Give an embedded editor user access in three layers: share the underlying document or project with the right role, authenticate them through the provider’s supported login or token flow, then allow only the editor actions they need. Do not treat hidden buttons as security controls: enforce sensitive operations through the provider’s permissions or server-side capabilities, and test the result with both authorized and unauthorized accounts.
How embedded editor permissions work
An editor shown inside an iframe does not necessarily have its own independent permission system. In several products, the embed inherits access from the user’s account and the source document. Marq says an embedded project uses the user’s existing authentication and access level, and the project must be shared with that user. Lucid similarly restricts editor mode according to the user’s existing View or Comment permission. In those models, changing an iframe setting cannot grant a user access they do not have on the source document.
Other providers expose more granular embed configuration, token claims, or capabilities. Before configuring anything, identify which model applies to your product and whether a control governs actual authorization or only what appears in the interface.
The three layers to configure
- Resource access: Share the document, project, or template with the intended person at the lowest role that permits the required work.
- Identity and session: Authenticate the person using the supported account login, SAML flow, or a server-created token/session. Check how the provider handles expiry and concurrent sessions.
- Editor actions and capabilities: Enable only the controls needed, and verify that sensitive operations are restricted by enforceable permissions rather than button visibility alone.
Choose the right permission model
Provider terminology is not interchangeable. “Editor mode,” an enabled Save button, and permission to alter a document’s settings can represent different levels of authority. Use the provider’s documentation to map each role or flag to the actual operation it permits.

Set permissions step by step
- List the required work. Write down the exact operations: view, comment, edit text, resize an object, save, rename, change settings, manage versions, or replace a document. “Needs editor access” is too broad to configure safely.
- Identify the resource and owner. Determine whether access is granted on a document, project, template, or through a token. Find out whether the embed inherits a user’s existing role or uses explicit permissions.
- Grant the minimum underlying role. Share the source resource with the named user or appropriate account. Start with the lowest role that supports the required operation; do not make a document public just to make an iframe load.
- Restrict the embed origin where supported. Set the authorized domain or origin in the provider’s embed configuration. This narrows where the embed is intended to run, but it does not substitute for authenticating the user or authorizing the resource.
- Authenticate through a supported flow. Use account login, SAML, or a provider-created session/token as appropriate. If the provider requires server-side token creation, keep long-lived secrets on the server; do not put them in browser code. For iframe login problems, follow the provider’s documented flow rather than weakening access checks.
- Enable only necessary controls. Turn on required actions such as save or rename. Leave layer unlocking, document replacement, settings access, and version-management actions disabled unless there is a clear need and the relevant authorization is enforced.
- Account for session behavior. Set a defensible expiry, obtain fresh tokens where required, and make the interface resilient to expiration or session replacement. Tell users how to reopen or refresh the editor when a session becomes invalid.
- Test both the interface and the operation. Use representative viewer, commenter, and editor accounts, plus an account with no access. Verify visible controls and attempt the relevant operation through the provider’s supported server/API path where applicable. A missing button is not proof that the operation is forbidden.
Make the embed read-only—or grant a narrow edit role
For a read-only experience, begin with a source-document role that cannot edit. Then select a view-oriented embed mode if the provider offers one. Confirm that the user cannot save changes through the supported editor flow; hiding Save alone is insufficient if the backend still accepts edits.
For a limited editor, grant the underlying role that allows the intended work and enable only those actions. For example, if a user must change text and save but must not alter layers or replace a PDF, configure those permissions separately wherever the provider supports it. Do not infer that a broad “edit” role is granular enough: check what it includes.

Templated’s documented Embed Configuration is one example of action-level controls. Its documented defaults include rename and save enabled, while resize, layer operations, and text editing are disabled. Review the actual configuration for the embed you are deploying instead of relying on assumed defaults. For DocSpring, the documented features setting affects the UI; separate named capabilities govern sensitive settings, versioning, and document replacement.
Authentication, tokens, and iframe edge cases
When login inside the iframe fails
Some identity providers block a login page from loading inside an iframe. Marq documents opening the login page in a new window when necessary. Preserve the intended identity flow, complete authentication there, and return the user to the embed as the provider supports. Do not work around the problem by removing authentication.

When tokens expire or sessions conflict
A token or editing session is a temporary authorization mechanism, not a permanent user permission. Floorplanner advises requesting a new token each time because tokens expire. PandaDoc’s documented session model allows only one active session for a user-document pair, and starting a new one invalidates the old one. Your application should handle expired or replaced sessions with a clear recovery path rather than treating them as unexplained editor failures.
When the document is not eligible
PandaDoc’s documented embedded editor opens draft documents only. If a user has a valid session but the editor will not open a non-draft document, check document state before changing the user’s role or issuing broader access.

Security checks before launch
- Least privilege: Each user has only the document role and editor actions needed for their task.
- Server-side enforcement: Sensitive operations are rejected when the relevant capability or authorization is absent, even if a user can manipulate the client interface.
- Secret handling: Long-lived credentials are not embedded in client-side code. Use the provider’s supported server-side session or token flow.
- Origin restrictions: Where available, allowlist the domains that should host the embed; treat that as one control among several.
- Lifecycle handling: Expiry, revocation, document state, and concurrent-session behavior are understood and tested.
- Negative tests: An unauthenticated user and a user without resource access cannot view or change the document through the embed.
Permission granularity, inherited roles, SSO and iframe behavior, server-enforced capabilities, domain restrictions, token expiry and revocation, concurrency, auditability, and webhook support are useful comparison points when choosing an embedded editor. The available product documentation described here establishes some of those behaviors, but it does not establish a common audit-log or webhook capability across these providers; check the product and plan you intend to use.

Frequently Asked Questions
Can an embedded editor user edit without having a separate account?
It depends on the provider’s authentication model. PandaDoc documents token-based editing sessions that let end users edit without separate PandaDoc accounts; that model does not provide simultaneous multi-cursor collaboration.
Does a domain allowlist grant a user permission to edit?
No. A domain allowlist restricts where an embed may be used; it does not replace user authentication or authorization to the underlying document.
