To validate a GTIN, check its format and check digit, look it up in Verified by GS1, then compare the registry details with the supplier record and each store listing. These checks answer different questions: a valid check digit shows structural plausibility; a GS1 lookup checks whether the number is recognised and identifies its assigning party; attribute comparison helps determine whether records describe the same trade item. None alone proves that every listing is genuine or accurate.
What a GTIN check can—and cannot—tell you
A Global Trade Item Number (GTIN) identifies a trade item. The barcode is a machine-readable carrier of that number, not the product identity itself. GS1 explains that GTIN digits include information about the GS1 Member Organisation that licensed the identifier, the applying entity, the item number, and a check digit used to verify structure. See GS1’s explanation of a GTIN.
Validation has three distinct layers:
- Structure: Is the value in an appropriate GTIN format, with a check digit consistent with the number?
- GS1 recognition: Does Verified by GS1 recognise it, and what assigning-party or product information is available?
- Record consistency: Do the registry, supplier data, physical item, and store records agree on the attributes that define the item?
A correct check digit is not proof that GS1 assigned the number, that a particular product owns it, or that a listing is accurately described. A registry result is useful evidence, but it is not a complete product-data audit.
How to validate a GTIN
- Capture and preserve the value. Record where the number came from. Retain leading zeroes; do not convert it to an integer, which can remove them. Remove only presentation characters that are not part of the number, and keep the original input for audit.
- Check its structure and check digit. Confirm that the value uses an appropriate GTIN format and that its check digit is consistent with the current GS1 specification. This is a structural check only. For implementation details, use the current GS1 General Specifications; do not treat a barcode scanner or a successful arithmetic check as proof of assignment.
- Look it up in Verified by GS1. Enter the number in Verified by GS1. According to GS1, results include at least the assigning company, organisation, or person; product data is returned when available. If a number is not a GS1 GTIN or is not found, the service displays an explanatory message. GS1’s customer-service guidance states that the service allows up to 30 free queries per user per day; advanced querying is available through the local GS1 Member Organisation. Because service limits can change, check GS1’s current lookup guidance.
- Compare the result with authoritative product data. Check the registry information against a brand-owner or supplier source and the physical product where possible. Then compare each store’s product record using the attributes below.
- Route conflicts for review. Preserve mismatches in assigning party, brand, variant, size, or pack details instead of automatically merging records. This review policy is a practical safeguard; GS1 provides data-quality guidance but does not prescribe a universal cross-store record-matching algorithm.
If staff repeatedly capture numbers from physical packaging, a USB barcode scanner can read the barcode and reduce manual entry. It does not verify GS1 assignment or resolve conflicting product records; for occasional checks, entering the number is sufficient.

Which product attributes to compare across stores
Use the GTIN as a strong linking key, then check whether the records agree on the item characteristics relevant to your use case. GS1’s General Specifications emphasise alignment of detailed item data with the GTIN. The comparison below is an operational approach based on that guidance, not a GS1-published universal matching algorithm.
| Field | Why it matters | How to use it |
|---|---|---|
| GTIN | Identifies the trade item. | Use an exact normalized match as a strong link, but verify it against GS1 and a reliable source record. |
| Brand and product name | Help confirm that the record fits the assigning party and item description. | Compare normalized values while retaining original strings for audit. |
| Variant, size, and net content | Distinguish flavours, colours, sizes, and other meaningful item differences. | Require agreement on the attributes material to the matching decision. |
| Pack quantity and packaging level | A single unit and a multipack may be different trade items. | Do not merge records solely because their descriptions look alike. |
| Seller, price, stock, and listing URL | Describe an offer or listing, which can change independently of product identity. | Store these as offer data attached to a product record, not as evidence that two products are identical. |
Keep identity data separate from offer data. That distinction makes it possible to link several retailers’ offers to one product record without treating changes in price, availability, or seller as product changes.

How to handle mismatches and product changes
GTIN is recognised, but the product details disagree
Do not let the registry hit override contradictory evidence. Compare the physical item, brand-owner or supplier information, and store attributes; document which fields conflict and send the record for review. GS1’s Data Quality Framework includes data-management guidance and physical inspection of product attributes.
The GTIN is not found or the assigning party is unexpected
Check that the entered number was captured correctly and that leading zeroes were preserved. Verify the source of the number with the supplier or brand owner before linking records. A missing or unexpected result should remain unresolved until there is adequate evidence; do not infer product identity from a seller’s description alone.

A product change appears to require a new GTIN
Use GS1’s GTIN Management rules to assess whether a change calls for a new identifier. A new-GTIN decision and a retailer’s decision to create a new listing are separate: GS1’s General Specifications describe listing as a commercial process distinct from GTIN management. The retailer or marketplace may have its own listing policy.
