Facebook groups put day-to-day moderation controls in Admin Assist, Potential spam, and Moderation alerts. These tools can filter spam, automate approvals and declines, flag activity, and restrict members, though admins and moderators should review automated decisions. Available controls depend on the group and your role. This guide explains where to find the tools and how to use them, with steps based on Facebook’s documented guidance.

Open Facebook’s moderation tools

On a computer, go to facebook.com/groups and select your group. The relevant tools normally appear in the group’s left-hand menu:

  • Admin Assist — administrator-defined rules for posts, comments, requests, and other activity.
  • Potential spam — a queue for posts and comments Facebook identifies as likely spam.
  • Moderation alerts — notifications about keywords and engagement activity.

On the Facebook mobile app, open Menu → Groups → Your groups → select the group → Admin tools → Admin Assist. (Facebook mobile instructions.)

Only admins and moderators can configure moderation alerts. Admins can manage group settings and admin or moderator roles. Admins and moderators can handle member or participant requests, posts, comments, and member removals or bans, subject to their available permissions. (Moderation alerts; Facebook group roles.)

Use Admin Assist for automatic moderation

Admin Assist applies administrator-defined criteria to group activity. It can manage posts, comments, membership or participation requests, and other activity. Available criteria can include links to specified sites, repeated removals, independent fact-checker determinations, recurring posts, suspensions, and welcome posts; options vary by group. Find Admin Assist on desktop

  1. Go to facebook.com/groups and select the group.
  2. Click Admin Assist in the left menu.
  3. Under Add or edit criteria, click Add beside the action you want to automate.
  4. Choose a preset or create your own criteria.
  5. Follow Facebook’s prompts and save the rule.

Find it in the mobile app

  1. Open Facebook and tap Menu.
  2. Tap Groups, then Your groups.
  3. Select the group.
  4. Tap Admin tools → Admin Assist.

Automatically decline spam posts and comments

To automatically decline likely spam posts on desktop, open Admin Assist. Under Manage Posts, click Add beside Decline incoming post if, choose Spam posts, and click Add to Admin Assist.

For comments, use Manage comments → Add beside Decline comment if → Spam comments → Add to Admin Assist. (Facebook spam guidance.)

A post is automatically declined when it matches any configured decline criterion. Separate rules can catch different kinds of content, but broad rules risk rejecting legitimate contributions. Check the activity log after enabling a rule. (Facebook Admin Assist guidance.)

Review decisions in the activity log

Review Admin Assist decisions in the group’s activity log and undo them when necessary. Facebook says administrator actions help the system learn from those decisions, so correcting false positives is part of maintaining useful automation. (Facebook Admin Assist guidance.)

Do not treat automation as a replacement for review. A rule that works for one group may be too aggressive for another.

Automate member and participant approvals

Admin Assist can approve a membership or participation request only when all configured approval criteria are met. In a public group, the rule uses Approve participant if; in a private group, the equivalent workflow uses Approve member request if. (Admin Assist; Facebook group guidance.)

Facebook documents an important edge case: if the same request meets both an approval criterion and a decline criterion, the request is approved. Do not assume a decline rule overrides an approval rule. (Facebook request criteria guidance.)

Turn on automated approval where available

Some approval automation may not appear unless the relevant approval setting is enabled. Facebook notes that automated approval may be unavailable when post approval and/or public-group participant approval is turned off. (Facebook Admin Assist guidance.)

When the option is available:

  1. Open Admin Assist.
  2. Click Settings at the top.
  3. Turn on the toggle beside Pending posts and/or Participant requests.

This automatic approval is limited to cases where Facebook is very confident; less certain cases remain in the pending queue. (Facebook Admin Assist guidance.)

Configure membership or participation questions

Questions provide context but are not a hard gate: people can leave the question screen without answering, and the request still goes through. (Facebook question guidance.)

On desktop, open the group and select Manage in the left menu. Choose Membership questions for a private group or Participation questions for a public group, then click Create or Edit. Facebook also documents a path through Membership Questions below Badge requests; click Add Question or Create there. Menu placement can vary by interface. A group can have up to three questions. Each question can contain up to 200 characters, and the available formats are: (Facebook question guidance.)

Format Useful for
Checkboxes Confirming rules, requirements, or applicable options
Multiple choice Standardizing answers for easier review or automation
Written answer Collecting context that cannot be represented by fixed choices

Applicants and participants can edit their answers. If someone leaves the questions unanswered, Facebook sends reminders after three hours, one day, two days, and three days, then stops. Admins cannot view responses submitted before July 2021. (Facebook question guidance.)

Use Potential spam as a review queue

Facebook may place posts and comments it identifies as likely spam in Potential spam. Held content does not appear in the group unless published. (Facebook Potential spam guidance.)

  1. On desktop, go to facebook.com/groups and select the group.
  2. Click Potential spam in the left menu.
  3. Review each held post or comment.
  4. Click Decline for unwanted content or Publish for content that is not spam.

