Microsoft Loop brings editable, shared workspaces into Microsoft Teams. Instead of attaching a document, sending a spreadsheet for review, or repeatedly pasting updated text into chat, you can create a Loop component that everyone with access edits in place.

Loop is most useful for lightweight collaboration: collecting ideas, tracking action items, drafting an agenda, comparing options, or making a decision during a meeting. This guide explains where Loop fits in Teams, how to create and share components, and how to avoid common permission and organization problems.

What is Loop in Microsoft Teams?

Loop is a Microsoft 365 collaboration tool built around three related elements:

  • Loop components: Portable blocks of content such as tables, checklists, bulleted lists, numbered lists, paragraphs, and task lists. You can insert a component into a Teams chat or channel post and edit it collaboratively.
  • Loop pages: Larger canvases that can contain several components, headings, links, files, and notes. A page is better suited to a project brief, meeting notes, or a running decision log.
  • Loop workspaces: Collections of related pages and content for a project or topic.

A Loop component remains synchronized wherever it is shared. For example, if you put an action-item table in a Teams meeting chat and later paste the same component into a project chat, an edit made in either location updates the same underlying content.

Loop is not a replacement for every Microsoft 365 app. Use Word for a polished, long-form document; Excel for complex calculations; Planner for structured project scheduling; and Loop for fast, shared content that is still being shaped.

Before you start

Loop in Teams depends on your organization’s Microsoft 365 configuration. You may need to be signed in with a work or school account, and an administrator can disable Loop or restrict external sharing. Teams versions and button names can also differ between the new Teams desktop app, Teams on the web, and mobile.

If Loop options are missing, check these basics:

  1. Update Teams or open Teams on the web.
  2. Confirm that you are using the correct work or school account.
  3. Try creating a component in a one-to-one chat or group chat rather than a channel post.
  4. Ask your Microsoft 365 administrator whether Loop is enabled and whether your account has the required service access.

How to create a Loop component in a Teams chat

  1. Open Chat in Teams and select an existing conversation or start a new one.
  2. Click in the message compose box.
  3. Select the Loop components button. Depending on the Teams version, it may appear as a Loop icon or under the apps and formatting controls.
  4. Choose a component type, such as Checklist, Bulleted list, Numbered list, Table, or Task list.
  5. Enter the content directly in the component. Use headings or short labels so people understand what they are expected to add.
  6. Select Send. The component is now available in the conversation for people who have access to it.

For example, a project lead could create a checklist containing “Confirm supplier quote,” “Review legal wording,” and “Schedule launch call.” Team members can mark items complete without creating separate reply chains.

A faster method: type /loop

In supported Teams versions, type /loop in the compose box and choose a component from the suggestions. This is useful when you are already writing a message and do not want to leave the keyboard. If /loop does not produce a result, use the Loop components button instead; command availability can vary by tenant and Teams client.

How to edit a Loop component

  1. Open the chat or channel containing the component.
  2. Click inside the component rather than replying below it.
  3. Type, delete, or format text as needed. Changes are saved automatically.
  4. Use the component’s sharing or more-options controls when you need to copy its link, move it, or inspect where it is stored.

Multiple people can edit at the same time. Teams may show the names or profile images of people currently working in the component. Keep edits small and communicate in the surrounding message when a change needs explanation; otherwise, the component can become difficult to audit.

Loop supports normal collaborative editing, but it should not be treated as a formal approval system. For an important decision, add a final message stating who approved it, when, and what version or recommendation was accepted.

How to share a Loop component

After creating a component, you can share it in several ways:

  • Share it in the current conversation: Send the component normally so chat participants can work on it.
  • Copy the component link: Use the component’s sharing menu and paste the link into another Teams chat, email, or meeting invitation.
  • Copy the component itself: Select the component content and paste it into another supported Microsoft 365 location when you want to reuse it.
  • Share a Loop page: Open the page in Loop and use its Share control to grant access or copy a link.

Sharing a link does not automatically mean that every recipient can edit the content. Access is governed by Microsoft 365 permissions and the location where the component was created. A recipient may be able to view, comment, or edit—or may receive an access-denied message.

Sharing with people outside your organization

External sharing is controlled by your organization’s Microsoft 365 and SharePoint policies. Do not place confidential customer, employee, or financial information in a Loop component merely because it is inside a private chat. A private chat limits the conversation, but copying the component link elsewhere can create a separate access request or sharing decision.

Using Loop in a Teams channel

Loop works well in channels when the content belongs to a team rather than a small conversation. Use it for a decision register, a release checklist, a shared agenda, or questions that several people need to answer.

  1. Open the relevant team and channel.
  2. Start a new post or reply to an existing post.
  3. Open the compose formatting controls if the Loop button is not immediately visible.
  4. Select Loop components, choose a component, and add the initial content.
  5. Publish the post.

