Managed IT services are ongoing, contracted technology operations or support delivered by an outside provider. A managed service provider (MSP) may administer infrastructure, applications, networks, user support, cloud systems, or cybersecurity—but there is no standard bundle. Before signing, define exactly what the provider will manage, how service will be measured, what access it will receive, and what your business remains responsible for.

What are managed IT services?

Managed IT services are technology services that an external provider delivers, operates, or manages for a customer through an ongoing contractual relationship. The provider is commonly called a managed service provider, or MSP. Work may be delivered at the customer’s premises, in a provider-hosted environment, or across both.

There is no universally accepted definition or required package. A joint government advisory quotes the UK Department for Digital, Culture, Media and Sport’s definition of an MSP as “A supplier that delivers a portfolio of IT services to business customers via ongoing support and active administration, all of which are typically underpinned by a Service Level Agreement.” The advisory explains that service portfolios and operating arrangements vary. A 2025 UK government market study uses its own operational criteria: services supplied to another organization, ongoing management support, active administration or monitoring of IT systems, infrastructure, applications or networks, and network access. Its expanded market taxonomy also includes areas such as system integration, business-process outsourcing, and IT support for operational technology. What does a managed service provider do?

An MSP takes responsibility for agreed technology work on a continuing basis. The precise duties depend on the contract; a provider’s general service list is not proof that a particular task is included.

Common areas of service

  • End-user support: help desk, troubleshooting, device setup, and user account assistance.
  • Infrastructure and networks: server and endpoint administration, network monitoring, maintenance, and configuration.
  • Cloud and applications: cloud administration, application support, and coordination with other technology vendors.
  • Maintenance and recovery: patching, backups, and recovery assistance. Confirm whether the provider performs restoration tests and what recovery targets apply.
  • Security: monitoring or other cybersecurity tasks, if expressly included. Some organizations use a separate managed security service provider (MSSP) for specialist security coverage.

These are examples, not an assumed MSP package. For every task, identify the systems, users, devices, and locations covered, as well as exclusions and any separate charges.

How should you choose a managed IT service provider?

Begin with the outcomes your business needs, then test whether a provider can deliver them under clear responsibilities and workable service commitments. NIST’s small-business guidance recommends defining cybersecurity outcomes, checking relevant experience and customer feedback, getting quotes from multiple providers, and assessing fit for industry-specific legal, regulatory, or contractual requirements. Compare providers on the same questions

  • Scope: Which named systems, users, devices, and locations are covered? What work is excluded?
  • Service commitments: What support hours and channels are available? What do response targets mean, how are escalations handled, and is onsite support included?
  • Routine operations: Who handles monitoring, patching, account administration, endpoint support, backups, and restoration tests?
  • Security coverage: Which security operations are included, and which require an MSSP or another specialist?
  • Incident coordination: Who makes incident decisions, sets recovery priorities, notifies affected customers, and coordinates with regulators or insurers?
  • Business fit: Does the provider have relevant experience, references, capacity to scale, and familiarity with your industry’s obligations?
  • Commercial terms: What are the onboarding charges, variable fees, contract term, renewal provisions, and exit or transition requirements?

Ask each provider to quote against the same written specification, including user and device counts, hours, service levels, assumptions, exclusions, and one-time costs. A monthly figure without those details is not a useful like-for-like comparison.

How should you govern an MSP’s access to your systems?

An MSP may need privileged accounts or remote-management tools to do its work. That access creates risk: an attacker who compromises a provider may be able to use the provider’s connection as a route into customer networks, potentially affecting more than one customer. The joint government advisory recommends security measures including multifactor authentication (MFA) for MSP accounts that access customer environments, disabling unused accounts, clear contractual ownership of security duties, and retaining important logs.

  • Require MFA for provider access and define how accounts are approved and removed.
  • Disable unused accounts, including those left behind when personnel or subcontractors change.
  • Specify which party owns each security task and how the parties coordinate during an incident.
  • Agree what access and activity logs are retained and how the customer can review relevant records.
  • Document the remote-management tools and privileged accounts the provider will use.

Outsourcing IT or cybersecurity work does not transfer the business’s accountability for its systems and data. NIST puts it plainly: “You are ultimately responsible for protecting your systems and data.” That makes access governance and a clear division of duties part of the service decision, not just technical details.

What should be in a managed services agreement?

A formal agreement should turn broad promises into specific, verifiable responsibilities. NIST recommends documenting service level, responsibilities, and expectations. Include the following details where they apply:

  • Covered scope: systems, applications, users, locations, devices, service hours, support channels, included tasks, and exclusions.
  • Service levels: response targets, escalation routes, reporting, and any remedies. Distinguish response from resolution commitments.
  • Security responsibilities: account and tool access, MFA, account removal, logging, patch and vulnerability duties, and incident coordination.
  • Backup and recovery: who operates backups, what restoration work is included, and how recovery priorities are decided.
  • Commercial and exit terms: onboarding and variable charges, contract term and renewal, subcontracting, data return, documentation, and transition assistance.

Make responsibility boundaries explicit, especially if you retain internal IT staff or use another specialist. A co-managed arrangement and a fully outsourced service are not interchangeable: the agreement should say which party owns each operational decision and task.

How much do managed IT services cost?

There is no verified, comparable 2026 price range established here, so a single monthly figure would be misleading. Costs depend on the local market and the contracted scope, including the number of users and devices, service hours, security and backup coverage, response commitments, onboarding, and exclusions. Request multiple quotes using one common specification, as NIST recommends, and compare what each provider actually commits to deliver.

For market context—not as a measure of global provider availability—the UK Department for Science, Innovation and Technology’s 2025 commissioned study estimated 12,867 MSPs actively operating in the UK as of March 2025. In that study, 57% of identified UK MSP companies were classified as diversified and 43% as dedicated. The study defines dedicated providers as having at least 75% of employment or revenue attributed to managed services; diversified providers fall below that threshold. These figures apply to the study’s UK market and definitions, not to all providers worldwide or to 2026.

What is the difference between an MSP and an MSSP?

An MSP manages agreed IT operations or support, which may include some cybersecurity work. An MSSP specializes in managed security services. The labels alone do not establish what a provider actually does: security monitoring, incident response, and other duties should be listed explicitly in the relevant agreement, including who coordinates with the organization’s MSP and internal staff.