Review this folder regularly. Facebook says publishing content that was incorrectly filtered helps improve its spam-detection systems. (Facebook Potential spam guidance.)

Set moderation alerts for keywords and engagement

Moderation alerts notify admins and moderators about activity that deserves attention; they do not automatically remove content. (Facebook moderation alerts guidance.)

Create a keyword alert

  1. Open the group on desktop.
  2. Click Moderation alerts in the left menu.
  3. Click Settings.
  4. Beside Keywords, click Create or Edit.
  5. Enter a word or phrase, click Add, then click Back.

To remove a keyword, click Remove beside it and then click Back. Facebook does not document a limit on the number of keyword alerts an administrator can add. (Facebook moderation alerts guidance.)

Use specific terms rather than an enormous list of ordinary words. A broad alert for a common word can generate noise instead of useful warnings.

Create an engagement alert

  1. Go to Moderation alerts → Settings.
  2. Beside Engagement, click Create.
  3. Select the content type, engagement type, and threshold.
  4. Click Save.

Engagement alerts are measured over a one-hour period. For example, an alert set for 100 comments fires when a post reaches 100 comments within one hour, not if it takes longer. (Facebook moderation alerts guidance.)

To change an alert, select Options → Edit alert, make the changes, click Update, and click Update again to confirm. To remove one, select Options → Delete alert → Delete. Review triggered alerts from Moderation alerts; choose Ignore to disregard one or Remove to remove the content. (Facebook moderation alerts guidance.)

Use limited membership in a private group

Limited membership lets people join certain private groups without normal admin approval. Limited members can see group content and react, but cannot post, comment, or chat until approved to participate. It is not available for private hidden groups. (Facebook limited membership guidance.)

When enabled, existing private-group membership questions become participation questions, and the group uses a Participation requests queue. Open it from facebook.com/groups → select the group → Participation requests below Admin tools. (Facebook limited membership guidance.)

A participation request can include pending posts and comments created by the limited member. Approving the request also approves those posts and comments for publication. The queue can be filtered by Questions, Request Age, Rules, Location, Profile Type, Gender, and Friends. (Facebook limited membership guidance.)

With limited membership enabled, membership-request Admin Assist rules apply to participation requests instead. Documented approval criteria include account age, participation questions, friends in the group, and location. People with pending join requests when limited membership is enabled automatically become limited members, and their requests become participation requests. Suspend or limit a member’s activity

Suspend a member manually

  1. Open the group and select Members or People at the top. If neither is visible, select More.
  2. Find the member and open Options.
  3. Choose Suspend in group.
  4. Select the suspension duration and click Suspend.

A suspension blocks posting, commenting, reacting, and participation in community chats for the selected period. It may affect additional profiles differently: a profile already in the group may still participate, while a profile not already in the group cannot see, join, or participate until the suspension ends. Automate suspensions

  1. At the top of the group, click Manage.
  2. Open Admin Assist.
  3. Under Manage People, click Add beside Suspend person if.
  4. Choose a preset or select See More Options.
  5. Click Update.

One documented preset suspends a person after multiple posts, comments, or community-chat items have been removed during the previous 24 hours. (Facebook suspension guidance.)

Limit activity instead of suspending

Limit Activity is a separate control and is not available in every group. Go to Members → a member’s Options → Limit Activity. Turn on Limit Posting and/or Limit Commenting, choose the limits and duration, select Next, and click Save. Posting limits are measured per day, while commenting limits are measured per hour. Preapprove known members without sending invitations

Preapproval changes how Facebook handles someone’s future join or participation request; it does not invite that person or mean they have joined. (Facebook preapproval guidance.)

  1. Open the group on desktop.
  2. Go to Settings → Group Settings.
  3. Under Manage memberships, find Who Is Preapproved to Join.
  4. Choose Choose Groups or Upload a File.
  5. Click Save.

For file uploads, the file must be:

  • Smaller than 5 MB.
  • In CSV or TSV format.
  • Limited to 5,000 email addresses.
  • Made up of email addresses associated with Facebook accounts.

Only one file can be uploaded at a time, and file-based preapprovals expire after 90 days. In a private group with limited membership enabled, a preapproved person’s participation request is automatically approved. (Facebook preapproval guidance.)

  1. Define the gate: enable post approval, participant approval, membership approval, or limited membership according to the group’s privacy model.
  2. Add questions: use focused questions, but remember that answers are optional.
  3. Handle obvious spam: add Admin Assist rules for spam posts and comments.
  4. Build a review queue: check Potential spam and the Admin Assist activity log regularly.
  5. Create alerts: add keywords for terms that need fast attention and engagement thresholds for sudden activity.
  6. Set escalation rules: automate suspensions for repeated removals, and use Limit Activity where a lighter restriction is appropriate.
  7. Audit false positives: publish incorrectly filtered material and undo incorrect automated actions.

Start with narrow rules and expand them after reviewing results. Broad criteria can quietly reject valuable contributions or approve the wrong people.
