A self-hosted notes app can give you more control over where your notes live, but it also makes you responsible for keeping the service running and backing it up. The available information does not identify which app the title’s author chose or verify a personal migration, so this guide focuses on the practical decision: what you may give up, what alternatives document, and how to test a move safely.

What does “more control” mean when you self-host notes?

With a self-hosted app, you or someone you choose operates the instance, often on a home server, NAS, or hosted server. That can give you more say over where the service runs and how it is managed. It does not automatically guarantee privacy, reliable access, or backups: those depend on the app, its configuration, and whoever runs the instance. Memos, for example, says the instance operator is responsible for hosting and backups (Memos).

Before switching, decide which kind of control matters most: choosing the storage location, avoiding reliance on a particular service, controlling access, or retaining your notes in an exportable format. These are different goals, and a self-hosted label alone does not establish that an app meets all of them.

Start with the Google Keep features you actually use

Google Keep supports creating and editing notes, checklists, drawings, labels, colors, pins, reminders, archiving, and sharing. People you share a note with can edit it, according to Google’s Keep help documentation. Make an inventory of the features you rely on before comparing replacements; a plain text note app may not cover the same workflow.

  • Capture and organization: Do you need quick notes, checklists, labels, colors, pins, or archive and trash?
  • Attachments and drawings: Check whether images and drawings matter, and whether the replacement handles them in the way you expect.
  • Reminders: Confirm support for the reminder behavior you use, including recurring reminders if needed, and test notifications on your actual devices.
  • Sharing: If other people edit notes with you, verify that the replacement supports sharing and that its permissions fit your needs.
  • Access and sync: Check the platforms you use, offline behavior, and whether changes sync reliably between them.
  • Portability: Find out what the app can import and export, and whether those formats preserve the content that matters to you.

What the documented self-hosted options offer

These are examples of different approaches, not a ranking or a claim that any one is the app used in the title. Their feature descriptions come from their own project materials and have not been independently tested here.

Memos Its official site describes quick short-note capture; search by keyword, tag, or date; Markdown; ZIP export; and Docker deployment on a server, NAS, or homelab. New memos are private by default, and the instance operator manages hosting and backups. The project says it has no license fee under the MIT license; hosting may still cost money depending on hardware or provider. Whether its capture flow, platform access, and reminder, attachment, and sharing behavior match your Keep routine. The project’s own description does not establish your hosting or operating costs.
Crumbs The project repository describes a self-hostable, offline-first app with Docker installation, Markdown notes, checklists, image attachments, tags, pinning, archive and trash, full-text search, version history, sharing, and PWA offline support. Whether those features are available and work as needed in the specific release and clients you plan to use.
NoteTrace Its project documentation describes deployment on user hardware, offline operation, reminders, and import from Google Keep Takeout. Whether import preserves the specific notes, images, lists, labels, and reminders you care about; the import and sync claims have not been independently verified here.

Read the current documentation for the app and release you intend to run. Feature availability in a project description is not the same as confirmed behavior across web and mobile clients.

How to test a Google Keep migration without losing notes

Google’s help center includes an “Export your data from Google Keep” topic, and NoteTrace says it can import a Google Keep Takeout export. That claim does not establish that every Keep feature transfers correctly, or that other apps support the same import.

  1. List what must survive. Pick representative notes that include the content you use: for example, a checklist, image, labeled note, shared note, or reminder.
  2. Export a copy from Google Keep. Follow the Google Keep data export guidance and keep the export unchanged.
  3. Test the target app’s import. If it supports the export format, import a small sample first. If there is no documented import path, do not assume that a manual copy will preserve attachments, organization, or reminders.
  4. Inspect the results. Compare the imported notes with their originals, paying particular attention to images, lists, labels, sharing, and reminder details.
  5. Test day-to-day access. Try the web or mobile clients and offline behavior you intend to use. If reminders matter, test delivery on your devices, including recurring reminders if required.
  6. Keep the source until you are satisfied. Retain the original Keep data and export until you have verified the content and know how to back up the new instance.

Plan for hosting, backups, and everyday reliability

Self-hosting changes who operates the service; it does not remove the work of operating it. Depending on the app, you might run it on hardware you already own, a NAS, a home server, or a provider. Memos documents those kinds of deployments and notes that hosting costs depend on the hardware or provider. A NAS is one possible host, not a requirement; check your chosen app’s installation and resource requirements before buying or repurposing hardware.

Before entrusting the app with important notes, establish how you will back up its data, how you would restore it, and how you will keep the service available when your home network or hardware is offline. Also check how the app handles updates and whether your chosen access method works away from home. The person operating the instance—not the word “self-hosted”—determines whether those practical safeguards exist.

When a switch is worth it

A self-hosted app is a better fit when its documented features cover your everyday note-taking and you are comfortable operating the instance or arranging for someone else to do so. It is a weaker fit if you rely on Keep features the replacement lacks, need reminders or shared editing that you have not verified, or do not want responsibility for service availability and backups.

One Reddit discussion about leaving Keep illustrates the kinds of needs that can shape a decision: moving notes and alarms, dependable recurring reminders, and calendar integration. It is an individual example, not evidence that those priorities are universal. If any of them matter to you, make them explicit requirements and test them before moving your working notes (the discussion).
