You can replace Microsoft Office without sacrificing your documents, but do it as a staged migration rather than a one-click conversion. Keep untouched originals, test a representative set of files, and retain Microsoft Office for exceptions until the replacements reproduce your layouts, formulas, comments, and macros. LibreOffice is the strongest local and offline choice; Google Docs, Sheets, and Slides are strongest for browser collaboration; GenOffice is an AI-focused open-source option whose project documentation claims native Office-format editing and byte-preserving writes for untouched file parts.
What a safe replacement actually involves
A replacement is successful when the files you send, archive, print, or continue editing behave correctly in the new tools. Opening a .docx file is only the first test. A document can open while page breaks shift, fonts substitute, tracked changes disappear, formulas recalculate differently, or an embedded object stops working.
The safest approach separates three decisions:
- Where files live: on your computer or in a browser-linked cloud account.
- Which editor is primary: LibreOffice, Google Docs/Sheets/Slides, or an AI-oriented tool such as GenOffice.
- Which files remain exceptions: macro-enabled workbooks, heavily formatted templates, linked workbooks, and presentations with unusual fonts or objects.
No option has a universal, independently established 100% compatibility guarantee. Treat compatibility as something you verify against your own files, not as a product slogan.

Use LibreOffice when local control, offline work, and avoiding an account matter most. Use Google’s editors when several people must work in the same browser file. Trial GenOffice when integrated AI is the priority and you are prepared to validate the project’s native-format and byte-preservation claims yourself.

Back up and inventory before opening anything
Do not begin by opening a folder and choosing Save in a new application. First create a separate, read-only-or-at-least-untouched copy of the originals. Keep that copy outside the trial folder and do not overwrite it during conversion.
Make two independent copies
- Copy the complete Office folder to a second drive or protected cloud location.
- Make a working copy for the trial. Give it a clear name such as
Office-migration-test. - Record the date and the application used for each converted file.
A backup is useful only if you can identify the original and restore it. Preserve the original extension, filename, directory structure, and any linked assets.
Inventory file types and risk factors

1. Define the acceptance test
Before changing a file, write down what must remain true. For a report, that may mean identical page breaks, headers, footers, fonts, comments, and tracked changes. For a workbook, it may mean formulas, named ranges, charts, print areas, data validation, and external links. For a presentation, it may include slide masters, animations, notes, audio, and video.
2. Select a primary editor
Choose one application for normal work instead of converting the same file repeatedly between several formats. Repeated round trips increase the chance of style changes and metadata loss. Keep the other tools for specific jobs until your test set proves they can handle the same files.

3. Open, inspect, and save a copy
Open the working copy in the candidate editor. Save the result under a new filename and, where possible, keep the original Office extension for files that must return to Office users. Do not convert your entire archive before checking representative outputs.
4. Reopen the output in the receiving environment
Files are not validated merely because they look correct in the application that saved them. Open the output in Microsoft Office or the recipient’s required editor. Render a PDF or print preview when page layout matters, then compare the output with the original.
5. Expand only after the test set passes
Once ordinary and high-risk samples pass, process a larger folder. Keep a log of failures and retain the original for every exception. If a file fails, move it back to the exception queue instead of weakening your acceptance criteria.
Using LibreOffice as a local-first replacement
The Document Foundation describes LibreOffice as compatible with Microsoft Word, Excel, PowerPoint, and Publisher formats. The project also states that its office tools are available at no cost. That makes it the most practical first trial for people who want local files, offline access, and no mandatory cloud account.
Open individual files safely
- Install LibreOffice from its official distribution channel and open a copy of the file, not the only original.
- Check the file in the matching application: Writer for documents, Calc for spreadsheets, and Impress for presentations.
- Inspect styles, page breaks, fonts, tables, formulas, charts, comments, and embedded objects before saving.
- Use Save As to create either an Office-format output for compatibility or an OpenDocument copy for LibreOffice-first work.
- Reopen the saved output in the editor used by the recipient.
Batch-convert a folder with the Document Converter Wizard
LibreOffice’s Document Converter Wizard can batch-copy and convert Microsoft Office files in a folder to OpenDocument formats. In desktop builds, open the wizard from the File > Wizards menu, select the source folder, choose the output location, and review the conversion summary before opening the results.

