To reduce a PDF’s size without visibly damaging its images, choose settings for the document’s actual destination, then adjust downsampling and compression separately. A screen-only PDF commonly starts around 72–150 ppi with stronger compression, while a print PDF commonly starts near 300 ppi with low compression. These are Adobe’s starting recommendations, not guarantees: the right result depends on placed image size, content, printer, and viewing conditions.

What resolution means inside a PDF

Resolution in a PDF is the number of image pixels available per physical inch at the image’s placed size. It is usually discussed as pixels per inch (ppi), although printer specifications use dots per inch (dpi). They are related but not interchangeable.

A 2400 × 1600-pixel photograph placed 8 inches wide has an effective resolution of 300 ppi (2400 ÷ 8). Place the same file 16 inches wide and its effective resolution falls to 150 ppi. The source file’s pixel dimensions alone therefore do not tell you the PDF’s final resolution.

Export settings can downsample an image before embedding it. Downsampling combines or selects pixels to reach a target resolution; compression then encodes the pixels that remain. Treat these as two different controls.

Why higher resolution can increase PDF size

Retaining more pixels gives the PDF more image data to encode. Adobe notes that higher resolution can increase both file size and processing time. The effect is not fixed: a detailed photograph, a flat-color illustration and a scanned page compress differently.

Adobe specifically warns that saving a monochrome image above 1500 dpi increases file size without noticeable image-quality improvement in its guidance. That is a recommendation for the documented workflow, not a universal limit for every scanner or archival standard.

Compression also changes size. Lossy JPEG or JPEG 2000 settings discard information to save space; repeated editing and export can make those losses visible. Lossless methods preserve the retained pixels but may produce larger files.

Choose a starting resolution by destination

Destination Starting point Why and what to check

These values come from Adobe documentation and should be treated as starting points. A large poster, a small label, an accessibility scan, and a photographic book may require different decisions.

Match compression to the image type

Photographs and gradients

JPEG is generally the practical choice for photographs and smooth color transitions. Use a quality level that keeps faces, skies and subtle gradients clean at the intended viewing size. Stronger compression can create blockiness, ringing around edges and banding.

Flat-color artwork and patterns

Adobe recommends ZIP compression for flat-color illustrations and patterns. It avoids the artifacts that lossy compression can place around sharp, solid-color boundaries.

Scanned monochrome pages

For black-and-white scanned documents, Adobe’s conversion guidance names CCITT Group 3 or Group 4. These methods suit 1-bit text pages better than photographic compression. Keep the scan resolution high enough for the smallest characters, but avoid exceeding 1500 dpi without a specific technical reason.

Downsampling methods: speed versus smoothness

  • Subsampling: processes faster but can produce less-smooth results, especially in gradients or diagonal details.
  • Average downsampling: combines pixels to reach the target and can be a reasonable middle ground.
  • Bicubic downsampling: uses weighted averaging and is slower, but Adobe describes it as producing smoother tonal gradations.

For a batch export, subsampling may reduce processing time. For photographs, gradients or finely rendered illustrations, compare bicubic output at the same target ppi before choosing speed over smoothness.

A repeatable workflow for smaller PDFs

  1. Define the destination. Record whether the file is screen-only, office-printed, professionally printed, archived or sent to a print service.
  2. Measure placed size. Calculate effective ppi from pixel dimensions divided by the physical width or height in the PDF. Do not size images from source pixels alone.
  3. Classify each image. Separate photographs, gradients, flat artwork, line art and monochrome scans because they need different compression choices.
  4. Set downsampling targets. Start with 72–150 ppi for screen/web work or about 300 ppi for print, then use the printer’s specifications when available.
  5. Choose compression. Use JPEG for photos, ZIP for flat-color art and CCITT Group 3/4 for monochrome scans. Prefer a lossless option when preserving every retained pixel matters more than size.
  6. Export a representative sample. Include the page with the smallest text, the most detailed photograph, a gradient, a diagram and a scan.
  7. Inspect the exported PDF. View at 100% and high zoom, print a test page when print quality matters, and check that text, line art and image detail remain legible.
  8. Change one variable at a time. If quality is poor, raise the target ppi or reduce compression; if the file is too large, lower excess resolution or use a better-matched codec rather than applying maximum compression everywhere.

How to diagnose quality and size problems

The PDF is still too large

  • Check whether images are placed much smaller than their source dimensions; unused pixels are data with no visible benefit.
  • Lower the target resolution for screen pages, then inspect fine detail.
  • Use JPEG for photographic pages and ZIP for flat-color artwork instead of one codec for every image.
  • Look for duplicate embedded images, oversized page backgrounds or repeated exports that have preserved unnecessary originals.

Images look soft or pixelated

  • Confirm the effective ppi at the placed size, not just the source file’s dimensions.
  • Raise the downsampling target for the affected image or place it smaller.
  • Use bicubic rather than subsampling when tonal smoothness matters.
  • For line art or text-like graphics, avoid lossy photographic compression.

Photos show blocks, halos or banding

Compression is probably too aggressive for that image. Increase JPEG quality, retain more resolution, or export the photograph with a less destructive option. Inspect gradients at the size readers will actually use; a defect visible only at extreme zoom may not justify a large file increase.

Printed output differs from the screen

Screen pixels, printer dots and image ppi describe different stages. Use the print provider’s specifications, create a physical proof when color or small detail is critical, and do not infer print quality from a monitor zoom alone.

What PDF settings can and cannot promise

There is no universal formula that predicts a percentage reduction from a particular ppi or quality setting. Two PDFs with identical page counts can differ dramatically because their images contain different detail, noise and color complexity. Adobe’s documentation presents controls and trade-offs rather than a guaranteed file-size result.

Keep an original high-quality source outside the delivery PDF. That lets you create a print version and a screen version without repeatedly recompressing the same already-lossy images.
