To stream a charity gala replay continuously on YouTube Live, send the recording to a scheduled YouTube encoder stream and configure the encoder or playback system to repeat the file. YouTube documents how to create and connect an encoder stream, but looping is encoder-dependent. Test the entire playback and stream path before launch, clear rights for the recording and all included music or footage, and plan the run around YouTube’s archive limit: its encoder guidance says streams under 12 hours are automatically archived, so do not assume a longer broadcast will produce one complete archive.
Before you begin: confirm eligibility and permissions
Check that the channel can go live
YouTube requires a verified channel with no live-streaming restrictions in the previous 90 days. First-time live streaming may take up to 24 hours to activate. YouTube also states a minimum age of 16 for livestreaming. Check the channel’s access in advance rather than discovering an eligibility issue on event day. YouTube’s live-streaming eligibility guidance and encoder setup guidance cover these requirements.
Get rights clearance for the whole replay
A past performance being available as a recording does not by itself grant permission to retransmit it. The charity or organizer should confirm rights for the gala recording, performers, venue, sponsor material, third-party clips, and every musical element, including background and walk-on music. Confirm that permissions cover YouTube live retransmission, the intended territories, and any archive.
YouTube’s livestream terms put responsibility for necessary rights on the content provider, including music licensing rights. YouTube also scans live streams for third-party content. A match can lead to a placeholder, interruption, or termination; even licensed content may require the rights holder to add the channel to its Content ID allowlist. Claims can also apply to an archived stream after it ends. See YouTube’s guidance on copyright issues with live streams. This is a practical rights check, not legal advice.

Choose a replay setup
| Setup | When it may fit | Check before choosing |
|---|---|---|
| Computer with software encoder | A smaller operation where an operator can manage the computer and software. | Whether it can repeat the file unattended, maintain the chosen output settings, and recover simply after a failure. |
| Standalone hardware encoder | A dedicated or higher-production setup. YouTube recommends professional-grade hardware encoders for higher-production-value events, but a gala replay does not automatically require one. | Whether it can play and loop the media, support monitoring and failover, and be operated confidently. |
| Cloud or broadcast-processing encoder | A more complex broadcast operation; YouTube lists a broadcast-grade cloud processing service among encoder options. | Whether it accepts the replay source, supports repeating it, provides useful redundancy, and fits the ongoing budget. |
YouTube’s encoder guidance covers encoder categories, not the loop controls of a particular product. Confirm looping and unattended operation with the encoder documentation or provider; do not assume every encoder can repeat media.
Set up the YouTube Live event and encoder
- Schedule the stream. In YouTube Studio, open Live Control Room and create a scheduled encoder stream. Scheduling lets you prepare the event page and promote the watch link. Review the event’s settings in YouTube’s live-stream settings guide.
- Copy the ingest details. In Live Control Room, obtain the stream URL and stream key, then enter them in the encoder’s YouTube destination settings. Treat the key like a password: keep it private and regenerate it if exposed. The encoder setup guide explains the connection.
- Set up repeat playback. Add the gala recording as the encoder’s media source and enable its repeat or loop option if supported. Check that the loop returns cleanly to the beginning, audio remains in sync, and the source continues playing without operator input. This playback configuration is encoder-dependent; YouTube’s instructions explain the incoming encoder feed, not a universal looping control.
- Choose a supported ingest protocol and settings. YouTube recommends RTMPS for encrypted ingest; see its RTMPS instructions. YouTube’s general encoder settings recommend constant bitrate and a 2-second keyframe interval, and say not to exceed 4 seconds. Use a resolution and bitrate your encoder and connection can sustain, referring to YouTube’s encoder settings, bitrates, and resolutions. YouTube transcodes streams for supported viewer formats.
HLS is another option where supported, but it uses segmented video and has higher latency; it also has additional playlist and segment requirements. Use it only if your encoder workflow supports those requirements. Details are in YouTube’s HLS setup guide.

Test the complete stream before the gala replay
- Prepare early. YouTube advises configuring at least two hours before the stream and starting the encoder at least 15 minutes before the scheduled event. This gives you time to resolve connection or playback problems. See YouTube’s live-stream tips.
- Check the preview and player. Confirm that Live Control Room receives the stream, then check the public watch page and playback on a mobile device. Verify picture, audio, synchronization, and the transition from the end of the file back to its beginning.
- Test the archive plan. If you are also making a local recording, check that it is being written and can be played. For a broadcast longer than 12 hours, arrange separate local recordings or another archive process and verify the current Studio behavior; do not rely on a single complete YouTube archive.
- Test backup ingest if you plan to use it. YouTube recommends upload capacity sufficient for the primary and backup stream bitrates plus 20% headroom. Test failover by stopping primary ingest and confirming that the backup takes over as intended. A backup that has not been tested is not a dependable recovery plan. See YouTube’s streaming tips.
Run the broadcast and handle interruptions
Assign someone to watch both Live Control Room stream health and the actual player, listen for audio problems, and respond if the feed stops or YouTube reports an issue. Keep the encoder and replay source under observation for the full run; a loop can fail even when the YouTube event itself remains scheduled. After the event, end the stream in the encoder and confirm the event’s final status in Studio.

YouTube says streams under 12 hours are automatically archived in its encoder guidance. For a longer continuous run, do not promise supporters one complete archive: use a separate recording and verify the current Studio behavior for the event.

Common problems and fixes
- The channel cannot start the stream: Check verification, prior live-stream restrictions, and whether first-time activation has completed. Allow up to 24 hours for activation.
- The encoder connects but the replay does not repeat: Confirm that the chosen encoder supports looping and that repeat is enabled on the correct media source. If it cannot loop unattended, use a different playback method or plan operator intervention.
- The stream drops or becomes unstable: Check the connection and upload capacity against the combined primary and backup bitrates, with YouTube’s recommended 20% headroom. Test backup ingest rather than assuming it will work.
- YouTube interrupts the broadcast over third-party content: Review rights and Content ID arrangements with the relevant rights holders. A license alone may not prevent a live interruption if the channel has not been allowlisted.
- The archive is incomplete or unavailable: Check the stream duration and current Studio status. YouTube’s cited automatic-archive guidance applies to streams under 12 hours; arrange and verify a separate recording for longer runs.
- Viewers hear or see a problem that the preview missed: Check the public player as well as Live Control Room, then inspect the encoder’s source playback, audio routing, and output settings. Keep an operator available to respond.
Or let it run in the cloud
For a YouTube channel that should keep a prerecorded gala replay running without a computer at the venue, StreamNeo is a cloud service from Yorker Media. Upload the recording or build a playlist, add the YouTube stream key once, and go live. It loops uploaded videos in the cloud, so nothing has to stay on at home or at the charity office. It does not stream from a camera.
Each slot streams the uploaded quality, up to 4K 60fps, at one flat price per slot with no re-encode or quality tiers. It includes 10 GB storage per slot, pooled across active slots, 24/7 looping and playlists, automatic recovery if YouTube drops the stream, and support from the StreamNeo team. The first day is free with no card, one free day per account. Plans differ by duration, and can be cancelled any time:
