Use lowercase ASCII words separated by hyphens, put the identifying subject first, add a date or edition only when it is part of the content’s identity, and keep the correct file extension. A useful screenshot might be checkout-error-payment-form-2026-09-29.png; a current policy document might be travel-policy.pdf; a dated report might be annual-report-2025.pdf. This convention is readable to people, predictable across operating systems, and easier to maintain in links and archives.
The filename convention that works
Build each name from four decisions, in this order:
- Subject or purpose: name the page, feature, document, or task in ordinary user language.
- Useful state or context: add terms such as
mobile,menu-open,password-reset, orstep-02when they help someone distinguish files. - Date or edition: include one only when the date identifies the content, not merely when the file was exported.
- Extension: use the actual format, such as
.png,.jpg, or.pdf.
Separate words with hyphens, use lowercase, avoid accents and punctuation, and keep the result short enough to scan. For example:

How to name website screenshots
Start with what the image proves
Name the page or feature a person is looking for, not the software that created the image. IMG00023.JPG says nothing; billing-invoice-download-error.png does. Put the most identifying words first so a truncated tab, file list, or URL still exposes the purpose.

Add state, device, or sequence only when it matters
Include a state such as logged-out, validation-error, or modal-open when the same page has several meaningful views. Add mobile, tablet, or a viewport label when responsive behavior is being documented. Number a sequence only where order is meaningful; use zero padding (step-02, not step-2) so alphabetical sorting remains chronological.
Keep a set visually consistent
Use one vocabulary and ordering across a document or issue. Do not alternate between checkout-error, checkout-failure, and payment-bug for the same state. Keep operating-system and visual-treatment choices consistent, crop to the relevant interface, and remove or fully cover personally identifying information. Blur or mosaic alone should not be treated as reliable redaction.
Separate the filename from alt text
A descriptive filename helps identify an asset, but it is not an accessibility substitute. Give the image meaningful alt text in the page or document, and use nearby headings, captions, and explanatory text to provide context. Screen-reader users may encounter the document title rather than the filename, so both need to be understandable.
How to name PDFs
Use the document’s purpose or title
Prefer plain-language terms a user would search for: summary-of-pay-gap-findings.pdf is more useful than spgfind.pdf. Keep the name short and front-loaded; avoid autogenerated character strings. Use hyphens instead of spaces or underscores for new files.

Decide whether a date belongs in the name
Add a full date in YYYY-MM-DD form when the artifact is tied to a particular day, such as a meeting pack, daily capture, or incident record. Use only the year or year-month when that is the actual period, for example benefits-guide-2026.pdf or status-report-2026-09.pdf. Do not append the export date to a document whose content is not date-specific.
Distinguish a canonical file from an archive
For a current canonical document, keep one stable filename such as travel-policy.pdf and replace the file in place, or manage a redirect when its URL must change. For an archive, a controlled date or edition field distinguishes genuinely different published artifacts: travel-policy-2024.pdf and travel-policy-2025.pdf. Workflow labels such as final, FINAL2, or REALLYFINAL are not editions and should not be published.
Set metadata as well as the filename
A PDF filename is only one part of publication quality. Give the file a unique title and plain-language subject, run OCR on scans so text can be searched, and check headings, table headers, meaningful links, and accessibility. HTML is generally the more accessible format; if a PDF is necessary, make essential information available as HTML where feasible.
Characters, extensions, and compatibility
- Use lowercase ASCII letters, numbers, and hyphens.
- Avoid spaces, slashes, accents, question marks, ampersands, quotation marks, and other punctuation that can be encoded inconsistently in URLs or command lines.
- Use the extension that matches the bytes:
.png,.jpg,.webp, or.pdf. Do not rename a JPEG to.png. - Keep spelling and singular/plural choices consistent across a collection.
- If an established directory already uses underscores, changing every old link may create more risk than benefit. Use hyphens for new conventions and migrate deliberately.
Do filenames affect SEO or accessibility?
They provide clues, not a ranking guarantee. Search systems can use the filename alongside the surrounding page, title, caption, and alt text. A short descriptive name is preferable to a camera default, but stuffing repeated keywords or adding irrelevant terms makes the asset harder to manage and does not replace useful page content.

Accessibility depends more heavily on the document structure and alternatives. Use a descriptive PDF title, real headings, table headers, meaningful link text, and OCR where needed. For images, write alt text that conveys the purpose or information; do not copy a long technical filename into the alt attribute.
A repeatable naming workflow
- Identify the retrieval question. Ask what a colleague will type or scan to find this asset.
- Write the shortest plain-language subject. Remove filler words and internal abbreviations.
- Add distinguishing context. Include state, device, audience, or sequence only if two otherwise similar files would be confused.
- Apply the date rule. Use
YYYY-MM-DD,YYYY-MM, or a year only when it describes the content or edition. - Normalize the string. Convert to lowercase ASCII, replace runs of spaces or punctuation with one hyphen, and remove leading or trailing hyphens.
- Check privacy. Remove names, email addresses, account numbers, tokens, and other personal data from both the image and its filename.
- Verify the file. Confirm the extension, open the asset, and check that links or references use the final spelling.
Examples and edge cases
Repeated captures
If each capture is a dated record, use the date: homepage-2026-09-29.png. If captures are interchangeable design assets, keep one canonical name and overwrite or version them in the asset-management system rather than creating new and latest variants.
Multiple locales
When language changes the content, add a consistent locale code after the subject, such as travel-policy-fr-2026.pdf. Document the code set your team uses; do not mix full language names and abbreviations.
Security and privacy
Never put secrets or personal identifiers in a filename. A screenshot named jane-doe-password-reset.png can leak information through logs, backups, or a public URL even if the image is later removed. Prefer a neutral case identifier and keep the mapping in an access-controlled system.

Troubleshooting filename problems
Links return a 404
Check case, hyphen placement, extension, and URL encoding. A rename changes the URL; update every reference or provide a redirect.

Downloads show the wrong type
Inspect the actual file format and server content type. Correct the bytes or extension rather than disguising one format as another.
Sorting is out of order
Use ISO-style dates and zero-padded sequence numbers: step-02 comes before step-10, and 2026-09-29 sorts naturally.
Names expose private information
Replace personal data with a neutral identifier, then inspect cloud URLs, logs, thumbnails, and backups because filenames can persist outside the original folder.
The PDF is hard to use with assistive technology
Set a meaningful title, add structural headings and table headers, ensure links have useful text, run an accessibility check, and provide HTML for essential content when practical.
FAQ
Should I use hyphens or underscores?
Use hyphens for new filenames. They are the recommended word separator in the cited Google and Digital.gov guidance; preserve an existing underscore convention only when changing it would disrupt established links.
Should every screenshot include the date?
No. Include a date when each image is a dated record or the date changes what the image means. Omit it from a reusable canonical design asset.
Is final-v3.pdf a good version name?
No. Use a genuine edition or content date, and manage drafting history outside the published filename.
