To use Dropbox offline, mark the files or folders you need as available offline while you still have an internet connection, wait for them to download, and confirm they are stored on your device. Online-only files are cloud placeholders and cannot be opened or downloaded after you lose internet. Offline edits stay on that device until it reconnects and Dropbox syncs them.

What Dropbox offline access means

An offline file is a local copy stored on your computer or mobile device. You can open it without an internet connection, but it uses device storage. Dropbox describes offline files as available to open and edit offline, while noting that they take up space on the device (Dropbox Help: Set Dropbox to online-only for your team).

An online-only file remains in your Dropbox account but is not fully stored on your device. It needs an internet connection to download or open. Opening one while connected may download it, but that is not a reliable way to prepare for a later outage: explicitly make the needed items available offline and verify their local status before disconnecting.

Make Dropbox files available offline

On a computer

Dropbox’s exact controls and file-provider behavior vary by operating system. On macOS, Dropbox’s instructions are to open Finder, locate the file or folder in Dropbox, right-click it, and choose Make available offline. The item downloads into the Dropbox folder; Dropbox says a green checkmark indicates that an offline file is ready (Dropbox Help: Make files online-only).

On other desktop systems, use the Dropbox controls available for that system and confirm the item is downloaded and stored locally. Do not rely on a cloud placeholder or assume that simply browsing to a file has prepared it. Dropbox notes that on macOS, users who are not on Dropbox on File Provider may need to make files available offline to use them in some third-party applications.

In the Dropbox mobile app

In the Dropbox mobile app, make the desired files or folders available offline using the app’s offline controls. The downloaded items remain in your Dropbox account and are also stored locally on the device. The mobile-data setting determines whether Dropbox may download offline items over cellular data: when enabled, downloads can use mobile data; when disabled, they occur only on Wi-Fi (Dropbox Help: How to manage your offline settings).

If you want to avoid cellular data use, connect to Wi-Fi before marking items offline and allow the downloads to finish. The English label may differ from the wording in Dropbox’s Spanish-language settings guidance.

Choose offline files, online-only files, or selective sync

These controls solve different storage problems. Offline availability keeps specific needed content on a device; online-only status saves local space but requires internet to fetch the content; selective sync controls which entire Dropbox folders are stored on a particular computer.

With selective sync, choosing not to sync a folder removes it from that computer, not from your Dropbox account. Dropbox says selective sync is available to all users, including Dropbox Basic (Dropbox Help: What is selective sync?). Use it when you want to control which folders occupy space on a desktop computer; use offline availability when you need particular content ready on a device.

Prepare files before losing internet access

  1. While connected, identify what you will need. Include the documents and folders you expect to open, plus any files a task depends on.
  2. Mark each item available offline. Use the Dropbox desktop or mobile controls for your operating system and app.
  3. Wait for the download to finish. A selected item is not useful offline until its local copy is present. On macOS, Dropbox describes a green checkmark as the ready indicator.
  4. Check your local storage. Offline copies consume device space; choose only what you need if storage is limited.
  5. Test before you leave coverage. Open the items on the device you will use while still connected, then confirm they remain accessible when you are offline.

Edit files offline and sync the changes later

Dropbox’s offline guidance says you can edit offline files, but changes do not sync to other devices until the device reconnects to the internet (Dropbox Help: Set Dropbox to online-only for your team). Make edits in the application that supports the file, then reconnect and allow Dropbox to sync before relying on another device to have the latest version.

Whether a file can be edited offline depends on its format and the application’s own offline support. For example, Dropbox’s mobile Office guidance describes opening a supported Office file in the relevant Microsoft Office app, tapping Edit, and saving it back to Dropbox. It identifies Office 2007-or-later .docx, .xlsx, and .pptx files as editable and older Office files as read-only. The guide also requires current Dropbox and Office apps and notes that some account and device combinations have additional Microsoft account or subscription requirements (Dropbox Help: Microsoft Office for mobile FAQ). This does not establish offline editing support for every file type or app.

Why a Dropbox file may not open offline

  • It is online-only. Reconnect to the internet and download it or make it available offline before disconnecting.
  • The download did not finish. Reconnect, wait for Dropbox to complete the download, and check the item’s status.
  • The device is out of storage. Offline files use local space. Free space or choose fewer files to keep offline.
  • The app cannot edit that format offline. Check the file type and the application’s offline and editing requirements; local access does not guarantee every app can edit it.
  • You are using a third-party app on macOS. Dropbox notes that some users not on Dropbox on File Provider may need to make items available offline for third-party app access.
  • Another device has not received your edits. The editing device must reconnect and finish syncing before other devices receive the changes.