- Use a destination folder rather than converting in place.
- Keep the original Office files untouched, even when the wizard offers to copy them.
- Inspect several outputs from each file type; a batch operation can complete successfully while a particular layout or formula still needs correction.
Where LibreOffice needs extra scrutiny
Simple text, tables, and ordinary calculations generally make a better first trial than files built around proprietary macros, unusual fonts, linked workbooks, or advanced presentation effects. Macro-enabled files deserve special caution: a workbook can open while its automation is disabled or behaves differently. Treat every macro as an exception until its author confirms that it runs correctly in the target environment.

Using Google Docs, Sheets, and Slides without unnecessary conversion
Google documents an editing workflow in which an Office file can be opened and edited without first converting the Word file into a native Google document. This is useful when you need browser collaboration but still need to send the file back as .docx, .xlsx, or .pptx.
Start in Office editing mode
- Upload a working copy of the Office file to Google Drive.
- Open it with the matching Google editor and verify that it remains identified as an Office file rather than immediately creating a converted copy.
- Have collaborators edit, comment, and review the copy while the original remains untouched.
- Download or export the tested result in the required Office format.
- Open the downloaded file in the recipient’s editor and check the acceptance criteria.
Know when conversion is required
Google says conversion is needed for some features, including add-ons, Apps Script, protected ranges, and certain translation options. Conversion can also change the way styles, formulas, or page layout are represented. Convert only when the Google-specific feature is worth that trade-off, and keep the original Office file beside the converted Google document.
Browser collaboration versus confidentiality
Real-time editing is a major advantage for teams, but it also means files live in an account-managed cloud environment. Confirm your organization’s retention, sharing, and access policies before uploading confidential material. If a file cannot leave a controlled local system, LibreOffice is the safer starting point.
Trialing GenOffice for AI-assisted Office files
GenOffice describes itself as a free, open-source AI office suite. Its project documentation says it opens and saves native .docx, .xlsx, and .pptx files and that untouched file parts are copied byte-for-byte. Those are useful goals, but they remain claims made by the project; validate them against files that matter to you.

Use copies and test preservation
- Install the release in an isolated trial environment if your organization permits it.
- Open copies of a document, workbook, and presentation that contain the features you rely on.
- Make a small, deliberate edit, save, close, and reopen each file.
- Compare the output in another Office-compatible editor and inspect the package contents or file hashes only if you have the technical expertise to interpret them.
- Repeat the test with a file that should remain untouched to see whether the project’s preservation behavior matches your expectations.
Separate AI convenience from file safety
An AI assistant can draft text, explain a formula, summarize comments, or suggest edits, but those capabilities do not prove that the surrounding file structure is preserved. Keep a human review step for formulas, citations, legal language, tracked changes, and any content sent to external AI services. Use a repeatable verification checklist
- Visual: compare page count, margins, line wrapping, tables, charts, colors, and object positions.

AI can reduce drafting and analysis time, but the safest workflow treats it as an assistant rather than an automatic converter. Remove confidential names, account numbers, contract terms, and personal data before sending content to any external AI service unless your organization has approved that service and its retention terms.
Low-risk AI tasks
- Generate an outline from non-confidential notes.
- Explain a formula using a sanitized sample workbook.
- Suggest alternative wording for text that contains no private information.
- Create a checklist for reviewing a converted presentation.
High-risk AI tasks
- Uploading an entire customer database or payroll workbook.
- Asking an AI system to rewrite a contract without preserving tracked changes and legal review.
- Accepting generated formulas or macros without testing them against known results.
- Allowing an AI tool to overwrite the only copy of a file.
Keep AI-generated edits in a review copy, record what changed, and have the file owner approve the final version.
Keep Microsoft Office as an exception path
A staged migration does not require an immediate uninstall. Retain access to Microsoft Office until your test set passes and external recipients confirm that files render correctly. This is especially important for macro-enabled workbooks, regulated templates, and presentations that must match a supplied design exactly.

When someone reports a problem, restore the untouched original, identify the feature that failed, and decide whether to repair the replacement or use the original editor for that file class. An exception policy is safer than forcing every file through one tool.
Team migration, training, and support
Individuals can usually run the staged process themselves. Teams need ownership rules: who approves a converted template, who maintains fonts and macros, where the authoritative file lives, and which format is the delivery standard.
