Hubstaff combines employee time tracking with configurable activity monitoring, GPS tools, project-cost reporting and payment workflows. Its breadth may suit teams that need work hours to feed into coordination, client billing or payroll processes; it may be more than a team needs if all it wants is a simple timer. The key decision is not how many features Hubstaff lists, but which ones your organization will enable and how it will use the resulting data.

What Hubstaff does

Hubstaff presents itself as a workforce-management platform. Employees can track time against projects, tasks and clients, while managers can use timesheets, reports, schedules, monitoring controls and cost data. The product pages also describe invoicing and payment workflows based on approved time. These are Hubstaff’s descriptions of its product, not independent findings about its effectiveness. Hubstaff’s product overview is the starting point for checking its current feature set.

That combination matters most when time records have to serve more than one purpose: attendance, project coordination, labor-cost visibility, client billing or payroll processes. A team that only needs personal time logs may not need the additional oversight and administration features.

How time tracking and timesheets work

Hubstaff says users can start and stop a timer and assign tracked time to projects, tasks and clients using its desktop, web or mobile apps. Automated timesheets and reports connect recorded hours with earnings and overtime. The practical value depends on whether the team’s work can be organized around those project and task records and whether managers need to review or approve the resulting time data. Hubstaff’s feature page describes the available workflows.

What Hubstaff monitors

Activity rates, apps and URLs

Depending on organization settings and plan availability, Hubstaff can report app and website use and summarize keyboard or mouse activity as an activity rate. Its FAQ says the rate is measured in ten-minute intervals and that the software does not record the actual keys typed. Hubstaff describes idle-time prompts as another configurable control. These signals indicate device activity, not the quality or value of work. Hubstaff’s FAQ explains how it characterizes activity tracking.

Screenshots

Hubstaff describes screenshots as periodic images, not continuous screen video. Desktop screenshot capture can be configured for up to three screenshots in ten minutes, reduced in frequency, disabled per user or blurred. Hubstaff says it does not record audio or webcam video. Whether screenshots are captured depends on settings enabled by the organization; a reader should not infer that every user is continuously recorded. See Hubstaff’s FAQ for its explanation of screenshot controls.

Does Hubstaff track location, and when?

Hubstaff’s mobile apps support GPS tracking, but behavior depends on configuration. The FAQ describes location capture while a user is tracking time or when fleet tracking is enabled. Separately, Hubstaff’s support documentation describes an “Always” location setting: if enabled and the app has location permission, it can collect GPS data in the background while installed, including outside tracked work hours. That is different from location capture limited to a work timer. Hubstaff’s location-tracking setup guide documents the setting.

Hubstaff recommends notifying employees in writing, reviewing local privacy and employment laws, and limiting Always tracking to company-managed devices where possible. Rules vary by jurisdiction, and this product description is not legal advice; organizations should consult counsel about their own deployment.

How to interpret Hubstaff’s activity analytics

Hubstaff describes reports and analytics for utilization, capacity planning, unusual activity, app use and work-hour classifications. Its FAQ cautions that a low keyboard or mouse activity rate can be normal for tasks such as video editing, rendering or research-heavy writing, and says activity is not a definitive performance measure. A metric that reflects device input can miss focused work that involves reading, thinking, calls or other low-input tasks.

For that reason, activity rates are best treated as context for a conversation or a workflow signal—not as a stand-alone score of employee performance. Managers need to interpret them against role expectations and actual work outcomes. Hubstaff’s FAQ explicitly warns against treating activity as a replacement for good management.

Projects, budgets, billing and payments

Hubstaff describes time-to-project tracking alongside project budgets and labor-cost visibility. Its product pages also describe invoicing and global payments based on approved time. The value of these features is clearest when a team wants its time records to connect to client costs or payment workflows rather than remain isolated timesheets.

Hubstaff lists integrations with project-management, communication, accounting and payment services, including Asana, ClickUp, Jira, Slack, QuickBooks, PayPal, Deel and Wise. Its current FAQ says it supports over 30 integrations; another Hubstaff page gives a different total, so the exact count should be checked against the live integration list rather than treated as fixed. Availability and setup may depend on the specific integration and plan.

Supported devices and feature boundaries

Hubstaff lists apps or extensions for Linux, Mac, Windows, Chrome, Firefox, Android and iOS. The FAQ says the web app and Chrome extension do not provide proof-of-work features, while GPS and geofencing are mobile-app features. Those distinctions matter if a team expects the same monitoring or location capabilities on every device. Check the current feature page and plan details for the exact workflow and platform combination you need.

Pricing, trial and plan checks

Hubstaff’s FAQ describes a 14-day trial without a credit card and says there is no ongoing free plan. It bills per seat and describes a 30-day money-back guarantee subject to conditions. The FAQ gives an annual Team-plan example of $120 per seat, but that example is not a universal price quote: plan names, prices and included features can change. Review the current pricing page before committing, including billing period, seat minimums, add-ons and whether the features you need are included.

Hubstaff says seats removed mid-term do not receive prorated refunds or credits, while seats added on annual plans may be prorated. Confirm the applicable terms for your contract and billing arrangement before changing seat counts.

Who is Hubstaff a fit for?

Potentially useful for

  • Organizations that need time records tied to projects, tasks or client work.
  • Teams that want timesheets and reporting to inform utilization, labor costs, billing or payroll processes.
  • Field teams that need mobile time tracking with GPS or geofencing, after reviewing settings and legal requirements.
  • Managers who need configurable monitoring controls and can interpret activity indicators in the context of different roles.

Less likely to suit

  • Individuals or small teams looking only for a lightweight timer and uncomplicated time logs.
  • Organizations that do not need monitoring or location controls and would rather avoid configuring them.
  • Teams whose work involves substantial low-input activity, if managers expect keyboard or mouse activity rates to represent performance.

Hubstaff identifies software development, BPO, staffing, virtual assistant services, advertising, marketing and consulting among its audiences. Those are vendor-identified use cases, not independent endorsements. The more useful test is whether its combination of tracking, oversight and operational workflows solves a real need for your organization.
