Cost and sizing considerations
Microsoft listed a price of $0.15 per GB per month for Backup data storage, stated as of July 31, 2024. Treat that figure as a dated published price, not a universal quote for every country, contract or future billing schedule. Confirm the current rate, currency, taxes, billing meter and whether restore operations or other services incur separate charges.
For a fair comparison, estimate protected data rather than simply multiplying the number of licensed users. Include SharePoint versions, OneDrive files, mailbox data, deleted content retained in backup, growth, and any duplicate or transformed copies. Then model at least three scenarios: normal growth, a large deletion or ransomware event, and a tenant offboarding or legal-hold period. An inexpensive per-user plan may cost more than storage-based pricing for a small number of users with large sites, while storage pricing can become harder to predict in a rapidly growing tenant.
Common mistakes and how to avoid them
Assuming all Microsoft 365 data is covered
Correct the assumption by maintaining a workload matrix. Mark each workload as protected natively, protected only through another service, or not protected. Keep Teams chats in a separate row so their absence is visible.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Reading “10 minutes” as a snapshot promise
Use the documented RPO language and test the versions that actually appear in a restore. Changed items are saved as new versions at the target frequency; Microsoft is not taking a complete tenant snapshot every ten minutes.
Using Purview retention as a backup substitute
Keep compliance and backup designs separate. Purview settings do not extend or shorten Microsoft 365 Backup recovery, so map the required legal or governance duration to a control that actually provides it.
Ignoring identity compromise
Protect administrator accounts with strong authentication, least privilege, separate recovery roles and monitored notifications. A backup that shares every privileged identity with production may be exposed in the same incident.
Never performing a restore drill
Schedule drills for a single file, a deleted mailbox, a SharePoint site and a broader incident. Measure discovery time, approval time, transfer time, metadata fidelity and user access after recovery. Record failures and update the runbook instead of treating a successful policy status as proof of recoverability.

- List every required workload, including Teams chats and attachments if applicable.
- Set the minimum retention period for ordinary recovery, legal hold and offboarding separately.
- Define the maximum tolerable data loss for each workload and compare it with the stated RPO.
- Specify acceptable restore destinations, export formats and metadata requirements.
- Require documented tenant, account or storage isolation if independence is a business requirement.
- Verify geography, encryption, key management, audit logs, delegated administration and deletion controls.
- Ask how the service handles a compromised Microsoft 365 administrator and an expired or terminated subscription.
- Calculate total cost per protected GB or user, including growth, restores, support and minimum commitments.
- Run a proof-of-recovery with representative data before signing a long-term contract.
Bottom line
Microsoft 365 Backup is useful native protection, but it is deliberately bounded: separate policies cover SharePoint, OneDrive and Exchange Online; Teams channel files are protected only through their SharePoint sites; Teams chats are not currently covered; recovery points and one-year retention are fixed; and a 90-day post-offboarding grace period applies. Keep the native service when that scope, retention and operational model meet your requirements. Add an independent service when you need longer history, stronger separation, unsupported workload coverage, different restore or export paths, or governance controls that you can verify only outside the native configuration.
