A folder-based schema can make product data and image assets easier to prepare consistently, but WooCommerce does not require a particular folder hierarchy. Its built-in CSV importer reads columns mapped to product properties. To standardize imports safely, start with a store-specific CSV template, define a repeatable folder and file-naming convention for your team, and validate the CSV and image references against the importer you actually use.

What WooCommerce requires—and what it does not

WooCommerce’s built-in product CSV importer and exporter, documented for WooCommerce 3.1 and later, works from CSV data and a schema that maps columns to product properties. It does not prescribe folders for organizing source files. Treat folders as your team’s preparation system, not as a WooCommerce import setting. WooCommerce’s product CSV schema documents the native data format and supported fields.

The schema specifies UTF-8 CSV, comma-separated multiple values, the > character for taxonomy hierarchy, and 1 or 0 for boolean values. It supports custom metadata as plain text; serialized data is not supported by that schema. These format rules belong in your CSV-generation and review checklist, regardless of how you arrange source files.

Build a store-aware CSV template first

Before creating a folder tree or mapping a large catalog, add one representative product in WordPress and export it. WooCommerce’s Product CSV Import Suite guide recommends this approach to capture fields required by the particular store. That is guidance for the premium extension, not a requirement to buy or use it; the useful principle is to base your mapping on an actual product and the importer’s supported schema.   1. Create a representative product in the target store, including the product types and fields your catalog genuinely uses.
  2. Export it with the importer/exporter workflow you plan to use, then keep the resulting CSV as the baseline template.
  3. Map each source-data field to a documented CSV column or supported custom metadata field. Record transformations such as boolean conversion, taxonomy hierarchy, and comma-separated values.
  4. Keep the template versioned with your preparation materials so changes to the store’s product fields are deliberately reflected in later imports.

Use a folder convention as a team-level implementation

Because WooCommerce documentation does not define a canonical folder tree, the following is an example convention—not an official requirement or a description of a tested store workflow. Adapt the names to your operations, but keep the roles distinct: source data, prepared CSV, and image assets should not be confused with one another.

A batch folder gives staff one place to assemble a particular import. Store original data separately from the prepared CSV so that transformations can be repeated without overwriting the source. A manifest can record the product SKU, expected image filename or URL, and any notes needed to resolve assets. This is an organizational suggestion; WooCommerce does not read this tree as a schema.

Make naming predictable

Choose a filename convention that is stable, unambiguous, and easy to relate to product records—for example, using a SKU as the image basename when that matches your asset workflow. Avoid inventing a convention that depends on undocumented behavior in the importer: a filename in a folder is not itself a guarantee WooCommerce will locate the file. Confirm whether your chosen importer expects an online URL, a pre-uploaded media-library image, or an extension-specific filename reference.

Keep product and variation relationships explicit

Use stable SKUs and preserve the relationship between each variation and its parent in the product data. WooCommerce’s Product CSV Import Suite variation guidance uses SKUs to associate variations with parent products. Do not rely on row order or a folder name to express that relationship; ensure the CSV’s documented fields and identifiers carry it. The variation-import guidance explains the extension’s SKU-based association.

For repeat imports, distinguish adding products from updating existing ones. The importer/exporter workflow documents updating existing products by matching IDs or SKUs when the update option is enabled. Enable that option only when you intend those identifiers to select existing records for modification. The importer workflow documentation covers matching and updates.

Prepare images for the importer you are using

The core CSV schema requires images to be uploaded already or available online. It supports external image URLs and documents referencing an image already in the media library by filename. Therefore, your folder convention should be paired with an explicit delivery step: upload the files or make sure their URLs resolve, then use references the selected importer supports. The native schema documentation describes these options.

The Product CSV Import Suite FAQ gives additional filename guidance involving wp-content/uploads/year/month/ and wp-content/uploads/product_images/, including a current-year/month restriction for one path and pipe-separated multiple images. Those details are specific to that extension’s documentation; do not assume they apply to the native importer or every extension version. Check the guidance for the exact importer and version in use. Validate before importing

A repeatable process should catch structural errors before the CSV reaches the live catalog. The following is a practical checklist for an implementation; it is not a WooCommerce-prescribed validation procedure.

  • Confirm the file is UTF-8 CSV and that its headers align with the store-aware template.
  • Check that multivalue fields use commas, taxonomy paths use >, and boolean values use 1 or 0.
  • Verify every variation points to the intended parent and that SKUs are stable and unambiguous.
  • Resolve each image reference under the selected importer’s rules: test that URLs are reachable or confirm the files are uploaded and named as expected.
  • Review the importer’s field-mapping screen before committing the import, and confirm that update-by-ID or update-by-SKU behavior is enabled only when intended.

For a high-impact batch, retain the original source files and prepared CSV so you can diagnose discrepancies and reconstruct the import input. The cited documentation establishes supported formats and matching behavior, but it does not prescribe a rollback process; plan recovery according to your store’s backup and change-management practices.

When a folder-based approach helps

Folders are useful when multiple people prepare data and images, when batches need to be audited, or when the same transformations recur. They do not replace CSV schema mapping, SKU discipline, image availability, or a deliberate update strategy. For a small one-off import, a simple prepared CSV and clearly resolved image references may be enough; for repeated imports, a consistent batch layout can make ownership and handoffs clearer without implying that WooCommerce consumes the folder hierarchy.
