To test a spreadsheet, compare its results with independently calculated expectations, then change both the inputs and the cells or ranges its formulas depend on. Inspect formula text and references, investigate errors, and rerun important cases in every spreadsheet application the workbook must support. A displayed number by itself does not prove a calculation is correct.

1. Define expected results before testing

For each important calculation, write down a small set of inputs and the result you expect. Work out the expected result independently rather than using the formula under test to verify itself. Include a normal case and the boundary or exceptional cases that matter to the workbook.

  • Ordinary inputs: representative values users commonly enter.
  • Boundaries: values at or just around a threshold, limit, date boundary, or rounding point.
  • Exceptional inputs: blanks, zero, invalid values, and unexpected types where those can realistically occur.

There is no universal test set or decimal tolerance that fits every workbook. A payroll calculation, inventory threshold, and personal budget may need different cases and different rules for acceptable rounding.

2. Record a baseline and test one change at a time

Before editing, record the input values, displayed results, formula text, spreadsheet application, and relevant calculation settings. This gives you a reference point if a later result changes unexpectedly.

  1. Enter a known test case and compare each important output with its expected result.
  2. Change one input at a time. Check every output that should depend on it, as well as outputs that should remain unaffected.
  3. Repeat with blanks, zero, boundary values, and invalid or unexpected types that are relevant to the workbook.
  4. Record the actual result and whether it matched your expectation; investigate a mismatch rather than adjusting the expected value to fit.

Changing one variable at a time helps isolate a cause. Afterward, test a few realistic combinations if the workbook’s formulas depend on several inputs interacting.

3. Test what happens when referenced cells are edited

A formula can calculate correctly before an edit and still point to the wrong place afterward. Test the kinds of structural changes users might make to cells or ranges that formulas reference.

  • Insert or delete a row or column near a referenced range.
  • Move or overwrite a referenced cell or range.
  • Copy or fill a formula into neighboring cells, then inspect how its references changed.

After each edit, check both the displayed result and the formula’s references. Confirm that formulas still use the intended inputs and that copied formulas refer to the right row, column, or range. Do not assume a plausible-looking result means the references remain correct.

4. Inspect formula text, input interpretation, and errors

Displayed values hide how a calculation is built. Inspect the formula itself and the cells it uses, especially when a value looks wrong or changes after editing. Also check whether the input was stored as the type you intended.

Excel may interpret entries beginning with =, +, or - as formulas. Other entries can be interpreted as numbers, dates, times, percentages, or text according to recognized patterns and locale. A value that looks like a date or number on screen may therefore not behave as expected in a formula. See Microsoft’s documentation on Excel worksheet and expression evaluation.

Excel: check errors and trace a calculation

Excel’s Error Checking can flag common formula problems, and formula-auditing tools can help locate them. For a nested formula, Evaluate Formula steps through parts of the calculation; Watch Window lets you monitor selected cells. Microsoft cautions that Evaluate Formula may not explain why a formula is broken, has limitations with some functions and references, and can differ from the displayed value for volatile or recalculated functions. Automated checks are useful clues, not proof: Microsoft says, “These rules do not guarantee that your worksheet is error free, but they can go a long way toward finding common mistakes.” See Detect formula errors in Excel and How to avoid broken formulas in Excel.

Investigate errors such as #DIV/0!, #N/A, #NAME?, #NULL!, #NUM!, #REF!, and #VALUE!. An error may identify a bad reference or unsupported input, but a cell without an error can still contain a logically incorrect result.

LibreOffice Calc: trace dependencies and check settings

Calc’s Detective tool traces precedents and dependents, helping you see which cells feed a formula and which formulas depend on a cell. Calc also provides referenced-cell color coding and error messages. Use these features to follow an unexpected result back through its inputs. The Calc Guide’s formulas and functions chapter describes these tools.

Check calculation options when results depend on dates, iterative references, decimal precision, or related settings. If a workbook intentionally uses circular references, verify that iteration is enabled; otherwise Calc can report a circular-reference error. See LibreOffice’s calculation settings.

Google Sheets: treat error visibility as function-specific

Google announced in March 2026 improved visibility into underlying errors for selected functions, including HYPERLINK, VALUE, and T.TEST. That update applies to those functions; it does not establish that Sheets detects every incorrect formula or spreadsheet defect. Google also recommends reducing repeated calculations for performance, including moving a calculation into a separate cell and referencing it where needed. 5. Allow for decimal precision without overlooking real errors

Spreadsheet calculations use finite-precision arithmetic. LibreOffice explains that Calc and most spreadsheet software use hardware floating-point arithmetic; many decimal fractions, including 0.1, cannot be represented exactly in binary in a 64-bit double-precision number. As a result, a calculation can produce a tiny difference even when the formula is sound.

LibreOffice’s example: subtracting 32000.12 from 31000.99 can yield -999.129999999997 rather than -999.13 when additional decimal places are shown. For a calculation where that difference is acceptable, compare against an intentional tolerance or apply an explicit rounding rule suited to its purpose. Do not dismiss a material discrepancy in a financial or operational result as “just rounding.” The appropriate tolerance is specific to the calculation; LibreOffice’s Calculation Accuracy help explains the precision behavior.

6. Repeat the test in each target spreadsheet application

If a workbook must work in Excel, Calc, or Google Sheets, rerun the same cases in each application and compare them with the same expectations. Do not assume formulas, input interpretation, error visibility, or calculation configuration behave identically across products. For each application, check:

  • Error visibility: which errors or suspicious values it flags.
  • Formula inspection: whether you can inspect formula text, trace dependencies, or step through evaluation.
  • Edit response: whether formulas still reference the intended cells after insertions, deletions, moves, or overwrites.
  • Calculation configuration: recalculation behavior, iteration, date handling, and precision options relevant to the workbook.
  • Interoperability: whether the tested workbook produces the expected results in each application you need to support.

7. Keep a compact regression checklist

Save a short list of known inputs, expected outputs, and structural edits that previously mattered. After changing formulas, layout, or calculation settings, repeat those cases. This makes it easier to catch regressions: a change that fixes one result but breaks another that used to be correct.

A useful checklist records the test input, expected result, actual result, formula or range checked, application, and any relevant setting. Keep only cases that protect important behavior; a focused repeatable set is more useful than an unmaintained list of every possible input.
