A knowledge management system (KMS) helps an organization capture, organize, find, and share knowledge. It is not the whole knowledge-management practice: people still need to create trustworthy content, assign owners, control access, review material, and retire what is out of date. The right system depends on who needs the knowledge, what form it takes, and how people use it.

What is a knowledge management system?

A KMS is technology used to make organizational knowledge available for work. Depending on the job, that may mean a searchable collection of wiki pages, governed documents, support articles, or structured records. Common elements include a repository, organized content, search, publishing controls, and a way to update material over time. Zendesk’s guide to knowledge management, updated July 23, 2026, describes these as common system elements.

Knowledge management is broader than the software. It includes the people and processes that determine what knowledge matters, who can publish it, how it is checked, and when it should be revised or removed. Microsoft’s SharePoint maturity scenario describes governance practices such as taxonomy, access control, retention, and content lifecycle management. A product can enable these practices, but purchasing it does not establish them.

Examples of knowledge management systems by job

“KMS” covers several overlapping kinds of software. A company wiki, a document repository, and a customer help center can all help people find knowledge, but they organize and deliver it differently. Start with the work the system must support rather than the category label.

These examples are not a ranking. Platforms can combine pages, documents, search, permissions, and workflows, and the exact features available can depend on the product plan. Compare the workflows and entitlements that matter to your organization.

1. Atlassian Confluence: internal wiki and collaborative documentation

Confluence is an example of a shared workspace for pages and team documentation. Atlassian documents pages, templates, organization, search, and revision history, as well as content permissions, analytics, integrations, and plan-specific capabilities. Its relationship with Jira is relevant for teams maintaining project or technical knowledge alongside work tracking.

It suits teams that need to create and maintain shared internal documentation. Before choosing it, check which capabilities your intended use requires and which are included in the applicable plan. The available evidence does not establish a neutral, current price comparison.

2. Microsoft SharePoint: organizational documents and policies

SharePoint is an example for organizations that need to organize and govern internal documents, policies, and team content. Microsoft Learn also lists SharePoint among sources that can be connected for specific agent knowledge workflows, alongside sources such as OneDrive, Salesforce, ServiceNow, Confluence, and Jira. That list describes source connectivity for those workflows; it does not mean every source or capability is available in every configuration.

SharePoint is a natural fit when controlled organizational content is central to the task. Its usefulness depends on how the organization structures content, manages access, and maintains lifecycle controls—not simply on having a repository.

3. ServiceNow knowledge bases: knowledge in service workflows

ServiceNow documents knowledge bases for service-management content. This is a useful example when employees or customers need information as part of a service interaction. Unlike a general-purpose wiki, the central question is often how knowledge supports case handling and service delivery.

ServiceNow also describes document management as a centralized, digital-filing-cabinet-style use and distinguishes content management as extending basic document storage to additional content types and publishing needs. These labels describe different jobs; they should not be treated as equivalent to a service knowledge base.

4. Zendesk knowledge base: support articles and self-service

Zendesk’s knowledge-management guide covers both internal support knowledge and customer-facing self-service. This makes it an example to consider when support agents need usable answers and customers need help content. Assess whether the content and publishing workflow serve both audiences or require separate access and governance arrangements.

5. Document management: controlled files

A document management system is suited to knowledge kept in files such as policies and handbooks, especially when controlled storage and retrieval are the primary need. ServiceNow describes this use as a centralized digital filing cabinet. If teams also need collaborative articles, FAQs, or case-linked troubleshooting, file management alone may not cover the whole workflow.

6. Content management: publishing beyond documents

Content management extends basic document storage to other content types and publishing requirements, according to ServiceNow’s overview. It is relevant when an organization must create, organize, and publish more than controlled files. Determine which types of content and publishing steps are actually required; the broad category name alone does not establish a particular feature set.

7. Databases: structured knowledge

A database is useful when knowledge is best represented as structured records that can be indexed, interacted with, and analyzed. ServiceNow notes that databases can require implementation and maintenance expertise. A database is not a drop-in replacement for a wiki or help center: it serves a different content shape and typically needs a deliberate data model and operating capability.

How to choose a knowledge management system

  1. Name the audience and the decisions they need to make. Identify whether the users are employees looking up policies, engineers maintaining technical documentation, support agents resolving cases, customers seeking self-service, or several groups. Different audiences may need different publishing and access paths.
  2. Define the knowledge and its shape. List whether the material is long-form pages, controlled files, FAQs, troubleshooting steps, structured records, or a mix. This helps distinguish a wiki or help center from document management or a database.
  3. Test whether people can find trusted answers. Try likely search terms and synonyms, check how hierarchy and metadata work, and use clear page titles. Microsoft notes that descriptive SharePoint titles can help an agent select relevant content in agent workflows. Search quality depends on content organization as well as the search feature.
  4. Check governance and trust controls. Establish who owns each content area and how permissions, review dates, version history, approval, retention, archiving, and retirement will work. Confluence documentation describes permissions and version history; Microsoft’s SharePoint maturity scenario addresses taxonomy, role-based access, records management, retention, and lifecycle controls.
  5. Fit the system to tools people already use. Consider connections to ticketing, collaboration, document, identity, and line-of-business systems. Microsoft lists SharePoint, ServiceNow, Confluence, and Jira among connected knowledge sources for specific agent workflows. Atlassian documents the Confluence/Jira relationship. Confirm that the integrations support the actual workflow you need.
  6. Plan adoption and ongoing maintenance. Pilot a bounded content area, test the work with representative users, assign content owners, and provide training. ServiceNow advises matching the tool to user skill and rolling out in phases. A pilot can expose confusing structures and ownership gaps before they spread across a larger repository.
  7. Compare total cost and controls using current vendor terms. Check plan limits, security, data residency, support, usage limits, and migration costs directly with vendors. A neutral, current pricing comparison is not established here, so no best-value claim is warranted.

What to compare in a shortlist

Once the use case is clear, compare the same work across candidate systems. Record the relevant evidence rather than relying on broad labels such as “knowledge platform.” Plan entitlements and prices can change, so use current vendor terms for any purchase decision.

A useful KMS needs a dependable operating model. Assign owners to content areas, define who may publish or approve material, and set a review rhythm appropriate to how quickly the information changes. Make outdated information easy to identify and provide an archive or retirement path. Establish permissions and retention rules before sensitive or regulated content is broadly shared.

Begin with a bounded collection that has real users and clear ownership. Observe whether people can locate and trust the answers they need, then improve its titles, taxonomy, permissions, and maintenance process before expanding. This addresses a common mismatch: a system may store content successfully while users still cannot tell what is current, authoritative, or intended for them.
