To remove an AI assistant’s access completely, disconnect the account inside the assistant, revoke the provider authorization in Google, Microsoft, or Apple controls, and ask a workspace administrator to remove any organization-managed grant. Uninstalling the app or changing permission prompts alone is not enough. After revocation, separately review conversations, uploaded files, memories, indexes, active sessions, saved credentials, browser extensions, and device-management profiles because disconnection stops future access but does not automatically erase data already retained.
Access is a chain, not a single switch
An assistant that can read Gmail, Google Drive, Outlook, iCloud Mail, Calendar, Contacts, or a company repository usually depends on several linked authorizations:
- The assistant connection: the app records that a particular provider account is connected.
- The provider grant: Google, Microsoft, or Apple issues permissions that let the app request data or perform actions.
- Organization controls: a Google Workspace or Microsoft administrator may have approved access for everyone or for a group.
- Local and retained data: sessions, browser extensions, credentials, uploaded files, conversation history, memories, and managed indexes can remain after the connection is removed.
Removing only one link can leave another active. The safest order is to stop the assistant connection first, revoke the provider-side grant next, involve an administrator where required, and then audit data and devices.

Use this order when access may be sensitive
- Disconnect the account in the assistant. This is the fastest way to stop normal future reads and actions through the assistant interface.
- Revoke the provider authorization. Remove the app from the connected-app or authorization page at the provider.
- Escalate managed permissions. If the grant was approved by an administrator, ask that administrator to disable or block it.
- End active sessions and remove local access. Review sessions, saved credentials, extensions, and device-management entries.
- Clean up retained data. Handle conversations, uploaded files, memories, and workspace indexes independently of authorization.
Take screenshots or export the confirmation page if you are handling a workplace, legal, or incident-response matter. A successful disconnect is evidence that one layer changed; it is not proof that every copy or session has disappeared.

Disconnect the account inside the assistant
ChatGPT-style connected-app settings
In a ChatGPT connection, open Settings, choose Apps or Plugins (the label depends on the interface), select the relevant app, open the connected account’s options, and choose Disconnect. OpenAI’s Help Center states: “To remove an app’s access, disconnect it or ask your workspace administrator to disable it.”
Disconnect the specific account rather than merely turning off a broad feature. If more than one Google, Microsoft, or Apple identity is listed, repeat the action for each identity you no longer want connected.
Do not confuse permission prompts with revocation
Permission prompts govern what the assistant may request in the future, but they are not a withdrawal of an already issued provider grant. OpenAI states: “Changing an app permission does not disconnect the app or revoke access already granted to a provider account.” Use the explicit Disconnect control, then complete the provider-side revocation.

- The connection may be controlled by a work or school administrator.
- You may be signed into a different assistant workspace than the one that owns the connection.
- The provider authorization may be visible only in the provider’s account portal.
- A stale browser session may be displaying an old settings page; sign out, sign back in, and check again.
If an administrator owns the connection, send the administrator the account identifier, the app name, and the time you noticed the access. Do not assume deleting your local app will disable an organization-wide connection.
Revoke the provider-side authorization
Microsoft accounts and Outlook
For a Microsoft authorization you personally approved, open Microsoft My Apps, manage the application, and select Revoke Permissions. Microsoft Support says you can revoke permissions you consented to, while warning that removing a permission may break some of the app’s functionality.

If the control is unavailable or the permissions were consented to by an administrator, your personal account cannot remove them. A Microsoft administrator must withdraw the organization’s consent or block the application. Ask whether the grant is individual or tenant-wide before treating a missing button as a failure.
Apple Account and iCloud
Review linked applications under your Apple Account access controls and Manage Connected Accounts. For permissions covering iCloud Mail, Calendar, or Contacts, select Remove access for the app. Apple Support describes this action as: “Select ‘Remove access’ for the app that you want to revoke your authorisation from.”
Check each service the assistant used. Removing Calendar access does not necessarily remove a separate Mail or Contacts authorization. After removal, return to the connected-account list and confirm that the app no longer appears with an active grant.
Google accounts, Gmail, and Drive
For a personal Google account, use the Google Account connected-app or third-party-access page to identify and remove the assistant’s authorization. The exact labels can change, so verify that you are editing the same Google identity shown in the assistant connection.
For Google Workspace, an administrator can block the third-party app. Google Workspace documentation says a blocked app cannot let users sign in with the managed account or request Google data. A user-level disconnect therefore may not be sufficient for a company Gmail or Drive account; the administrator must apply the organization policy.

Blocking the app prevents new managed-account access, but it does not automatically remove conversations, saved memories, uploaded copies, or an administrator-managed workspace index. Those require separate retention or deletion actions.

