Reduce workplace spread by combining measures: improve indoor air, make it practical for sick people to stay home, support vaccination and hygiene, and use masks or respirators when appropriate. No single step eliminates risk. Employers should tailor a plan to the work, building, and people involved, using OSHA’s hierarchy of controls as a guide.
Start with the workplace and its risks
Respiratory viruses can spread through infectious particles in shared air as well as through close interactions. Exposure depends on factors such as the work being done, crowding, time indoors, distance, and whether people use source-control measures. OSHA recommends assessing workplace hazards and choosing controls suited to those conditions rather than relying on one universal rule. See OSHA’s control and prevention guidance.
OSHA’s hierarchy of controls prioritizes eliminating or substituting an exposure where feasible, followed by engineering controls, administrative controls and safe work practices, and personal protective equipment (PPE). In an office, that could mean replacing an avoidable in-person meeting with a video call, improving ventilation, supporting sick leave, and using masks as an additional layer. The right mix depends on the task and setting; general workplace guidance may not be enough for healthcare or other high-exposure work. OSHA’s employer recommendations note that healthcare workers may need additional protections.
Improve shared indoor air
Ventilation can lower concentrations of airborne particles and reduce exposure, but it does not make transmission impossible. CDC/NIOSH says ventilation includes bringing in outdoor air, moving and diluting indoor air, using central HVAC or in-room filtration, and applying germicidal ultraviolet (GUV/UVGI) systems. Its workplace guidance states: “Improving building ventilation can reduce risk of exposure to respiratory viruses and reduce the spread of respiratory infections.” CDC/NIOSH’s ventilation overview explains these strategies.

What facilities teams can do
- Check that the HVAC system is operating as intended and that supply and return vents are not blocked.
- Bring in outdoor air where the building system and conditions allow, and consult a qualified HVAC professional about optimizing ventilation or selecting compatible filters.
- Consider portable air cleaners as a supplement. Their usefulness depends on room size, air delivery, placement, and maintenance; a small purifier alone cannot establish that a room is safe.
- Consider GUV/UVGI where appropriate and professionally configured.
CDC/NIOSH cautions that air-cleaning methods do not replace minimum outdoor-air requirements in applicable building codes. CDC’s cleaner-air guidance also recommends fresh air, indoor air purification, or gathering outdoors when feasible: Taking Steps for Cleaner Air.
Make it workable to stay home when sick
OSHA recommends encouraging employees to stay home when ill and considering telework flexibility when workplace or community transmission is high. Paid leave, flexible leave, and telework options can make that advice practical rather than forcing workers to choose between income and reducing exposure.

CDC’s general guidance, dated Aug. 18, 2025, says people with respiratory symptoms should stay home and away from others until symptoms are improving overall and they have been fever-free for at least 24 hours without fever-reducing medicine. After returning to normal activities, CDC recommends added precautions for five days, such as cleaner air, hygiene, a well-fitting mask, distance, or testing when around others. These are general public-health recommendations, not a substitute for applicable workplace rules, accommodations, or setting-specific guidance. Employers should account for those requirements when setting leave and return-to-work policies.

Support vaccination and everyday hygiene
Employers can encourage vaccination against influenza and COVID-19, and RSV where appropriate. OSHA suggests practical support such as workplace vaccination clinics, time to attend appointments, and leave for side effects. These steps complement—not replace—clean air and other controls. OSHA’s recommendations also call for hand and respiratory hygiene and routine cleaning or disinfection of workplace facilities and frequently touched fixtures and equipment. CDC/NIOSH likewise includes cleaning and disinfection and promoting flu vaccination in its workplace prevention guidance.
- Make handwashing supplies and tissues easy to access.
- Encourage people to cover coughs and sneezes and dispose of tissues promptly.
- Clean shared spaces and frequently touched equipment routinely, with attention to the workplace’s actual use.
Use masks and respirators as another layer
A well-fitting mask can add protection, particularly alongside improved ventilation or when someone is returning after illness. OSHA supports workers who choose face coverings, subject to job hazards and any need for a higher level of respiratory protection. Masks do not guarantee prevention.

OSHA distinguishes NIOSH-approved N95 respirators from products made to international standards, such as KN95 and KF94. If an employer requires respirator use, that is a workplace safety-program issue: applicable OSHA requirements can include a respiratory-protection program, rather than simply choosing a product. Requirements depend on the circumstances; consult OSHA’s employer recommendations and relevant workplace rules.

Risk and applicable requirements vary by job and environment. OSHA’s general advice may represent only baseline action for healthcare workers; clinical settings may need transmission-based precautions, PPE, training, and respiratory-protection programs as applicable. CDC/NIOSH also notes that work-related risk varies with the nature of the job and points employers to respiratory-virus surveillance resources in its workplace prevention guidance. Do not assume standard-office measures are adequate for clinical care or other high-exposure settings.

For a typical shared office, a practical plan usually combines cleaner air, stay-home support, vaccination and hygiene practices, and optional or situational face coverings. Revisit the plan when work patterns, building conditions, or community respiratory-virus activity change.
