Hiding tracked changes or exporting to PDF does not by itself prove that every unwanted detail has been removed.
Start with a copy, not your only original
Save a separate working copy before cleanup. Microsoft warns that data removed by Word’s Document Inspector may not be recoverable with Undo. Keep the original if you may need its comments, history, or earlier wording later.
Use the submission requirements to decide what belongs in the delivered file. A reviewer may need an editable document; another recipient may require a PDF. Clean the copy in the application that owns the document, then inspect the exact file you plan to send.
Remove hidden content and personal information in Word
In supported Word versions, use Document Inspector on the copy:

- Open the copy in Word and select File > Info > Check for Issues > Inspect Document.
- Select the categories you want Word to inspect, then select Inspect.
- Review the findings. Use Remove All only for a category after confirming that its contents should be removed.
- Reinspect or close the inspector, then check the document’s pages visually.
Microsoft lists categories including comments, tracked revision marks, versions and ink annotations; document properties and personal information; headers, footers and watermarks; text formatted as hidden; custom XML; and invisible content. Inspector options and availability vary by Word version and platform. Microsoft says Word for Mac does not have Document Inspector; check the guidance for your edition rather than assuming the Windows menu path applies.
What the Inspector can miss
The Hidden Text check does not detect text concealed by other methods, such as white text on a white background. The Invisible Content check does not detect an object covered by another object. Treat the Inspector as a way to find supported document structures, not as a comprehensive forensic scrubber.

Review each page at normal and close zoom. Look for suspicious blank areas, unexpected text, shapes layered over text, unusual font or highlight colors, and content in headers or footers. If something should not be disclosed, remove it rather than relying on its color, position, or another object to hide it.
Resolve tracked changes and comments
In Word, switching the display so markup is hidden changes what you see; it does not remove the edits from the document. Review the changes and accept or reject each one to establish the final text. Use an accept-all or reject-all command only if that choice is correct for every change. Review comments separately and remove those that are not intended for the recipient.

Google Docs uses suggestions rather than Word’s tracked-change interface. Accept or reject the intended suggestions individually, or use the option to accept or reject them all when the same decision applies to every suggestion. When an Office file is converted to Google Docs, tracked changes become suggestions; converting back can turn suggestions into tracked changes. Conversion alone does not settle the markup.

Make a copy without comments and suggestions
When creating a copy, check the copy dialog for the option to include comments and suggestions, including resolved comments. Leave that option off if the recipient should receive only the final text. Then inspect the copy for any remaining suggestions or comments.

Decide whether older versions should remain
Revision history is separate from the visible text and suggestions. The document owner can open version history and delete older versions or unnamed versions. Google warns that deleting history is permanent and cannot be undone; preserve anything you may need before using that control.
Export and check the actual file
Google Docs can download files in other formats. For large documents in Chrome, Google’s help describes PDF export through File > Print > Save as PDF. An export is a format conversion, not a universal guarantee that all hidden information has been sanitized. Open the downloaded file and review its pages and contents before submitting it.

Separate appearance cleanup from information removal
Resetting a font, removing visible highlighting, or making text look consistent can improve presentation. Those steps do not establish that comments, revision history, author information, or concealed text have been removed. Use the application’s inspection and review features for document artifacts, and a visual pass for presentation issues those features may not catch.
For sensitive redactions, remove the underlying information completely. Do not merely cover it with a shape, change its color, or hide it behind another element. Google’s guidance on redacted information warns that document history and metadata can disclose information; content intended to be redacted must be removed before publication.
Check sharing access as well as the file
If you are submitting through Google Drive, review the file’s access separately from its contents. Google Drive lets an owner set general access to Restricted. Viewers and commenters may be allowed to download, print, and copy by default unless the owner changes those controls. A document that looks clean can still be exposed to people who should not have access.
