The right way to move to a new laptop depends on its operating system: Windows 11 has a backup-and-restore option during setup, Mac uses Migration Assistant, and a Windows-to-Mac move uses Apple’s Windows Migration Assistant. These tools transfer selected files and settings—not necessarily every app, password, or system preference. First identify both laptops’ operating systems, then follow the matching route below.

Choose the transfer method that fits your laptops

If you are moving between other operating-system combinations, the methods above may not apply. A manual copy of personal files or a cloud service can still work, but check compatibility for any apps and data you rely on.

Prepare the old laptop before transferring

  1. Check what needs to come across. Make a list of Documents, Desktop, Downloads, Pictures, Music, Videos, browser bookmarks, email, and any folders used by specific apps. Note apps that require a separate installer, sign-in, license, or export.
  2. Update and back up the old laptop. Use the appropriate built-in backup or make a separate copy of important files before migration. A transfer is not a substitute for a backup.
  3. Confirm access and capacity. Have account credentials available. For a cloud transfer, check both internet access and available storage; for a drive transfer, ensure the drive has enough room for the files you intend to move.
  4. Keep the old laptop available. Do not erase or dispose of it until you have checked the new laptop and confirmed that essential files and access are in place.

Windows PC to Windows PC

Restore with Windows Backup during setup

For a Windows 11 destination, Microsoft describes Windows Backup as the integrated option during new-PC setup. On the old PC, prepare a backup with the Microsoft account you plan to use on the new laptop. During the new PC’s initial setup, sign in to that same account and select the available backup when prompted to restore.

Microsoft says this route restores files and most supported settings and helps reinstall Microsoft Store apps. It is not a full clone: traditional desktop software may need to be downloaded from its publisher and installed again, and some app data or settings may not be supported. The process works best when your files fit the available OneDrive storage.

Use OneDrive for files

For a file-focused move, sign in to OneDrive on the old PC and sync the folders you want to transfer. On the new PC, sign in with the same Microsoft account and open the synced content in File Explorer or OneDrive. This requires an internet connection and enough available cloud storage for the files. Microsoft’s support page lists 5 GB of free OneDrive storage with a Microsoft account and 1 TB with Microsoft 365; these plan amounts can change, so check the current details at Microsoft’s OneDrive plans and pricing page.

Copy files with an external drive

A USB drive, SD card, or external hard drive is useful when internet access is limited, cloud storage is insufficient, or you want a local copy. Connect it to the old PC, copy the folders you need, safely eject the drive, then connect it to the new PC and copy the files into their destination folders.

Microsoft specifically recommends checking Documents, Desktop, Downloads, Favorites, Music, Pictures, and Videos. Open the corresponding folders on the new laptop after copying and confirm that the expected files are present. For a large media collection or unusual folder layout, a local network or Ethernet-based transfer program is another option, though it requires additional setup and care in selecting software. For just a few files, ordinary copy and paste is often simpler.

Mac to Mac

Use Migration Assistant, which is included with macOS. You can launch it during the new Mac’s initial setup or later from Applications > Utilities > Migration Assistant. It can transfer selected documents, apps, user accounts, and settings from another Mac, a Time Machine backup, or a supported disk. Review the category choices and transfer summary before finishing.

For a wireless transfer, update macOS on both computers, keep the Macs near each other, and turn on Wi-Fi. Apple advises disabling antivirus, firewall, or VPN software during migration if you use it. If an account with the same name already exists on the destination Mac, Migration Assistant asks whether to replace that account or rename the incoming one; choose carefully, since that determines how the accounts are handled.

Migration Assistant does not delete information from the old Mac or replace macOS on the new one. Check the transferred account and files before making changes to the old machine.

Windows PC to Mac

Install Apple’s Windows Migration Assistant on the PC and choose the build that matches the macOS installed on the new Mac. Apple’s compatibility article lists version 3.2.0.0 for Windows 10 or later moving to macOS 27, Tahoe 26, Sequoia 15, or Sonoma 14; it lists other versions for specified earlier macOS releases. Because compatibility changes, check Apple’s current compatibility and download information before starting.

Apple’s Windows-to-Mac migration can include email and some mail settings, contacts, calendars, supported Outlook tasks, music and other media, browser home pages and bookmarks, documents and other home-folder files, photos, and selected desktop, language, and location settings. It does not move everything: Apple’s general Mac migration guide says network settings and passwords are not transferred, while the detailed guidance notes known Wi-Fi networks on macOS 13 or later. Plan to sign in to accounts and recreate any settings that do not arrive.

  1. Prepare the connection. Keep the PC and Mac near each other with Wi-Fi and Bluetooth on. Older Windows PCs may need a Bluetooth adapter. For Macs on macOS 13 or earlier, Apple directs users to use the same network or a direct Ethernet connection.
  2. Start the transfer. Open Windows Migration Assistant on the PC and Migration Assistant on the Mac, then follow the on-screen instructions and select the data categories to move.
  3. Allow the process to finish. Large transfers may take hours and can appear to pause. Avoid interrupting it simply because progress seems slow.
  4. Repeat for other Windows accounts. If the PC has multiple user accounts, Apple’s workflow requires running the migration again while logged in to each account whose data you want.

If the computers do not connect or migration fails, verify the setup requirements and that the installed Windows Migration Assistant version matches the Mac’s macOS. If the transfer still will not work, copy important files with external storage or file sharing instead.

Check the new laptop before retiring the old one

  • Open important files from Documents, Desktop, Downloads, Pictures, and any application-specific folders.
  • Check browser bookmarks and other browser data you rely on, then sign in to the relevant accounts.
  • Open email, calendar, photo, and work apps and confirm that the data you need is available.
  • Reinstall desktop applications from their publishers where needed, and verify licenses or account access.
  • Keep the old laptop and its files intact until these checks are complete.

If the old laptop runs Windows 10, note that Microsoft ended free Windows Update software updates, technical assistance, and security fixes for Windows 10 on October 14, 2025. The computer still works, but Microsoft recommends moving to Windows 11. See Microsoft’s Windows 10 support information.
