A strong virtual assistant proposal turns a broad request into an understandable agreement: what you will do, under what conditions, when the work will happen, what it costs, and how the client can approve it. Start with the client’s goal, define tasks and limits, then price the specific workload—not the vague label “virtual assistant.”
What a virtual assistant proposal needs to clarify
A client should be able to read your proposal and answer five questions without guessing:
- What outcome are you supporting?
- Which tasks are included, and what is outside the scope?
- How will the work be handled—hours, tools, availability, and communication?
- When will the service start and how will delivery or updates work?
- What is the price, what does it cover, and what is the next step?
Upwork’s proposal guide recommends personalizing a proposal around the client’s needs and suggests about 400 words as a typical length. Build the proposal around the client’s actual request
Open with the goal
Name the client or project and briefly restate the result they want. For example: “You need consistent inbox coverage so customer questions are answered promptly and urgent issues reach the right person.” This shows what your offer is intended to solve before you describe yourself.

Show relevant fit without overclaiming
Include a short, truthful note about experience, tools, or work samples that relate to the request. Do not add credentials, results, or software expertise you cannot substantiate. If you are new to a particular task, focus on the relevant skills you do have and how you would confirm the workflow during onboarding.
Translate the request into specific tasks
Use concrete verbs and deliverables rather than a catch-all phrase such as “administrative support.” For example, distinguish sorting and labeling incoming email from drafting replies, sending replies, or escalating a message for approval. Separate recurring services from one-time setup work so the client can see what continues after launch.

Define scope and working conditions
List the tasks included and the assumptions that make the offer workable. Freelancer.com’s current virtual-assistant hiring guidance points to recurring tasks, tools, time-zone overlap, weekly hours, language needs, confidentiality or data handling, and engagement type as useful details to specify. - Workload: anticipated hours, message volume, transactions, records, or other units. If the client has not supplied the expected volume, ask rather than guessing.
- Priorities: which tasks take precedence when workload exceeds available time, and who decides.
- Tools and access: systems you will use, what access the client must provide, and any approval requirements.
- Availability: working days, weekly hours, time-zone overlap, and expected response window. Distinguish availability from guaranteed completion time.
- Communication and escalation: the channel for routine updates, update cadence, and who handles urgent or sensitive decisions.
- Confidentiality and data handling: note relevant expectations and agree how information will be accessed, stored, and shared. Legal obligations vary by contract, jurisdiction, and data type; seek appropriate professional review when needed.
- Limits: identify excluded work or tasks that require a separate estimate. State that additions must be discussed and scoped before they are taken on.
Before quoting, resolve gaps that could materially change the workload or risk: expected volume, approval authority for messages or purchases, available system access, priority rules, and the response time the client expects. These details can alter both the price and schedule.

Set a realistic timeline and service rhythm
State what happens after approval: onboarding or access setup, anticipated start date or ramp-up, recurring delivery schedule, and when the client will receive updates. For project work, name meaningful milestones where applicable. Match the timing to the tasks and available hours; avoid promising turnaround times before you know the workload and approval dependencies.
Choose a pricing basis that matches the work
Make the amount, currency, pricing basis, included hours or units, and payment schedule explicit. The right structure depends on the arrangement rather than on a polished-looking menu of packages.

Upwork’s guide reports that virtual assistants typically charge $10–$20 per hour, a range reported by Upwork in its guide published December 15, 2025. Use a proposal structure clients can scan
- Client goal: identify the project and reflect the outcome requested.
- Relevant fit: give concise, accurate evidence that you can handle the work.
- Proposed support: list specific recurring tasks and any one-time work separately.
- Scope and assumptions: state workload, tools, access, availability, communication, approvals, and exclusions.
- Timeline: describe onboarding, start or ramp-up, schedule, and updates or milestones.
- Pricing: specify amount, currency, basis, included hours or units, payment schedule, and additional-work terms.
- Next step: tell the client how to approve, discuss, or submit the offer, and what you need before work begins.
Submit through Upwork only when that is where you are selling
Upwork’s proposal workflow is platform-specific and may change. Its support page instructs freelancers to set terms—an hourly rate and optional scheduled increase, or a fixed-price bid with payment by project or milestone—estimate duration, write a cover letter, and answer screening questions. Keep the document simple and usable
A document, reusable template, or form can help collect scope details and present terms, but none is required. Whichever format you choose, keep the offer easy to revise when the client clarifies volume or priorities. Do not offer multiple packages unless the client’s needs make real alternatives useful; one precise offer is clearer than invented tiers.
