AI can help organize a cold-email brief and draft a clear first message, but it cannot verify your claims or make an email lawful, deliverable, or effective. Give it facts you have checked, ask it to flag gaps instead of guessing, then review every detail before sending. The prompt and fictional example below show a repeatable way to do that.
What should a cold email do?
A first-contact email should make three things easy to understand: why you are contacting this person, what relevant offer or information you can provide, and what single next step you are asking them to take. Keep the message focused on one reason to continue the conversation. A polished draft is not evidence that the recipient is interested, that a claim is true, or that the message will reach the inbox.
AI is most useful as a drafting aid: it can turn a concise brief into a readable starting point. Google Search Central says, in its guidance about website content, “Generative AI can be particularly useful when researching a topic, and to add structure to original content.” That statement concerns web content, not email performance; it is not evidence that AI-written cold emails get more replies.

- Gather verified context. Record the recipient’s role and organization, plus the source and date for any detail you plan to mention. Use only information relevant to the reason for contacting them.
- Define your offer and evidence. Say what you actually provide and which claims you can substantiate. Avoid unsupported promises, assumed problems, or implied results.
- Choose one next step. Ask for one modest action, such as whether the recipient would be open to a brief conversation. Do not make the reader infer what you want.
- Ask AI for a first draft. Supply the brief and constrain the model to those facts. Instruct it to mark missing information rather than inventing it.
- Review and edit the result. Check each name, title, fact, link, claim, and implication against its source. Delete unsupported material and adjust the wording so it sounds like you.
- Check sending rules and setup. Identify the recipient’s jurisdiction, the message’s purpose, applicable law and provider requirements, domain authentication, and opt-out handling before sending.
What prompt should I use?
This is an editorial template, not a tested or proven prompt. Replace each bracketed field with information you have verified, and leave unknown details out rather than asking the model to fill them in.

The prompt can help keep a draft within the information you supplied, but it does not independently verify the brief or guarantee compliance, inbox placement, or a reply.
Can AI personalize a cold email without making things up?
It can phrase verified context, but it cannot turn an uncertain inference into a fact. A company announcement, professional profile, or other source may establish someone’s role or a public event; it does not establish that person’s private priorities, current problems, buying intent, or willingness to talk. Do not ask a model to imply a prior relationship that does not exist.
For each personalized line, ask: What exactly supports this? Is the source current? Does it actually relate to my offer? If the answer is unclear, remove the line or rewrite it as a neutral reason for reaching out. Do not treat AI-generated research or plausible-sounding details as verified evidence.

Illustrative example: from brief to reviewed draft
Fictional scenario: The people, organization, facts, and message below are invented for illustration. They are not a real campaign, testimonial, or performance result.
Input brief
- Recipient: Maya Chen, operations director at fictional Northstar Workshop.
- Verified context: In this fictional scenario, the sender has checked a public company page dated September 12, 2026, which says Northstar is opening a second location.
- Offer and evidence: The sender provides scheduling software for small teams. The sender can demonstrate how the product handles appointment bookings but has no substantiated claim about Northstar’s needs or likely results.
- Desired next step: Ask whether Maya would be open to a short demonstration.
- Constraints: No assumed familiarity, no claim that the new location has a scheduling problem, and no promised time savings.

- Confirm that the announcement exists, is dated as stated, and refers to the recipient’s organization.
- Confirm that the recipient’s name and title are accurate and that the sender really offers the described software.
- Check whether mentioning the opening is relevant and whether the proposed demonstration is genuinely available.
- Remove any added suggestion that Northstar has a problem, needs the product, or will achieve a particular result unless evidence supports it.
- Check the subject, sender identity, message purpose, jurisdiction, opt-out process, and provider requirements before sending.
The example demonstrates a review method only. It does not show that this wording will get a reply or reach an inbox.
What should I check before sending?
Copywriting and sending compliance are separate questions. The applicable rules can depend on the recipient’s location, the message’s purpose, how contact details were obtained, and the sender’s practices. The examples below are jurisdiction-specific guidance, not a complete legal analysis.

United States: CAN-SPAM
The Federal Trade Commission says CAN-SPAM covers commercial messages whose primary purpose is advertising or promoting a commercial product or service. It is not limited to bulk email and does not exempt business-to-business messages. The FTC’s CAN-SPAM compliance guide for businesses describes duties that include accurate header and routing information, non-deceptive subject lines, identifying advertising, a valid physical postal address, a clear opt-out method, and honoring opt-outs within 10 business days. It also says marketers must monitor companies sending on their behalf. Which requirements apply to a particular message depends on the circumstances; consult the guide and qualified legal advice when needed.
The FTC guide states a maximum penalty of $53,088 per violating email. Penalty amounts can change, so check the current figure directly in the FTC guide rather than relying on an old copy.
United Kingdom: PECR electronic-mail marketing
UK rules are not interchangeable with US CAN-SPAM. The Information Commissioner’s Office (ICO) explains the rules in its detailed electronic-mail marketing guidance, updated April 28, 2026. Its compliance guidance describes the ordinary customer soft opt-in conditions: contact details must have been obtained directly while selling or negotiating a sale; marketing must concern similar products or services; an opt-out must be offered when details are collected; and an opt-out must appear in later messages. The ICO says a third-party marketing list does not meet the direct-collection condition for this soft opt-in. The detailed guidance also notes a charitable-purpose soft opt-in under the Data (Use and Access) Act 2025. Scope depends on the facts, so do not infer that cold email is always allowed or always prohibited.
Sending to personal Gmail accounts
Google’s Email sender guidelines set requirements for mail sent to personal Gmail accounts. All senders must meet listed baseline requirements, including SPF or DKIM authentication. For senders exceeding 5,000 messages a day to Gmail accounts, Google lists additional requirements including SPF, DKIM, and DMARC authentication and one-click unsubscribe support for marketing and subscribed messages. These are Google requirements for mail to personal Gmail accounts, not universal legal standards.
Google reports a spam-rate target below 0.30% and warns that unmet requirements may affect expected delivery or result in spam classification. Meeting the listed requirements does not guarantee inbox placement. Google’s sender FAQ says enforcement on non-compliant traffic is ramping up starting November 2025; possible disruptions include temporary and permanent rejections. Check Google’s current guidance before sending because provider requirements and enforcement can change.

Do not treat a prompt, a polished message, or one reply as proof that a writing approach works. No controlled result or benchmark is established here for an ideal subject-line formula, email length, follow-up count, or increase in reply rate. If you compare versions, keep the audience, offer, and sending conditions as consistent as practical, and treat the results as specific to that comparison rather than a guarantee for future campaigns.
Keep human review in the workflow even when a draft reads smoothly: the sender remains responsible for factual accuracy, appropriate personalization, and the rules governing the send.
