Set up Odoo Community Edition by choosing a specific release and hosting approach, defining the records your business needs, and configuring only the apps that support those workflows. Before using it for live transactions, verify the country-specific accounting settings and test a complete transaction from start to finish. The exact steps and interface depend on your Odoo release, country, and hosting choice.

1. Decide what the business needs to record

Start with the work you expect to do in the first month. A household business might need only customer invoices, or it might also need supplier bills, stock tracking, counter sales, or job management. The right app set depends on those tasks; installing everything at once adds setup work without proving it is useful.

  • Service or invoicing-first business: begin by testing customer records, invoices, payment recording, and reports.
  • Goods business: include product and inventory workflows if you need to track stock, then test receiving and selling an item.
  • Counter sales: consider Point of Sale (POS) if customers buy in person. Test a session, sale, payment reconciliation, and session closing.

Odoo’s versioned documentation lists application areas including accounting, inventory, and POS. Choose apps based on your actual workflow, not on the assumption that every small business needs the same configuration.

2. Choose the Odoo release and hosting approach

Choose a release before following an installation guide. Odoo publishes versioned documentation, and menu labels, setup procedures, and supported features can differ between releases. Keep the documentation version aligned with the release you install.

Odoo 14 documentation describes Community as the free and open-source edition licensed under GNU LGPLv3. That statement is specific to the Odoo 14 documentation context; check the terms and documentation for the release you intend to use rather than treating an older page as a complete statement of current terms.

Hosting determines who handles the technical upkeep. With a self-hosted installation, you are responsible for the server, database, network access, updates, and backups. Choice What it means for a small business What to check
Owner-managed hosting You control the environment and are responsible for keeping it running and maintained. Who will manage updates, database access, backups, restore checks, and secure remote access?
Managed hosting A provider takes on some operational tasks; the extent varies by provider. Confirm the provider’s included maintenance, backup and restore arrangements, access controls, and terms.

Odoo 14’s installation documentation describes online use, packaged installers, source installation, and Docker as broad installation routes. Those categories can help you understand the choices, but the page is not a current, command-by-command guide for a different release. Use the official documentation for your selected release and its installation and maintenance instructions before proceeding.

3. Set up a test database and business identity

Learn the system in a test database before importing live customer, supplier, or transaction records. Use it to check menus and complete the workflows you chose. Database creation steps can vary by release and deployment method, so follow the matching official documentation rather than relying on instructions for another version.

Enter the business identity and financial basics accurately, including the business name, country, currency, and applicable fiscal settings. These choices affect the records and accounting configuration that follow. If you are unsure which country or entity settings apply, confirm them with a local accounting professional before using the database for live records.

4. Install the apps your workflow needs and test a full transaction

Install the smallest app set that can complete the work you identified. Then test one end-to-end example in the test database. The exact interface varies by version, so use the selected release’s documentation when locating settings or actions.

5. Give each person appropriate access

Create an individual login for each person who uses the system, and grant only the access their work requires. Avoid sharing an administrator login for routine tasks: individual accounts make it easier to manage access when responsibilities change. Roles and permissions depend on the installed apps and version. For example, Odoo 19 POS documentation distinguishes employee and manager access levels; consult the version-matched guidance for the roles available in your setup.

6. Verify the accounting localization before live use

Accounting configuration depends on the business’s country and circumstances. Odoo 17 documentation describes country-specific localizations that cover items such as charts of accounts and taxes. Select the localization that fits your business, then have a local accountant verify the configuration before relying on Odoo outputs for filings. Tax rates, filing obligations, and accounting treatment vary by jurisdiction and entity structure.

7. Make backups, updates, and restore checks part of setup

Before relying on the system, establish how it will be backed up and updated. This is especially important when you manage the server yourself. Do not assume a backup exists until you have confirmed that it is configured and tested a restore. Use the administration documentation for your selected release and, if applicable, your hosting provider’s instructions; backup procedures and retention arrangements depend on the deployment.

8. Wait to buy hardware until the workflow is proven

Do not assume a particular computer, scanner, printer, or payment terminal is required for a basic setup. First choose the deployment, test the workflow in the selected release, and check its compatibility documentation for any equipment you plan to connect. Odoo documents browser-based POS workflows and optional connected devices, but the hardware needed depends on your setup.
