You can invite someone outside your company to a Microsoft Teams meeting without creating a guest account or adding the person to a Team. For a normal appointment, schedule a regular calendar meeting, enter the attendee’s full email address, and send the Teams invitation.
The recipient can often join from a supported desktop browser without a Teams account. Whether they enter directly, wait in the lobby, or need to verify their identity depends on your organization’s Teams policies and the meeting options you select.
Schedule the meeting in Microsoft Teams
Use a regular calendar meeting for a customer call, interview, consultation, or other one-to-one or group appointment. Do not use a channel meeting unless the meeting genuinely belongs in a specific Team channel.
- Open Microsoft Teams.
- Select Calendar.
- Select an available time slot, or select New.
- Enter the meeting title, date, time, and any other details.
- In Required attendees, enter the external person’s full email address.
- Turn on the Teams meeting toggle.
- Select Save.
Teams sends the invitee an email containing the meeting link. Meetings created in Teams also appear in the organizer’s Outlook calendar, and meetings created in Outlook appear in Teams.

Add an optional external attendee
In the new Teams calendar, select Response options > Add optional attendees, then enter the address in Invite optional attendees. In the classic Teams calendar, select Optional + beside the attendee field.
Do you need to add the person as a guest?
Usually, no. Someone who only needs to attend a scheduled meeting does not normally need a guest account, membership in your Team, or access to your organization’s files.
An external participant may join as one of the following:
- Guest: A person signed in with a Microsoft Entra B2B guest account in your organization.
- Person from a trusted organization: A user signed in to another Microsoft 365 organization with a mutual external-access relationship.
- Anonymous participant: A person whose identity Teams has not verified, including someone joining without signing in.
Add the person as a guest when they need continuing access to channels, files, or other Team resources. Guest access creates a Microsoft Entra B2B guest identity. If the person normally uses Teams for another employer, they may also need to switch organizations in Teams to use the guest identity.
Schedule the meeting from Outlook
New Outlook or Outlook on the web
- Open Outlook and select Calendar.
- Select New event.
- Turn on the Teams meeting toggle beside the title field.
- Enter the meeting subject, date, time, and external attendee’s email address.
- Select Send.
Outlook adds the Teams join details when you send the invitation. In new Outlook, selecting Save as draft creates a calendar draft without Teams join details.
Classic Outlook for Windows
- Open Outlook.
- On the Home tab, select the arrow beside New Email.
- Select Meeting.
- On the Meeting tab, select the arrow beside Teams Meeting.
- Select Schedule meeting.
- Add the external attendee and meeting details.
- Select Send.
To change meeting settings, select Set up, followed by All options, in the Teams meeting setup pane.
Outlook account limitations
Teams meeting scheduling through Outlook is intended for Microsoft 365 Business Exchange accounts. The Teams Outlook add-in does not create meetings with personal accounts. Free Exchange addresses such as @outlook.com, @msn.com, and @hotmail.com, as well as POP or IMAP accounts such as Gmail, Yahoo, and iCloud, are not supported for this workflow.
If the Teams option is missing, create the appointment in Teams > Calendar instead, or ask your administrator to check the Teams and Exchange integration.

The attendee should open the invitation and select the link beside Join or Join the meeting now. Depending on the meeting policy, Teams may offer:

- A sign-in prompt
- An email verification prompt with a one-time passcode
On a supported desktop browser, the person can generally select Continue on this browser without installing Teams or creating a Teams account. Microsoft documents Google Chrome and Microsoft Edge for joining without an account. Mobile web browsers are not currently supported for Teams meetings, so mobile attendees should use the Teams app.
The label shown to the organizer depends on how the person joined:
- Unverified: Joined without signing in or verifying an email address.
- Email verified: Joined using an email one-time passcode.
- External: Joined with a Microsoft account.
Copy and send the meeting link separately
If the invitee needs the link in a separate email or message:
- Open Teams > Calendar.
- Open the meeting.
- Select View event if necessary.
- At the top of the meeting details, select Share.
- Select Copy join link.
- Paste the link into an email, chat, or other message.
A copied link is not the same as an invitation. If the meeting allows only invited people to bypass the lobby, a person who received only the link may still have to wait for admission. For predictable access, add the person’s full email address to the attendee field and send or resend the invitation.
Control the lobby and external access
You can decide whether external people enter immediately or wait for someone to admit them.
- In Teams, open Calendar.
- Select the meeting.
- Select View event.
- Select Options.
- Under Meeting access, configure Who can bypass the lobby?, People dialing in can bypass the lobby, and Who can admit from the lobby.
- Select Apply.
Depending on your policy, bypass choices may include:
- Everyone
- People in my org, trusted orgs, and guests
- People in my org and guests
- People in my org
- People who were invited
- Only organizers and co-organizers
For a controlled external meeting, People who were invited or Only organizers and co-organizers is more restrictive than Everyone. A participant who is not admitted may remain in the lobby until the organizer or another authorized person selects Admit. Teams removes someone who has waited in the lobby for 30 minutes without being admitted; they can try rejoining.

