But the two interfaces are not interchangeable. Notebook answers in Gemini Notebook rely only on notebook sources, while Gemini may also use web search and other tools. Which account, features, and limits you see depends on eligibility, region, settings, and—in work or school accounts—your organization’s configuration.
How the NotebookLM and Gemini connection works
Google’s current help materials refer to the NotebookLM experience as “Gemini Notebook.” Gemini Apps is the Gemini interface. A notebook created in Gemini Notebook automatically appears in Gemini navigation, and you can view, edit, and chat with it from either app. Notebook names, sources, and custom instructions sync between them. If a change does not appear right away, refresh the app. Google’s guide to notebooks in Gemini Apps describes the integration.
Gemini Apps can also connect to Gemini Notebook as a connected app. Ask Gemini to do something with a notebook and include @Gemini Notebook. If the connection is not set up, Gemini offers a connection flow. Google says Gemini can create, edit, or delete notebooks; add, update, or delete sources; list notebooks and their sources; and answer questions about notebook contents. Connect Gemini Notebook to Gemini Apps
- Check that the feature is available to your account. Google’s Gemini Apps help page documents the notebook feature for users aged 18 or older signed in with a personal Google Account; it says work and school Google Accounts are not currently supported for that feature. Availability varies by region and rollout. The page says EEA users need to connect manually, and describes access through Gemini web and mobile apps as rollout progresses, with some Mac notebook use also noted. Check the current help page for your location and device.
- Open Gemini Apps and start a notebook request. Ask Gemini to work with a notebook and include
@Gemini Notebook, such as “List my notebooks with @Gemini Notebook.” If the app is not connected, follow the connection prompt. - Choose a notebook and make the requested change. You can use Gemini to manage notebooks and sources or ask a question. Changes to notebook names, sources, and custom instructions sync with Gemini Notebook.
- Refresh if a change is missing. Synchronization may not appear immediately; Google recommends refreshing when updates are not visible.
Some notebook functions depend on Keep Activity. With it off, Google lists automatic chat saving, notebook memory, adding existing chats directly from the sidebar, Google Drive sources, and study or business notebooks as unavailable. You can still chat with a notebook. If you use Workspace-connected data, Google says Keep Activity is required; some work or school deployments also need administrator permission, and Smart features in other Google products must be enabled in Gmail. NotebookLM versus Gemini: what changes in answers and features?
Answer grounding
Google states: “Gemini Notebook – Responses are grounded exclusively in your notebook sources.” In Gemini Apps, responses may draw on those sources as well as web search and other tools. So the same question asked in the two interfaces may not use the same evidence. Use Gemini Notebook when you want answers constrained to the notebook; use Gemini Apps when you want the broader capabilities it may bring to the conversation. Inspect the sources shown with answers, especially for Workspace information: Google warns Gemini Apps can hallucinate or return outdated information, such as an older email when a newer one exists. Google’s notebook guide explains the grounding distinction, and its connected-app guidance advises checking sources.
Studio content and ebook sources
Gemini Apps does not offer Gemini Notebook’s Studio panel for generating Audio Overviews, Video Overviews, infographics, or slide decks. Eligible Play Books ebooks can be added as sources in Gemini Notebook, but not in Gemini Apps. If those tools or ebook sources matter, continue in Gemini Notebook. Google lists these feature differences.

Sharing and visibility
Not everything syncs in the sense of being visible to everyone. Notebooks you share from Gemini Notebook do not appear in Gemini, even if you own them. Notebooks that contain Gemini chats are private and cannot be shared. Separately, if you include Gemini chat threads as notebook context and share that notebook, collaborators may be able to see those threads. Treat shared notebook context accordingly rather than assuming all Gemini activity remains private.
You can opt in to using Gemini notebook chats as shared context across notebooks. Those chats appear in Gemini Notebook’s sources panel and can contribute to the notebook’s knowledge base; they are read-only in Gemini Notebook and are managed in Gemini Apps. Turning off Keep Activity or deleting Gemini Apps activity does not delete data in Gemini Notebook. Google’s notebook guidance describes sharing and chat context behavior.

Eligibility, limits, and account-specific differences
Account type, region, app, settings, rollout, license, and administrator configuration can all affect what is available. Google’s personal-account feature documentation and its work or school documentation describe different eligibility and limits, so do not assume a personal Google AI Plan allowance applies to an organization account.

Because Google identifies availability and Workspace limits as changing or staged, verify current details in the official help pages before relying on a specific feature or quota.

For Gemini Notebook, Google says files added and chats in the product are not used directly to train foundational generative AI models unless the user provides feedback. Gemini Apps notebook chats instead follow Gemini Apps Keep Activity settings; turning off that setting or deleting Gemini Apps activity does not delete Gemini Notebook data. These statements concern different services and should not be treated as one shared retention rule. Google’s notebook help page explains the distinction.
Work and school use is governed by applicable Workspace or Education terms. Google says that, under the documented enterprise-grade protections, uploaded files, chats, and model outputs are not reviewed by human reviewers or used to improve generative AI models. The service and license determine which protections apply; consult your organization’s terms and administrator rather than applying the personal-account policy to organizational data.
