The safest way to share a design template is to decide whether collaborators should edit one shared source, comment on a review copy, view a presentation, or receive separate reusable copies. Then choose the narrowest audience and permission that supports that outcome, share by invitation or link, and test the recipient experience before distributing it.

Choose the collaboration outcome first

“Share the file” and “share a template” are different jobs. A shared file keeps everyone working in one source. A template distribution workflow is intended to give each recipient a starting point, with copy and update behavior determined by the platform.

One shared source for continuing work

Use direct file sharing when edits, comments and version history should remain in one document. Invite named people or grant access to an appropriate team or workspace. This is the right model for a campaign deck, product launch board or design system that several people maintain together.

Comment-only review

Choose comment permission when reviewers should leave feedback without changing layout, text or assets. Confirm that comments are enabled for the specific resource and that reviewers can sign in if the platform requires it.

View-only presentation

Use view access for stakeholders who only need to inspect the current design or prototype. A view link is not automatically a reusable template; recipients may be unable to edit or duplicate it unless the platform provides a separate command.

Reusable starting copies

Publish or distribute a template when every recipient should begin with an independent copy. Do not promise synchronization unless the platform explicitly supports it. On some services, later source edits require recipients to duplicate a newly published version.

Prepare the source before sharing

Remove content that should not travel

  • Delete private client data, internal comments, credentials, draft pricing and unused assets.
  • Inspect hidden layers, off-canvas objects and cropped material. Canva warns that content not immediately visible can be accessible depending on the sharing method and permissions.
  • Review presenter notes and speaker-only material before making a link public.
  • Rename pages, frames or slides so recipients can find the intended starting point.

Place the file where its permissions make sense

For a team library, use a folder or team location whose membership matches the intended audience. Folder inheritance can override an individual file setting. In Figma, the team and folder containing a Slides template determine who can access it.

Define an update policy

Write a short note such as “This link is the live source” or “Duplicate the latest published version for new projects.” That prevents collaborators from assuming that a downloaded or duplicated copy will receive future changes.

Set audience and permission deliberately

Most design platforms separate who can reach a resource from what they can do. Check both controls before copying a link.

Audience Use when Risk to check
Invited people A named client, contractor or reviewer needs access. Forwarded invitations may expose the file to an unintended account.
Team or workspace Any current member should use the file. Membership changes can expand or remove access.
Organization A larger managed group needs the resource. Administrators and folder policies may alter effective permissions.
Anyone with the link You intentionally want broad access or public distribution. The link can be forwarded; hidden or cropped material may still be reachable.

After selecting an audience, assign the least powerful role that works: view, comment or edit. Anonymous editing is not universal; sign-in, organization policy and plan restrictions can apply.

Platform-neutral sharing procedure

  1. Open the source design or template. Confirm that you are sharing the intended version and resource type.
  2. Open Share or the equivalent access panel. Look for separate controls for people, groups, link access and role.
  3. Select the audience. Prefer named invitations for private work; use team, workspace or organization access only when membership is controlled.
  4. Choose the role. Set view for presentation, comment for review or edit for co-authoring. For reusable copies, use the platform’s template or duplicate workflow rather than granting edit access to the source.
  5. Send an invitation or copy the link. Include a sentence explaining whether recipients should edit the source, comment, or make a copy.
  6. Test the recipient experience. Open the link from an intended recipient account or ask a collaborator to verify access. Check whether the expected button—comment, edit, duplicate or use template—appears.
  7. Recheck inherited access. If someone cannot see the resource, inspect team membership, folder permissions and organization restrictions before changing the link to public.

Canva: share a design or create a Template link

Canva documents sharing from the editor or home page by email or link. Its access choices include Only you can access, Only your team for team workspaces, and Anyone with the link; each can be paired with view, comment or edit permission. See Canva’s sharing instructions for the current labels.

Direct Canva sharing

  1. Open the design and select Share.
  2. Invite people by email, choosing view, comment or edit, or change the link audience and role.
  3. Copy the link or send the invitation.
  4. Test with a recipient account and verify that the design opens with the intended role.

Canva Template links

A Template link is distinct from an ordinary edit link. Canva identifies Template links as available to Canva Pro, Canva Teams, Canva Enterprise, Canva for Education and Canva for Nonprofits users. Availability and labels can change, so confirm that your account currently offers the option before promising a template-copy workflow.

Before publishing, inspect hidden content, cropped elements and presenter notes. Canva specifically warns that such material may be accessible depending on how the design is shared and the permissions granted.

Figma: files, prototypes and Slides templates

Figma supports sharing files, prototypes, folders and teams through links, invitations and embeds. Its sharing overview notes that projects are transitioning to folders beginning August 3, 2026; use the current location and permission labels shown in your workspace.

Share a Figma file or prototype

  1. Open the file or prototype and select Share.
  2. Invite specific people or choose the available audience—such as anyone, invited people, or an organization/workspace where applicable.
  3. Assign view, comment or edit access supported by your plan and organization.
  4. Copy the link and test it while signed in as a recipient.

Figma’s file and prototype guide distinguishes these links from template publication. Someone without access may be able to request it rather than open the resource immediately.

Publish a Figma Slides template to a team or organization

Figma documents Slides template publication as a paid-plan feature. The source must be in the relevant team folder, and team and folder permissions control access. Professional plan users are limited to five published templates per team. Publishing to an organization can adjust restrictive source-file sharing permissions, so review the source’s access settings after publishing. Publish a Slides deck to Figma Community

Community publishing is also documented as a paid-plan feature. A person who duplicates a Community template receives a separate copy without the original version history, comments or updates. If you change and republish the template, users must duplicate the updated version to receive those changes. The behavior is described in Figma’s Community template documentation.

How to explain the link to collaborators

Make the expected action explicit in the message accompanying the link:

  • Shared source: “Edit this file directly; everyone is working in the same version.”
  • Review: “Leave comments only; do not change the layout.”
  • View-only: “Use this link to present the current version.”
  • Reusable template: “Use the template or duplicate command to create your own copy. Changes to your copy will not update the source.”

Troubleshooting access and update problems

The recipient sees a request-access screen

Check that the invitation was sent to the account they used to sign in. Then inspect team, workspace, organization and folder membership. If the resource is inside a restricted folder, changing only the file link may not be sufficient.

The recipient can view but not edit

Reopen the access panel and confirm the role is edit, not view or comment. Plan limits, administrator policies or ownership rules may prevent editing even when the link is forwarded.

The template option is missing

You may be using an ordinary file link, an ineligible account or an unsupported resource type. Canva’s Template links have specific account categories. Figma treats Slides template publication separately from ordinary file and prototype sharing.

Recipients expected updates but see an old design

They probably received a duplicate rather than access to the live source. Tell them whether to keep working in the shared file or duplicate the latest published version. For Figma Community copies, republishing does not update earlier duplicates.

Unexpected private material is visible

Immediately change the audience or revoke the link, then inspect hidden layers, cropped objects, notes and comments. Remove sensitive material from the source before creating a new public or template link.
