For a readable record of a long SharePoint page, open it in Microsoft Edge, press Ctrl+P on Windows or Command+P on macOS, inspect the print preview, and save to an available PDF destination. A PDF can preserve multiple pages; a full-screen Snipping Tool capture records only what is on the screen, not the entire page below the fold. Check the saved PDF because print output may differ from the live SharePoint page.
Capture a long SharePoint page as a PDF
- Sign in with the authorized account and open the exact SharePoint page under review. Modern pages are stored in the site’s Pages library and may combine page text with web parts. See Microsoft’s SharePoint pages and sharing guidance.
- Let the visible content load. Note the page title and URL, and keep enough header or navigation context in view to identify the page. Check that focus mode is not hiding the header and navigation.
- Open Edge’s print dialog with Ctrl+P on Windows or Command+P on macOS. In the preview, choose all pages. Adjust scaling and margins to keep text readable; add headers and footers if a printed date or page numbers help the review.
- If important colors or styling are missing, enable Background graphics. Microsoft advises: “If the print preview or output looks different from the web page you’re printing, you should include the background graphics.” See Print in Microsoft Edge.
- Choose the PDF destination offered by your browser or managed device and save the file to an approved evidence location.
- Reopen the saved PDF. Check the first and last pages, text legibility, and important images or web parts. This is a practical verification step: Microsoft does not guarantee that every SharePoint page or web part will print exactly as it appears live.
When to add a screen capture
Use Windows Snipping Tool as supplemental evidence of a visible state, such as an expanded panel or page header. Its full-screen option captures the screen rather than the complete scrolling page. The Microsoft documentation reviewed here does not establish a built-in scrolling-page capture mode, so do not treat a full-screen snip as a full-page screenshot. Microsoft also documents saving a browser snip as HTML so the URL can appear below the snip; see Use Snipping Tool to capture screenshots.
What a screenshot or PDF proves—and what it does not
A capture records what was visible at that moment. It does not by itself establish who could access the page, whether embedded items had the same permissions, or what an audit log recorded. Modern SharePoint pages may include documents, videos, or lists stored in another SharePoint or OneDrive location; check those items’ permissions separately when relevant. Microsoft’s sharing guidance explains this distinction at Share a SharePoint page or news post.
Do not present PDF rendering or saving as proof of a logged file-view event. Microsoft’s SharePoint usage guidance says views generated when a third-party tool renders PDFs from a SharePoint Online library are not recorded in file-view statistics in the audit log. See SharePoint usage reports.

For review handoff, retain the source page URL and capture time alongside the file, and follow your organization’s rules for account identity, storage, access, and retention. These details provide context; they are not a substitute for a formal evidence-handling standard.
