Use AI to organize a relative’s reviewed interview—not to decide what happened. A reliable notebook starts with permission, a clear recording, and a checked transcript; then an AI model can help arrange the material into a timeline, topic chapters, indexes, and study questions. Keep the recording as the source of truth, label uncertainty, and agree on what may be shared.
1. Agree on the purpose and boundaries before recording
Explain why you want to make the notebook, who may read it, and whether you might share the audio, transcript, or notebook. Ask permission to record and discuss subjects the narrator would rather avoid. Make clear that they can skip a question, pause, or stop the recording.
If you expect to share or deposit the interview, discuss access restrictions before you begin. A written agreement can document what the narrator has approved; the U.S. House History, Art & Archives describes a written agreement or deed of gift as standard practice for its oral-history activity. This is practical guidance, not legal advice. See Activity: Conduct Your Own Oral History.

These agreements are part of oral history, not an administrative afterthought. The Oral History Association’s best-practice guidance treats preparation, interviewing, preservation, and access as connected responsibilities: Oral History Best Practices.

2. Prepare questions that invite stories
Make a short, flexible guide rather than a questionnaire that demands one-word answers. Start with biographical anchors, then invite scenes, context, and reflection. Smithsonian Institution Archives recommends open prompts and provides family-history examples in How to Do Oral History; the Library of Congress also offers elder-interview prompts in Conversations with Elders.
- “Where and when were you born?”
- “Who else was in your family?”
- “What did your community look like outside of your family?”
- “What did an ordinary day at home look like?”
- “Tell me about a time when that changed.”
- “What do you remember about…?”
Useful follow-ups include “Who was there?”, “What happened next?”, and “How did that affect you?” Listen to the answer before moving on; an unexpected detail may be more valuable than the next planned question. Bring photographs or documents only if the narrator welcomes them, and ask what they remember before supplying your own interpretation.
3. Record clearly and preserve the original
Choose a quiet place, test the recording device, and use equipment you can operate confidently. A phone may be enough; a dedicated recorder is optional. At the start, state the date and the names of the participants. Avoid interruptions, and check that the device is still recording during a natural pause.

Afterward, keep the original recording unchanged. Make at least one separate backup, such as a copy on an external drive or in cloud storage, and use a filename that identifies the interview. Smithsonian’s oral-history guidance discusses practical recording and backup steps. Give cloud access only to people who should have it, consistent with the narrator’s agreement.
4. Transcribe, then check the transcript against the audio
A transcript makes a long conversation searchable, but it is not automatically accurate. Use speaker labels and timestamps where practical. Listen again to unclear passages, correct names and other proper nouns, and mark unintelligible or uncertain spans instead of guessing. If the narrator wants to, invite them to review the transcript before you share it.
The Oral History Association’s Archiving Oral History: Manual of Best Practices, adopted in October 2019, says both human transcribers and automated transcription services are fallible and recommends reviewing first drafts for accuracy. Its guidance also discusses transcripts and time-tagged indexes as ways to make recordings easier to access: Archiving Oral History: Manual of Best Practices.

5. Give AI a controlled, reviewed source
Only after you have permission and considered privacy should you provide an AI model with the checked transcript. If some details are not needed, use a redacted copy. Ask for organization and learning aids—not unsupported biography. A useful instruction is to leave unknown facts blank, mark estimates and disagreements, and attach transcript locations to proposed exact quotations. Model instructions can reduce ambiguity in the task, but they do not guarantee error-free output.
Prompt for a source-linked notebook draft
For example: “Use only the transcript below. Create a dated timeline, topic outline, people-and-places index, glossary, comprehension questions, and a list of unresolved ambiguities. For each timeline entry and quotation, include the transcript page or timestamp if available. Preserve uncertainty and disagreements; do not infer missing dates, relationships, or events. Label paraphrases as paraphrases and leave unknown facts blank.”
Check every generated name, date, place, quotation, and summary against the reviewed transcript or audio. If the transcript itself is uncertain, keep that uncertainty visible rather than letting a polished sentence turn it into a fact. AI can help sort source material, but it is not independent confirmation of a family memory.

Check privacy controls before uploading
Settings vary by AI service, account, plan, and workspace. OpenAI’s ChatGPT help page says that turning off “Improve the model for everyone” stops new conversations from being used to train OpenAI models, but those conversations may still remain in chat history. Check the selected service’s current terms, retention, sharing, and training-use controls immediately before uploading; one provider’s setting does not describe another provider’s policies. The following structure is a practical way to keep recollections, source locations, and editorial decisions together. Adapt the chapters to the narrator’s interests rather than forcing every life into the same outline.
Cover and scope
Record the interviewee, interviewer, interview date, intended audience, consent status, and any agreed restrictions. This helps a future reader understand what the notebook is and how it may be used.

One-page life timeline
List dates and places the narrator stated, with a timestamp or transcript location for each entry. Label dates as approximate when the narrator did, and flag unresolved chronology rather than making events appear more precise than the source supports.
Topic chapters
Possible chapters include childhood and home; family and relationships; school and work; community and historical events; traditions, skills, and everyday routines; and turning points and reflections. Combine, rename, or omit sections to fit the interview.
People, places, quotations, and open questions
- People and places index: Include names, alternate spellings, relationships, locations, and transcript references. Keep an unresolved-name list instead of silently choosing a spelling or identity.
- Key quotations: Include short exact excerpts only after checking them against the audio, and provide timestamps. Label paraphrases clearly.
- Study aids: Make vocabulary lists, flashcards, review questions, chronology exercises, or a “what I still want to ask” list from the reviewed transcript.
Evidence and uncertainty
Separate what the narrator directly recalled, what an independent document confirms, what remains uncertain, and what is your interpretation. A document can support a date or place without proving every detail of a remembered event. Keep source locations so readers can trace a notebook entry back to the recording or transcript.

7. Review the finished draft with the narrator
If the family member wants to review the notebook, share a readable draft and ask whether anything was misheard, whether a name or date needs more cautious wording, and whether any section should remain private. The Oral History Association recommends offering narrators a chance to review and approve interviews before use when possible; their wishes and the earlier access agreement should guide what happens next.
