To keep a shipping quote accurate, save the shipment details and rating context that produced it, identify whether the result is an estimate or a binding offer, and request a fresh quote whenever a material detail or pricing condition changes. A provider’s displayed rate is not automatically the final charge: for example, ShipStation warns that estimates may omit insurance and other carrier fees, while DHL Freight describes its Price Quote API result as indicative and non-binding.

Why can the final shipping charge differ from the estimate?

A rate estimate reflects the information and pricing context available when it was requested. The carrier or rating provider may invoice a different amount if shipment details were wrong or incomplete, surcharges or tariffs changed, or the shipment departed from the standards or price zones used in the calculation. DHL Freight’s 2026 R01 Product Manual describes its Price Quote result as an indicative, non-binding estimate based on shipment details and currently valid tariffs, surcharges, and processes; it says final invoicing can differ. Scope also matters. ShipStation says its estimate may not include insurance, fuel surcharges, customs charges, or other carrier fees. Check the provider’s description of what the returned amount covers before displaying it as a customer-facing total. What information should you save with a quote?

Keep enough information to explain and, where possible, reproduce the result. The exact request fields vary by provider and shipment type; this is a practical record, not a universal API schema.

Record Why it matters
Origin and destination Route affects service availability and rating. ShipStation recommends origin and destination postal codes for rate estimates.
Package count, weight, and dimensions These describe what is being rated. ShipStation recommends supplying weight and says dimensions are recommended for better estimates. Use measured shipment values rather than guesses.
Shipment date and selected carrier or service These identify the intended movement and service-level comparison. Kuehne+Nagel’s LTL RateQuote V2 request documentation includes shipment date and route details.
Freight-specific details, when applicable For LTL, preserve freight class, pieces, and requested accessorial services. Kuehne+Nagel lists these alongside account and pricing data, weight, dimensions, and route in its request details.
Rate source and pricing context Record the carrier or API identity and version, and tariff or contract context when available. Providers do not share one universal versioning schema; DHL, for example, documents prices against currently valid tariffs and surcharges.
Quote time, response, and warnings A timestamp and saved response—including any itemized breakdown or warnings—help distinguish an old estimate from a current one and explain what the provider returned.

For parcel shipments, do not assume that every estimate endpoint supports every package arrangement. ShipStation documents that its rate estimate does not support multi-package shipments or rate_options filtering. If those capabilities matter, confirm the relevant endpoint’s coverage before relying on its result. ShipStation: Rate Shopping

How do accessorials and dimensions affect a freight quote?

Use actual weight and dimensions

Weight and dimensions help describe the shipment being rated; missing or inaccurate values can make the estimate a poor match for the shipment ultimately tendered. ShipStation recommends weight and recommends dimensions for better rate estimates. A scale can help capture weight, but it does not replace measuring package dimensions. ShipStation: Estimate a Rate

Include the services the shipment actually needs

LTL accessorials can affect the quoted price. ShipStation lists liftgate service, inside pickup or delivery, appointment delivery, notification, and terminal hold as examples of accessorials priced into its freight quote. If an accessorial changes after quoting, ShipStation says to obtain fresh quotes and book a new offer rather than treating the old quote as valid for the changed shipment. ShipStation: Freight (LTL)

When should you request a new quote?

Refresh the estimate when the request no longer describes the shipment or the pricing context you intend to use. In practice, that means requesting a new rate after changing route, package count, weight, dimensions, shipment date, carrier or service, LTL class or pieces, or accessorials. Also refresh when the rate source indicates its tariff, surcharge, or other pricing context has changed. Compare like-for-like service levels and verify that fee inclusions are consistent; otherwise, two displayed rates may not represent the same shipment cost.

Dynamic requirements matter in purchase workflows, too. Amazon Shipping warns that additional required input fields can change as customs and regulatory rules change, and recommends not caching or hardcoding those fields for future shipment purchases. Before using a rate API for checkout, comparison, or freight operations, check whether its coverage and data match the workflow:

  • Shipment coverage: Confirm whether it handles parcel or LTL, single or multiple packages, and the domestic or international routes you need.
  • Required inputs: Check support for route, weight, dimensions, shipment date, freight class, pieces, accessorials, account pricing, and any shipment-specific fields.
  • Price scope: Determine whether the response includes base transportation, additional services, fuel or other surcharges, insurance, duties or taxes, and currency. Do not assume an unmentioned charge is included.
  • Data stability: Review API versioning, response-schema changes, and how current tariff or contract pricing is. Support for dynamic required fields can matter when customs or regulatory rules change.
  • Quote status: Establish whether the response is an estimate, indicative price, or binding offer, and what conditions can change the invoiced amount.
  • Operational fit: Consider whether the approach can compare the services you need and preserve enough request and response data to explain a historical quote.

A practical checklist before showing a rate

  • Confirm the saved shipment inputs match the shipment being quoted.
  • Include relevant accessorials and provider-specific required fields.
  • Record the rate source, available version or tariff context, quote timestamp, and returned breakdown or warnings.
  • Check documented endpoint limits and identify fees the estimate may omit.
  • Label a non-binding result as an estimate and refresh it after material changes.
  • Compare rates only when service levels and fee inclusions are comparable.
