Use an Interface Designer Gallery when people need to browse images interactively, and use the Page Designer extension when each record must become a controlled, printable page or PDF. If the output requires stronger branding or print precision than Airtable provides, connect a document-generation service through automation rather than duplicating your data.
Choose the template type before changing your base
“Multiple image templates” can describe two different jobs:
- Image-first browsing: teammates scan a grid of records, with an attachment image and title visible on each card.
- Document output: each record is rendered as a designed page that can be printed or saved as a PDF.
These are presentations of the same records, not separate databases. Keep the canonical image attachment and metadata in one table, then create the layouts that match each audience. Airtable’s current guidance generally favors Interface Designer over the older Page Designer extension, so test an interface first when you need an interactive experience.

Prepare one source table for every template
- Keep one record per item. Store the primary attachment, title, identifier, status and descriptive fields in the relevant Airtable table.
- Decide which image is canonical. If a record has several attachments, determine whether browsing should use one representative image while documents should show a gallery of all images.
- Normalize text lengths. Long titles, descriptions and notes are the most common reason a designed page stops fitting. Set expectations for the fields that will appear in print.
- Separate data from presentation. Do not make duplicate records merely to obtain another visual treatment. A new interface page or Page Designer layout can reuse the same values.
This arrangement lets an editor update a title or attachment once while every connected presentation receives the live value.

Create an image-browsing template with Interface Designer
1. Open the interface builder
In the base, open Interfaces and create or edit an interface connected to the table containing your image records. Interface layouts are attached to a table in the underlying base.
2. Add a Gallery visualization
Choose a Gallery layout or add a Gallery visualization to an existing interface page. Select the attachment field as the image source and the name or title field as the card title. Gallery is the natural choice when the attachment is the main thing users need to scan.
3. Add useful context without crowding the image
Expose only the fields needed to identify or filter a record—such as category, owner, status or date. Keep operational details in the record’s detail view so the grid remains easy to scan.
4. Add filters and navigation
Use filters for status, category, campaign or owner. If users need several visualizations on one page, use a visualization-based layout. Airtable’s interface guidance distinguishes those from elements-based pages, which cannot use multiple layouts on the same page.
5. Test as the intended collaborator
Preview the interface with realistic permissions and records. Confirm that users can see the attachment field, open the record, and apply the filters you intend to expose. Interface-only collaborators are available on Team, Business and Enterprise Scale plans; sharing behavior depends on the base’s access configuration.

Build a printable image template with Page Designer
1. Add the extension for the same table
Open the base’s extensions area, add Page Designer, and select the table that contains the canonical records. The extension uses live record values, so you do not need a second table for each design.
2. Set the page and print properties
Choose the paper size, orientation and margins appropriate for the deliverable. Leave enough space for the longest expected title and description instead of designing only for the sample record currently selected.
3. Map fields onto the canvas
Place text elements for the title, identifier, dates and descriptive fields. Add an attachment element and select whether it should display the first image or all images. Adjust the image sizing and position so the asset stays within its frame.
4. Add document-specific elements
For a branded sheet, include the logo, header, footer, document code or signature area as required. Keep these design elements separate from the record fields so an editor can change data without rebuilding the page.
5. Preview a varied sample
Preview several records before printing or exporting. Include the longest text, the largest attachment and a record with missing optional values. A layout that fits one record can overflow on another because Page Designer renders live values.

6. Print or save as PDF
When the previews are acceptable, print the selected records or save the output as PDF. For a batch, verify that the record-selection behavior matches the range you intend to deliver.
Use multiple templates without duplicating records
A practical setup is to keep one table and create separate presentations:

- Catalog Gallery: a filtered interface showing the primary image, title and status.
- Review Gallery: a second interface page with different filters or supporting fields for an approval team.
- One-page sell sheet: a Page Designer layout using the first attachment, headline and key metadata.
- Contact sheet: another Page Designer layout configured to show all attachments or a different arrangement.
These templates can serve different jobs while preserving one record history and one attachment source. Name each layout by its audience and output so collaborators do not mistake a browsing page for a print template.
When to choose a document-generation service
Airtable points to third-party document-generation tools connected through automation when branded documents need more precise control than an interface layout provides. Consider that route when you require strict headers and footers, signature blocks, document numbering, repeatable pagination or a large automated batch.
Evaluate a provider’s current support for attachment images, page breaks, conditional fields, PDF generation, authentication and failure reporting. The available capabilities vary by provider; do not assume that an Airtable connection automatically supplies those functions.

Sharing, permissions and maintenance
- Check collaborator access: sharing options depend on the base and interface configuration. Confirm whether recipients need access to the base, an interface-only role or an exported file.
- Protect source data: expose only the fields and records appropriate for each audience. A visual interface is not a substitute for field-level governance.
- Keep attachment URLs current: replace files through Airtable rather than maintaining a second copy solely for a template.
- Version intentionally: duplicate a presentation when you need a new design history, but keep it connected to the same source table unless the data model itself changes.
Troubleshooting common failures
The Gallery card has no image
Confirm that the Gallery’s image field is the attachment field containing the file, not a text or URL field. Check that the current record actually has an attachment and that the viewer has permission to see it.
The wrong image appears
Records with multiple attachments may show a different file than expected. Reorder attachments so the intended primary image is first, or use Page Designer’s option to display all images when the document requires them.
Text or images overflow a Page Designer page
Test records with the longest values and largest files. Shorten or constrain source fields, enlarge the text area, change the page orientation, or adjust image sizing. Do not approve a batch from a single short record.
Several visualizations cannot be placed together
Check the page type. Airtable’s guidance distinguishes visualization-based pages, which may support multiple visualizations, from elements-based pages, which cannot use multiple layouts on one page. Rebuild the page with the layout type that matches the composition you need.
Clients cannot open the interface
Review the interface’s share settings, the base’s access configuration and the collaborator’s plan eligibility. Interface-only collaborators are offered on Team, Business and Enterprise Scale plans, but the exact sharing behavior still depends on configuration.

The branded output still lacks print control
Move the final document step to a document-generation service connected through automation. Confirm its current attachment, branding and PDF capabilities before committing to a provider.
Performance and reliability considerations
Gallery pages are best for interactive scanning, so keep the initial card content focused and use filters to reduce the visible set. Page Designer is more sensitive to content variation: large attachments and long text increase the chance of layout problems. A preview set that includes extremes is a reliability check, not merely a design review.
For automated document generation, add an explicit failure path in the automation. Record which Airtable record was processed, whether an output was created, and where a human should fix missing images or invalid values. This prevents a silent partial batch.

- Choose Page Designer when each record must become a controlled page, printout or PDF.
- Choose document generation through automation when branding, pagination and batch production exceed Airtable’s layout controls.
