The best live chat greeting reflects why the customer is there, who—or what—is answering, and what will happen next. A visitor who has just opened a support chat needs a different opening from someone browsing a pricing page, waiting in a queue, or messaging after hours. Use the examples below as adaptable starting points, and make every promise about staffing, timing, language, or handoff match what your team can actually provide.

What makes a live chat greeting useful?

A greeting is the customer’s first interaction with your support organization. It sets the tone, but it also needs to orient the customer: who is responding, what they can ask, and what happens next. A warm sentence followed by a clear question is usually more useful than a long introduction or a generic “How may we assist you?”

  • Sound natural and respectful. Match your brand’s tone without sounding stiff or overly familiar. Avoid stock phrases such as “Dear customer.”
  • Identify the responder when it helps. An agent’s name and team can clarify who owns the conversation. If the message is automated, do not imply that a person is already replying.
  • Ask for the next useful detail. Use an open question for a general request, or ask a focused clarification when the customer has already described a problem.
  • Set expectations honestly. Say whether chat is live, queued, or offline, and give a wait estimate or support-hours condition only when it is accurate.
  • Personalize with reliable information. Use a customer’s name or history only when the system has identified it confidently. A wrong name or an assumption about intent can make a greeting feel intrusive.

Reusable greetings and canned responses can save time, but they should remain editable. Replace every bracketed placeholder, account for what the visitor has already said, and remove any offer or promise your team cannot fulfill.

1. A customer starts a support chat

“Hi [Name], thanks for contacting [Company]. I’m [Agent] from [Team]. What can I help you with today?”

Use this when an agent is available to take ownership of a newly opened conversation. If the system has not reliably identified the person, omit the name rather than guessing.

2. A customer reports a specific problem

“Hi [Name], I can help with [issue]. Could you tell me what happened just before you noticed it?”

Refer to the issue the customer actually described, then ask for context that will move troubleshooting forward. Do not make them repeat information already included in their message.

3. A new visitor is browsing the site

“Welcome to [Company]. Are you looking for something in particular, or can I answer a question?”

This is a proactive invitation, not a reply to a customer-initiated support request. Keep it low-pressure so a visitor can continue browsing without being made to feel that they must engage.

4. A visitor is looking at a product or pricing page

“Hi! I’m here if you have questions about

. What would you like to know?”

Page context can make an invitation more relevant, but it does not prove the visitor intends to buy. Ask what they need instead of assuming they want a sales pitch.

5. A returning customer visits

“Welcome back, [Name]. What can we help you with today?”

Use a returning-visitor greeting only when the system can reliably recognize the person. Do not surface sensitive account or conversation details in an opening that could appear on a shared device.

6. A customer is at checkout

“Hi! Having trouble with checkout or have a question about your order? I’m happy to help.”

Offer help relevant to checkout, and keep the wording within the support your team can provide. If order-specific assistance requires verification, explain that after the customer responds rather than inviting them to send sensitive payment details in chat.

7. Agents are busy and the customer is entering a queue

“Thanks for your message. Our team is helping other customers right now. Please leave your question here, and we’ll reply [accurate timeframe or business-hours condition].”

This tells the customer their message has reached the team without suggesting an agent is immediately available. Give a timeframe only if it reflects current staffing and workload; otherwise state when the team next handles messages.

8. Live chat is closed

“Thanks for reaching out to [Company]. Live chat is currently offline. Leave your question here, and our team will respond during [accurate support hours]. You can also check [help center] for common answers.”

Make clear that the customer is leaving a message rather than starting a live conversation. Replace the hours and help-center destination with current, working details.

9. The conversation is in a supported language

“Bonjour. Est-ce que je peux vous aider?”

Use a language-specific opening only if your team or workflow can support the conversation in that language. A translated welcome followed by no ability to respond in that language sets a misleading expectation.

10. An automated greeting can offer self-service or a person

“Hi there. I can help with common questions or connect you with our team. What do you need help with?”

Make the choices real: the automation should be able to handle the advertised questions or route the customer to a human. Explain what happens after the customer asks for a person, including any queue or availability condition.

How to adapt templates without making them feel canned

  1. Choose the trigger deliberately. Decide whether the message appears after a customer opens chat, on a particular page, after a wait, when chat is closed, or when a returning visitor is recognized. A proactive page greeting and a reply to an incoming request are different interactions.
  2. Write for the actual responder. If an agent is present, name the agent or team if useful. If a bot responds first, describe its role plainly and do not imply a human is already working on the conversation.
  3. Ask one clear question. A single open question or a short choice helps the customer respond. Avoid stacking several questions into the first message.
  4. Check every operational detail. Confirm the displayed hours, queue status, response estimate, available language, help-center link, and human-transfer path against the service the customer will receive.
  5. Personalize only with relevant context. Use the page or issue the customer has actually indicated. Avoid using a name, purchase assumption, or prior-history detail that may be wrong or unexpectedly exposed.
  6. Review the whole path after the greeting. Make sure replies, self-service, queue handling, and escalation follow through on what the opening offered. Start with a simple workflow and refine it as real customer conversations reveal friction.

Common greeting mistakes to avoid

  • Claiming an agent is available when the customer is queued. Say that the team is busy or that the message has been received.
  • Promising a reply time the team cannot meet. Use a reliable estimate or state the next relevant support-hours window.
  • Asking customers to repeat themselves. Read the initial message and use the greeting to request only missing details.
  • Making automation sound human. Identify the automated assistant and be specific about the kinds of help or transfer it can provide.
  • Over-personalizing from uncertain data. Leave out a name or history reference when identification is not reliable.
  • Sending an irrelevant proactive prompt. A page-based greeting should fit the page and should not presume that browsing means buying.
  • Leaving placeholders or stale details in a live message. Check names, hours, links, and operational promises before enabling a template.
