You can usually keep your existing business number and route its calls to an AI answering service, but the exact forwarding options depend on your phone provider and line type. First decide which calls the AI should handle, then configure and test the service and every handoff. Do not turn on forwarding until a test call succeeds.
1. Decide what the AI should handle
Write a short call policy before setting up greetings or prompts. It gives the service clear boundaries and makes testing more useful.
- Coverage: Should the AI answer every call, only calls staff do not answer, or only after-hours calls?
- Business information: Provide the approved greeting, hours, location or service-area details, and answers to common questions.
- Information to collect: Specify which caller details or lead-qualification answers the AI may request.
- Appointments: Define what the AI may schedule, which availability it can offer, and what it should do if a booking cannot be completed.
- Urgent calls and transfers: Name the circumstances that require a person and the correct transfer destinations.
- Uncertainty and fallback: Tell the system what to do when it cannot answer confidently, a transfer fails, or the business is closed.
When comparing services, check whether their listed features match this policy: relevant capabilities may include call routing, summaries, recordings or transcriptions, lead qualification, scheduling, and integrations. These are vendor-listed features, not independent evidence of answer quality. Smith.ai describes its AI Receptionist features on its feature page.

2. Choose a service and check its terms
Compare operational fit, not just whether a product is labelled an AI answering service. Review included calls and overage charges, whether you can test before launch, human escalation and routing, integrations, languages or voices you need, reporting, and onboarding support. Verify that any scheduling or CRM integration supports the specific workflow you plan to use.

As an example rather than a market average, Smith.ai’s pricing page listed, when accessed October 4, 2026, a $0/month plan with 25 calls per month and $3 per additional call; a Pro option at $150/month with a displayed $2/call rate; and an Enterprise option at $500/month with a displayed $1.67/call rate. The page also showed selectable call-volume tiers and related per-call rates. Check Smith.ai’s current pricing directly: plan limits and terms can change. 3. Choose how callers will reach the service
| Connection choice | What it means | What to check |
|---|---|---|
| Use a service-provided number | Callers reach the number supplied by the answering service, or your existing system routes calls to it. Smith.ai’s setup guidance describes starting with its number or forwarding an existing number. Source | Decide how customers will find or reach the number and how calls to your main business number will be handled. |
| Forward your existing phone number | Your public-facing number remains the one customers dial, while your phone provider sends calls to the service. Smith.ai describes forwarding as an alternative to porting in its Twilio integration guidance. Source | Check your carrier’s forwarding support, whether conditional forwarding and caller-ID pass-through are available, and how staff transfers will work. Requirements can vary by provider and line type. Source |
Forwarding can avoid porting in the documented Twilio setup, but it is not a guarantee that every carrier or line can use every forwarding option. Contact your phone provider for the current instructions for your specific service.

4. Choose which calls should go to the AI
Your forwarding rule determines whether AI call answering is always in the path or acts as backup. Some business phone systems support all-call forwarding as well as conditional rules such as overflow or after-hours forwarding; OpenPhone documents these options for its integration. OpenPhone integration details. Other providers may offer different rules or names.

| Forward every call | You want the AI to answer all inbound calls first. | Confirm how it transfers callers to staff and handles calls it cannot complete; consider whether internal or routine calls will also reach it. |
| Overflow or no-answer forwarding | You want your team or existing phone system to ring first, with the AI answering calls that are not picked up. | Confirm the provider supports the rule and that its timing does not create an unintended voicemail or forwarding loop. |
| After-hours forwarding | You want the existing system to handle calls during business hours and the AI to cover closed hours. | Set and verify the schedule, time zone, holidays, and what happens when the business reopens. |
Use your phone provider’s current call-forwarding instructions to configure the rule. Do not assume another carrier supports the same menus, conditions, or caller-ID behavior.

5. Configure the service and test the full call path
Enter the approved business facts, greeting, FAQs, collection fields, appointment rules, opening hours, transfer destinations, and escalation instructions. Then test from an outside line before sending customer calls to the service.
- Call the number customers will dial. Verify that the intended greeting plays and that the call reaches the AI under the selected routing rule.
- Ask representative questions. Check that answers reflect the information you supplied and that the AI follows your boundaries when it does not know an answer.
- Test the actions you enabled. Try a representative appointment request or information-collection flow, if configured.
- Test transfers. Confirm the right staff destination rings, the caller can reach a person, and a failed or unanswered transfer has the intended fallback.
- Test coverage conditions. Check caller-ID behavior, business-hours and after-hours handling, voicemail or fallback behavior, and any overflow timing.
- Review the result. Check the service’s test-call notification and any call summary against what happened on the call.
Smith.ai Support’s setup guide states: “Please do not start forwarding your calls to us until you receive the email or text summary with the successful test notification.” The Basics. Treat a successful inbound greeting alone as insufficient if transfers, schedules, or fallback paths are part of your setup.