Choose the channel carefully. A component posted in a broad team channel may be visible to many more people than one posted in a project chat. If the channel has restricted membership, access follows that channel and the underlying Microsoft 365 permissions.

Use Loop pages for larger collaboration

A component is ideal for one focused item. A Loop page is better when a project needs several related sections. For example, a “Website launch” page might contain:

  • A short objective and launch date
  • A task list with owners
  • A table of open risks
  • A list of decisions and their dates
  • Links to the design files and Teams channel

To start a page, open the Loop app from the Microsoft 365 app launcher or visit loop.cloud.microsoft if your organization uses that address. Create a workspace or page, then add content using the page’s insertion menu. You can subsequently share the page link in a Teams chat or channel.

Do not create a separate Loop page for every minor question. That spreads information across too many locations. A practical structure is one workspace per substantial project, one page per workstream or meeting series, and components for individual tasks or decisions.

Use Loop during Teams meetings

Loop can make a Teams meeting more actionable than a transcript alone. Before the meeting, create a page or component containing the agenda. During the meeting, add decisions and assign follow-up tasks. Afterward, share the same link in the meeting chat instead of copying the notes into a second document.

A simple meeting-notes layout is:

Keep the meeting link in the relevant Teams chat or channel. A page that is not linked from the place where people work is likely to be forgotten.

Loop and Microsoft Planner: when to use each

Loop task lists are convenient for lightweight ownership, but they are not a full project-management system. Use Loop when the group needs to agree on tasks quickly. Move the work to Planner when you need buckets, dependencies, recurring tasks, workload views, reporting, or a durable project board.

Likewise, a Loop table can organize a few dozen rows of information, but Excel is the better choice for formulas, data validation, pivot tables, large datasets, or controlled reporting.

Common problems and fixes

The Loop button is missing

Expand the message compose area and open the formatting or apps menu. Update Teams, sign out and back in, and test Teams on the web. If the control is still absent, your administrator may have disabled Loop or your account may not have the required Microsoft 365 access.

Someone cannot edit the component

Check that the person can access the chat, channel, or page where the component originated. Then open the component’s sharing controls and review the access option. If the person is external, organizational sharing policies may prevent editing even when the link can be sent.

The component opens in a browser instead of Teams

This is normal in some configurations. Loop content may open in the Loop web app or Microsoft 365 while remaining synchronized with the Teams message. The browser view can provide more room for editing than the compact chat version.

A component was pasted into the wrong chat

Do not assume that deleting the message solves the problem. First check who may have accessed it, then remove or restrict access using the component’s sharing controls. If sensitive information was exposed, follow your organization’s incident-reporting procedure.

The page has become cluttered

Archive completed sections, add headings, remove duplicate checklists, and create a single “source of truth.” Keep a short index at the top with links to the active sections. For long-lived projects, move final records to the organization’s approved document or knowledge-management location.

A practical workflow for efficient Teams collaboration

  1. Start in the conversation where the work happens. Create the Loop component in the relevant chat, channel, or meeting chat.
  2. Give it one clear purpose. “Collect launch risks” is better than “Project notes.”
  3. Provide the first row or example. People contribute more easily when the expected format is visible.
  4. Assign ownership explicitly. Add a person and date to each action rather than relying on chat mentions.
  5. Separate discussion from the record. Use replies for debate and the Loop component for the current agreed information.
  6. Close the loop. Mark completed tasks, record decisions, and link the final result to the relevant Teams channel.

With this approach, Loop stays lightweight without turning into an uncontrolled collection of notes. Teams provides the conversation and notifications; Loop provides the shared, editable working surface.

FAQ

Is Microsoft Loop free in Teams?

Loop availability depends on the Microsoft account and Microsoft 365 plan. Some personal Microsoft accounts can use Loop, while work and school accounts are also subject to administrator settings, licensing, and sharing policies.

Can everyone in a Teams channel edit a Loop component?

People with access to the component can edit it, but access is affected by the channel, chat, and Microsoft 365 sharing permissions. A link alone does not guarantee edit access.

Where are Loop components stored?

Loop components are stored as Microsoft 365 content and may open in the Loop web app or another Microsoft 365 service. The exact storage and ownership behavior can depend on where the component was created and your organization’s configuration.

Can I use Loop on mobile?

You can view and work with Loop content on supported mobile versions of Teams and Microsoft 365, although the available component types and editing controls may differ from the desktop and web apps.

Can Loop replace OneNote or Word?

Not completely. Loop is designed for fluid, simultaneous collaboration. OneNote is better for notebook-style reference material, while Word is better for a finished document with formal formatting, review, and publishing requirements.

How do I stop people from changing a completed Loop component?

Review the component’s sharing and access settings and restrict editing where your organization allows it. For an official final record, copy or export the approved content to the document system your organization uses for controlled records.
