The handoff may be a URL, an editor-specific reference, or an SDK call; there is no universal integration recipe. The steps below explain how to choose the right seam, then show documented Canva and CKEditor patterns.
Start with the editor’s asset contract
Before building a picker, find out exactly what the embedded editor accepts and which product version your host application uses. Look for a documented integration point such as a built-in asset manager, file-picker callback, upload adapter, URL insertion feature, or vendor SDK. A library can successfully find and authorize an image yet still fail to insert it if it hands the editor the wrong kind of identifier.
In practice, the handoff is usually one of three things:
- A URL: the editor loads an image from a location your app provides. CKEditor 5 documents inserting an image by URL through its ImageInsert feature.
- An opaque asset reference: the editor’s platform SDK issues an identifier for a stored asset. Canva Apps uses a returned
refwhen adding an uploaded image to a design. - An asset-manager or upload integration: the editor invokes your application’s picker or upload logic, and your app supplies the selected asset in the editor-specific format.
Do not assume a URL accepted by one editor will work in another, or that a vendor-issued reference is a permanent identifier for your own database. Confirm the contract in the current documentation for your exact editor and version.

Decide who owns assets and how users find them
Choose the storage and identity model before wiring up the editor. Your library may be managed by your application, or assets may be copied into each user’s account in the editor’s own media library. Those models affect permissions, deletion, search, and what happens when the user’s access to the host application changes.
- Ownership: decide whether an asset belongs to your organization, a particular user, or the editor vendor’s account. Make authorization checks when listing and selecting assets, not just at upload time.
- Identity: keep your own durable record for an asset if your application needs one. Treat editor-specific references according to the vendor’s stability guarantees; Canva says its refs are opaque and apps should not rely on them remaining the same.
- Discovery: define how users search, filter, or browse: for example, by folder, tags, file type, or recent use. Keep selection separate from insertion so the picker can change without rewriting editor-specific insertion logic.
- Metadata: decide which title, alt text, MIME type, dimensions, thumbnail, and source URL must travel with a selection. Validate metadata server-side where possible rather than trusting values supplied by a browser.
Build the selection-to-insertion flow
- Load eligible assets. Show only items the current user is authorized to use. If assets come from a remote store, check whether the editor or its backend must fetch them and whether the URLs are reachable from that environment.
- Let the user select an item. Keep the selection result in a small, explicit object: the editor’s required URL or reference plus any required descriptive fields, such as alt text.
- Validate before handoff. Check the media type, size, URL accessibility, and required permissions against the editor’s documented requirements. Do not rely on the file extension alone to identify the format.
- Call the documented editor integration. Insert through the editor SDK, asset manager, upload adapter, or URL feature that its documentation specifies. Avoid simulating a toolbar click when a supported API exists.
- Handle completion and failure. Give the user progress for uploads or asynchronous processing, and a useful recovery path if insertion fails. Keep the selected asset available so the user does not have to search for it again.
This separation makes it possible to replace the library UI, storage provider, or editor without conflating asset discovery with the editor’s insertion API.
Canva Apps example: upload, then insert the returned reference
Canva’s documented Apps pattern uploads an image to the user’s private media library and then inserts it into the design using the returned reference. The app needs the canva:design:content:write and canva:asset:private:write permissions for this flow. The reference is an editor handoff value, not a durable application key; Canva describes refs as opaque strings that may change.

At a high level, the documented sequence is:
- Request the required permissions for design content and private asset uploads.
- Use the Canva Apps SDK upload flow to upload an image from a URL Canva can access. The documented example supplies a MIME type, thumbnail URL, and AI disclosure value.
- Use the returned
refwithaddElementAtPoint(or another suitable insertion method) and provide alt text. - Let the user continue editing the inserted image with Canva’s design tools.
This pattern has an important hosting implication: the upload guide says Canva’s backend must be able to fetch the image, so a localhost URL is not suitable. The assets documentation also says thumbnails and previews must support CORS. Check the current Canva Apps Assets documentation and Creating images guide for the SDK’s current call signatures and requirements; the integration is not interchangeable with a generic URL insertion feature.

If the integration uses Canva’s REST Assets API rather than the Apps SDK flow, its documented asset endpoints support images and video in a user’s library. Uploads can use asynchronous jobs, including upload from a URL, and the API also documents endpoints to inspect, update, or delete asset metadata. Build job status handling into the user experience instead of assuming that a request immediately produces an insertable asset.

CKEditor 5 example: URL insertion or an asset manager
CKEditor 5 illustrates a different integration family. Its image documentation describes inserting an image by URL with the ImageInsert plugin and toolbar item; it also documents an assetManager image integration option. Choose the mechanism that matches the editor configuration and your application’s library rather than trying to feed it Canva’s opaque ref.
For URL insertion, the selected image needs a usable URL that the editor can place into content. For an asset-manager integration, follow the configuration and callback expectations documented for the CKEditor version and build in use. The editor’s exact plugin availability and configuration depend on that setup. See CKEditor’s guides for inserting images via URL and installing and configuring image features.

Uploads and URL-based handoffs can fail for reasons outside the picker itself. Verify the user is allowed to access the source asset, the editor has the permission it needs, and any service that fetches the image can reach the URL. Prefer controlled, expiring URLs if assets are private, and avoid exposing long-lived credentials in client-side URLs.

For Canva specifically, uploaded private assets belong to the user’s media library. Its Creating images guide documents a 1 TB media-library quota for Canva Pro accounts and 5 GB for other Canva accounts, and says users receive an error if they exceed the quota. Those quotas apply to Canva accounts described in that guide, not to other editors or storage providers. Canva also says inserted images can be resized, repositioned, rotated, used as backgrounds, given effects, and animated.
Security and access checks
- Authorize each library query and asset selection for the active user or tenant.
- Do not treat a client-provided URL or asset ID as proof of access. Resolve it against your own access rules.
- For remote fetching, use URLs reachable by the intended service, and account for authentication, redirects, and CORS requirements where relevant.
- Keep secrets on your server; use the editor’s approved authorization mechanism for browser-side SDK access.
Troubleshoot common integration failures

Keep the integration reliable as it grows
Measure the steps separately: library search latency, upload or remote-fetch time, asynchronous job completion, and editor insertion errors. This makes it easier to tell whether a delay is in your storage service, the editor’s upload process, or the design surface. Cache metadata and thumbnails only with an invalidation strategy, especially when users can update or delete assets.
For large libraries, paginate results and search server-side rather than loading every asset into the editor. For uploads or API jobs that may take time, preserve a pending state and let users retry safely; avoid creating duplicate assets when a network timeout leaves the outcome uncertain. Keep logs useful but avoid recording private image URLs or credentials. Finally, recheck provider documentation when changing editor versions: permissions, formats, quotas, and integration APIs are product-specific and may change.