Repeat the audit for every identity the assistant could reach. Disconnecting a Microsoft account does not revoke a separate Google authorization, and removing an Apple connection does not affect a provider grant issued to another account. Use the assistant’s connected-account list as an inventory, then verify each provider portal independently.
Work and school accounts need administrator action
Managed permissions differ from permissions you personally approved. Organization administrators may have granted consent for an entire tenant, enabled a managed index, or enforced a sign-in policy. In those cases:
- Ask the administrator to disable or block the application for the affected users or groups.
- Request confirmation of whether the grant was individual, group-based, or tenant-wide.
- Ask whether the organization maintains an index or cached copy of files the assistant previously processed.
- Request the organization’s retention and deletion procedure for conversations, uploads, memories, and logs.
Do not paste confidential material into a support request. Provide the minimum identifiers needed to locate the app and account. If the access is part of a security incident, follow your organization’s incident-response process before deleting evidence.
Uninstalling the app is only a device cleanup step
Removing an AI app from a phone or computer does not prove that provider authorization was revoked. The account grant may continue to exist, and another browser or device may still have a valid session. Perform these checks on every device where the account was used:

Account and session checks
- Review the provider’s connected-app or third-party-access page.
- Review active sessions and sign out devices you do not recognize or no longer use.
- Remove saved passwords, passkeys, or tokens for the assistant from the browser or operating-system credential store when appropriate.
- Check whether the assistant is listed in device-management or mobile-management software.
Browser and desktop checks
- Remove browser extensions associated with the assistant or its connectors.
- Sign out of the assistant in every browser profile.
- Clear locally cached downloads or exported files that contain account content.
- Review startup items and desktop integrations that can reconnect after the main app is removed.
Mobile checks
- Uninstall the app only after completing the account and provider revocation steps.
- Review the operating system’s account, VPN, profile, and device-management entries.
- Check notification access, file access, contacts access, and accessibility permissions granted to the app.
- Restart the device and confirm that no assistant process or extension remains active.
These are practical audit steps. The official controls specifically documented for this subject are the assistant disconnect action, provider authorization controls, and administrator blocking; local device checks complement those controls rather than replacing them.
Understand what revocation does not delete
OpenAI’s connected-account instructions say that disconnecting stops future access through the account. They also state that disconnecting does not automatically delete existing or archived conversations, saved files, the Memory summary, or other saved memories.
OpenAI’s data-controls guidance for Google-connected apps adds that disconnecting does not automatically remove a separate administrator-managed workspace index, delete existing conversations or saved memories, or change the original files in Google Drive. A file that remains in Drive is still the original provider file; revocation changes the assistant’s authorization, not the file’s ownership or content.
Make a separate retention checklist
- List conversations that contain account data, attachments, or copied excerpts.
- Delete uploaded files from the assistant’s file area if the service provides a separate file list.
- Review and remove saved memories or a memory summary that contains personal or workplace information.
- Ask the workspace administrator whether a managed index, cache, or shared connector store exists.
- Follow the service’s retention schedule for archived, deleted, or legally held content.
Deletion controls vary by account type and service policy. Do not describe a disconnect as an erasure request unless the relevant data has also been deleted or the owner has confirmed its retention status.

Common failure modes and fixes
“I changed the permissions, but the assistant still connects”
Changing approval prompts does not revoke an existing provider grant. Use the assistant’s Disconnect action and then remove the authorization in the provider portal.

“I uninstalled the app, but I am still concerned about access”
Uninstallation removes local software, not necessarily cloud authorization. Check connected apps, active sessions, saved credentials, browser extensions, and managed-device profiles.
“The provider page has no Revoke or Remove button”
The grant may have been administrator-consented, or you may be viewing the wrong account. Confirm the signed-in identity and ask the workspace administrator to revoke or block the app.
“The app disappeared, but old conversations and memories remain”
That behavior is expected under the documented controls: disconnection stops future access but does not automatically delete retained conversations, files, memories, or managed indexes. Use the separate deletion and retention controls.

“The assistant can no longer read Drive, but the original files changed”
Authorization removal does not itself edit Google Drive. If an original file changed, investigate the file’s activity history, other collaborators, automations, and administrator logs separately.
“A work administrator blocked the app, but my personal account still works”
Workspace blocking applies to the managed identity. A personal Google, Microsoft, or Apple account may have a separate authorization that must be disconnected and revoked independently.
Verification checklist
Mark the removal complete only after each applicable item is true:
- The assistant’s connected-account list no longer shows the account, or an administrator has confirmed that the connection is disabled.
- The provider’s connected-app page no longer shows an active authorization, or the administrator has confirmed that organization consent was revoked.
- Any Google Workspace or Microsoft policy block has been applied to the correct users or groups.
- Active sessions and saved credentials on other devices have been reviewed.
- Browser extensions, desktop integrations, and mobile permissions have been checked.
- Conversations, uploaded files, memories, and managed indexes have a documented deletion or retention decision.
- The original Gmail, Drive, Outlook, or iCloud data has been checked for unauthorized changes using the provider’s own activity or audit tools.
The key distinction is simple: revoke the authorization to stop future reads and actions, then handle every retained copy and local access path as a separate task.
