To replay a recorded trade show presentation as a scheduled YouTube Live event, schedule a stream in YouTube Studio, then send the video file to it through an encoder such as OBS. YouTube schedules the event; the encoder plays and sends the recording. Rehearse the complete setup, monitor the live preview, and keep a local backup recording. First, confirm you have the necessary rights for the presentation and all included material.
Choose the right way to present the recording
A scheduled Live event lets viewers gather at a published time and watch together. For a straightforward replay, use a computer running OBS with the presentation file as a media source. A dedicated AJA HELO Plus is another option if you want scheduled prerecorded playback without a computer; YouTube’s verified encoder listing describes its PlayToStream feature.

For the OBS workflow, install OBS from the OBS Project. YouTube’s encoder instructions and its verified encoder directory are available in YouTube’s guide to creating a live stream with an encoder.
Prepare the presentation and confirm permissions
Check the video and audio
- Play the file from beginning to end. Confirm it starts at the intended point, the picture is intact, and speech and other audio are audible and in sync.
- Identify material that may have separate rights: music from the trade show floor, clips, images, slides, or content supplied by speakers and exhibitors.
- Keep the original file and a local recording plan available in case the stream or YouTube archive has a problem.
Clear rights for the live stream and archive
You are responsible for obtaining the rights needed to stream and archive the material. YouTube scans live streams for third-party content; it may replace the stream with a placeholder, interrupt it, or terminate it if it detects a match. A license by itself may not prevent an interruption: where applicable, the rights owner may need to add your channel to its Content ID allowlist. Review YouTube’s guidance on copyright issues with live streams and its livestream terms and conditions.

Schedule the YouTube Live event
- In YouTube Studio, open Go Live and schedule a new event. YouTube’s encoder setup guide covers scheduling and encoder connection.
- Choose a clear title, event details, and thumbnail so attendees recognize the presentation.
- Choose the event’s visibility deliberately. A scheduled stream can appear as upcoming, and viewers may opt into notifications. See YouTube’s live stream settings guidance.
- Copy the stream URL and stream key from Live Control Room for use in OBS. Treat the key as private: it authorizes an encoder to send a feed to your stream.
- Share the event link in advance. YouTube recommends promoting a Live event before it starts; after the event, you can organize the archive or highlights into playlists. See YouTube’s live stream promotion guidance.
Set up OBS to play the recording
- Open OBS and select or create the scene you want to use for the presentation.
- In Sources, select + and add Media Source. Choose the local presentation video file. OBS documents local media playback and its source controls in Media Sources.
- Check the Media Source playback options. Leave looping off for a single presentation replay unless you intentionally want the file to repeat. Enable restart when the source becomes active if you want playback to begin at the start when the scene or source is activated.
- Check that the video fits the canvas and that the Media Source’s audio reaches the OBS audio mix. Watch the meters while the file plays, and listen using headphones or another monitoring method.
- In OBS stream settings, select YouTube if available, then enter the stream key from YouTube Live Control Room. If you configure a custom server, use YouTube’s stream URL and the matching key. Do not share or publish the key.
- Set up a local recording in OBS as a backup. Confirm the recording path has enough free space and that the file is being written during rehearsal.
The OBS Media Source sends the recording as the encoder’s video source; it does not make YouTube’s scheduler start a local file by itself. You must start the encoder and verify that YouTube receives the feed.
Rehearse, go live, and monitor the event
Before event day
Rehearse with the actual video file, computer, OBS scene, network, and audio path. YouTube recommends setting up the encoder at least two hours ahead and starting it at least 15 minutes before the event. Those are preparation recommendations, not guarantees that every setup will be ready on that schedule. See YouTube’s streaming tips.

- Check that available upload bandwidth is sufficient for the planned stream bitrate. YouTube advises allowing for primary and backup streams when planning bandwidth.
- Start OBS and send the feed early enough to inspect YouTube’s Live Control Room preview before the scheduled start.
- Use the event watch page on a separate device, including a phone, to confirm access, picture, and sound from a viewer’s perspective.
- Verify the presentation begins at the intended point and the local backup recording is growing.
- Monitor audio and video during the stream, not just before it starts.
At the scheduled time
- Start the OBS stream and confirm Live Control Room shows the expected picture and audio.
- When the event is ready, start the scheduled stream in YouTube Live Control Room if prompted. Do not assume that scheduling the event or starting OBS alone starts the public event.
- Keep watching the preview and local recording while the presentation plays.
- When playback is complete, end the stream cleanly in YouTube and stop the OBS stream. Check YouTube Studio and your local file afterward.
Check the replay and retain a backup
YouTube says streams under 12 hours can be archived automatically; streams longer than 12 hours may not be captured. Do not rely on the YouTube archive as your only copy. YouTube recommends recording a local archive as a backup; inspect that recording after the event as well. See YouTube’s archive live streams guidance.
Once the archive is available, check its visibility and playback in YouTube Studio. If useful, arrange the recording and any highlights in a playlist so attendees can find them later.

Troubleshooting common problems
- YouTube preview is blank or the event receives no feed: Confirm OBS is streaming, the correct scheduled event is selected, and the stream URL and key match the values in Live Control Room. If needed, copy the current key again without exposing it.
- The video does not start at the beginning: Check the Media Source’s restart behavior and preview the exact scene that will be live. Start the rehearsal from the same state you expect on event day.
- There is no audio or it is too quiet: Check the Media Source’s audio routing and OBS meters while the file plays, then listen to the viewer-side test on another device.
- The stream stutters or drops: Check the computer’s load and network stability, and compare available upload bandwidth with the planned bitrate. Rehearse on the same connection and equipment planned for the event.
- YouTube interrupts or replaces the stream: Investigate possible third-party content matches. Confirm you have the necessary rights and, where applicable, ask the rights owner about Content ID allowlisting.
- The YouTube archive is missing or incomplete: Check the event in YouTube Studio and inspect the local OBS recording. Streams longer than 12 hours may not be captured automatically by YouTube.
