To transcribe a saved recording, upload it to a file-transcription service such as Word Transcribe or use a transcription API. For speech happening now, use live dictation or a streaming transcription service instead. In either case, choose the language and workflow, check the tool’s file and account limits, generate the transcript, then review it against the audio before relying on it.

Choose the right transcription workflow

The first question is whether you already have an audio recording or need text as someone speaks. These are different workflows, and a service that accepts a live microphone input may not accept an existing file.

  • Saved recording: Use a file-upload feature, such as Microsoft Word Transcribe, or a file-oriented API. This suits interviews, lectures, and meeting recordings.
  • Speech happening now: Use microphone-based dictation in a document or a provider’s streaming transcription path. Check that the service supports the language and audio format for your setup.

OpenAI documents separate file and streaming paths, as does Amazon Transcribe. Their supported features and technical requirements depend on the particular service and model. OpenAI’s speech-to-text guide and AWS’s explanation of Amazon Transcribe describe their respective options.

Transcribe an existing recording without code in Word

Word Transcribe is a no-code route for an audio file. Microsoft documents support for WAV, MP4, M4A, and MP3 on this upload path. Availability depends on your platform, Microsoft 365 account, license, and tenant settings.

  1. Sign in to Word with an eligible Microsoft 365 account and open a document.
  2. Go to Home > Dictate > Transcribe to open the Transcribe pane.
  3. Select Upload audio, then choose a supported WAV, MP4, M4A, or MP3 file.
  4. Wait for Word to process the recording. The transcript is separated into speaker sections and can be played back by timestamp.
  5. Listen while reading the transcript. Edit errors, then insert the whole transcript or selected sections into the document.

Microsoft says recordings are stored in the Transcribed Files folder in OneDrive. Its support page lists monthly upload limits of 300 minutes for Microsoft 365 subscribers and 30,000 minutes for Copilot license holders; these limits and eligibility should be checked for your account because they may vary by license or tenant. Use an API for file transcription or a live stream

OpenAI file transcription

For a developer workflow, OpenAI’s transcription API accepts audio files. Its current guide lists MP3, MP4, MPEG, MPGA, M4A, WAV, and WebM, with a 25 MB upload limit. The guide recommends gpt-transcribe for recorded speech in its original language. Select the model and response format that fit the task; specialized models are directed for needs such as speaker labels, word timestamps, subtitle formats, or English translation.

Where supported, language codes and relevant context or keywords can help with domain vocabulary. Treat these as hints, not guarantees: check the output against the recording, especially when names or technical terms matter. Consult the OpenAI file transcription guide for current parameters and format requirements.

Amazon Transcribe batch transcription

Amazon Transcribe’s batch path processes files stored in Amazon S3. AWS lists AMR, FLAC, M4A, MP3, MP4, Ogg, WebM, and WAV for batch input. It recommends FLAC or WAV with PCM 16-bit encoding for batch audio, and documents word-level timestamps and confidence information in its output. Batch and streaming inputs have different requirements, so follow the instructions for the path you use.

AWS says its service supports over 100 languages and locales in its AI Service Card current as of May 26, 2026, while cautioning that feature support and accuracy vary by language. It describes accuracy as highest for English, particularly US English, and recommends testing with your own audio in the languages you need. Streaming transcription for speech in progress

If an application needs text from incoming audio while it is being spoken, use a provider’s streaming transcription path rather than a batch file workflow. Confirm the supported language, codec, sample rate, and features for your provider and implementation. AWS explicitly distinguishes batch from streaming requirements; consult Amazon Transcribe’s workflow documentation before configuring a stream.

Dictate live speech into Google Docs

Google Docs voice typing is microphone-based live dictation, not a documented way to upload an existing recording for transcription. Open a document in a supported browser, select Tools > Voice typing, choose the microphone icon, and speak. Check that the correct microphone is selected and that the browser has permission to use it. Google says the browser controls the speech-to-text service and determines how speech is processed before sending text to Docs or Slides. See Google’s voice typing instructions.

Prepare audio and check the transcript

Improve the source audio

  • When recording directly, confirm that the intended microphone is selected. Microsoft warns that an unsuitable microphone can produce disappointing results.
  • Reduce background noise and room reverberation where practical. AWS describes high-quality audio with low noise and reverberation as ideal.
  • For AWS batch transcription, use an accepted format; FLAC or WAV with PCM 16-bit encoding is recommended. Do not convert a file without a reason if the original is already accepted and clear.
  • If a service supports language or vocabulary hints, supply relevant information when useful, then verify the result rather than assuming it improved the transcript.

Review before using the text

Automatic speech recognition can omit or substitute words, insert text, or assign speech to the wrong speaker. Play the audio alongside the transcript and check names, dates, numbers, technical vocabulary, speaker labels, punctuation, and any passage that affects a decision. Word supports timestamped playback and editing; AWS recommends evaluating its service on your own audio. Do not use an unchecked transcript as the sole basis for a consequential decision.

Compare services against your actual needs

There is no single accuracy figure that applies to every recording, language, service, and model. Try representative audio when accuracy matters, and compare options on the requirements that affect your workflow:

  • Input: Existing file, direct microphone dictation, or incoming media stream.
  • Format and scale: Accepted container and codec, file-size or duration caps, and whether long recordings need a different workflow.
  • Language and task: Original-language transcription, translation, language detection, and feature availability for the language you use.
  • Output: Plain text, timestamps, subtitles, speaker separation, confidence information, or playback and editing tools.
  • Audio and consequences: Recording quality, accents, domain vocabulary, overlapping speakers, and the cost of an error.
  • Privacy and retention: Whether audio is uploaded, where recordings and transcripts are stored, retention and access controls, and any workplace rules.
  • Limits and eligibility: Subscription, tenant availability, quotas, and service-specific restrictions. Check current terms before choosing because they can change.

Privacy: check what happens to audio and transcripts

Data handling is provider-specific. Microsoft says Word recordings are stored in OneDrive’s Transcribed Files folder. Google says the browser controls voice-typing speech processing. AWS says it may temporarily store content to improve analysis models and documents transcript bucket choices. These statements should not be generalized to other providers; check the current service terms and your organization’s rules before uploading sensitive recordings.