What “People who were invited” means
This option is not limited strictly to people whose addresses you personally typed. It can include work or school users and guests who received or were forwarded the invitation, plus people included through a distribution list of up to 10,000 users.
A person who has only the join link, is not signed in, or is not included in the invitation does not qualify as invited and may be sent to the lobby.

Require email verification for anonymous attendees
If your administrator permits it and you have the required license, open the meeting options and turn on Require unverified participants to verify their info before joining. An unverified attendee must enter an email address and use a one-time passcode before entering the meeting.
The organizer must have a Teams Premium license for this email-code verification feature. The option is unavailable if your administrator has disabled anonymous meeting access for your organizer policy.

When an administrator must change Teams settings
A correct invitation and working link do not override organization policy. The relevant capability depends on how Teams identifies the participant:

| Guest | Guest access must be enabled. |
| User from another trusted organization | External access must be enabled and mutually configured. |
| Person joining without a verified Teams identity | Anonymous meeting join must be enabled. |
Enable guest access
An administrator can open Teams admin center > Users > Guest access, set Guest access to On, configure the relevant options under Calling, Meeting, and Messaging, and select Save. Guest access also depends on Microsoft 365, Microsoft Entra ID, Microsoft 365 Groups, and SharePoint configuration.
Review anonymous meeting access
Microsoft is phasing out the older organization-wide Anonymous users can join a meeting setting in favor of the per-organizer policy. For a specific organizer policy, go to Teams admin center > Meetings > Meeting policies > [policy] > Meeting join & lobby > Anonymous users can join a meeting unverified. Policy changes can take up to 24 hours to apply.
If your tenant still exposes the older organization-wide setting, it is at Teams admin center > Meetings > Meeting settings > Participants > Anonymous users can join a meeting; follow Microsoft’s current guidance as that setting is phased out.
Common problems and fixes

Why a regular meeting is better than a channel meeting
A channel meeting is tied to a Team and sends a personal invitation to everyone in the selected team. External invitees do not have access to the channel calendar, and the meeting may expose information in a team context that is unsuitable for a customer or outside contact.
For an external one-to-one or group meeting, use Teams > Calendar > New rather than creating the appointment inside a channel.

A dial-in number and conference ID appear when your organization has the required Audio Conferencing capability. When available, these details are added automatically to the Outlook invitation.

One outdated option to avoid
Skype Consumer interoperability with Teams ended on May 5, 2025. Instructions that tell you to schedule a current Teams meeting with a Skype consumer user through the former Skype interoperability feature are outdated. External access remains available for supported external Teams and Skype for Business users.

FAQ
Can I schedule a Teams meeting with someone who does not have Teams?
Yes. The person can often select Continue on this browser and join without a Teams account or app. This is subject to your organization’s anonymous meeting policies, and Microsoft currently documents Edge and Chrome for browser joining.
Do I have to add an external attendee as a guest first?
No. A guest account is generally needed for access to Teams, channels, files, or ongoing collaboration. It is not normally required for someone who only needs to attend a scheduled meeting.
Why is my external attendee stuck in the Teams lobby?
The meeting’s Who can bypass the lobby? setting may exclude the attendee, or the person may have received only the meeting link instead of an invitation. Admit them manually or add their full email address to the invitation and resend it.
What is the difference between guest access and external access?
External access lets you communicate and meet with people in another organization. Guest access creates an account in your organization and can provide access to Teams resources such as channels and files.

Yes. Open the meeting in Teams Calendar, select Share > Copy join link, and send it separately. However, a link alone does not necessarily make the recipient an invited attendee or let them bypass the lobby.
Why does Outlook not show the Teams meeting option?
The account may be a personal, free Exchange, POP, or IMAP account, or the Teams add-in and Exchange integration may not be configured. Try scheduling from Teams Calendar or contact your administrator.
The Bottom Line
For most external appointments, open Teams > Calendar, create a regular meeting, enter the person’s full email address, turn on Teams meeting, and save it. The attendee does not normally need a guest account or Teams installation. If joining fails, check the invitation address, lobby rules, browser or app choice, and the organization’s guest, external-access, and anonymous-join policies.
