Start by exporting the Word document with the PDF quality setting that matches its use: choose Minimum size (publishing online) for a PDF mainly viewed on screen, or Standard (publishing online and printing) if recipients may print it. If the file is still too large, compress pictures in desktop Word, then inspect the PDF at the size people will actually view or print. No setting can guarantee a smaller PDF with no visible quality change.
1. Make a copy of the Word document
Before changing picture settings, save a duplicate and make edits to that copy. Deleting cropped picture areas or discarding editing data can remove image content that you may not be able to restore from the altered document. See Microsoft’s Word document size guidance.
2. Choose the right PDF export setting
In a desktop Office app, use Save As or Export to create a PDF, then choose the option that fits the destination. Microsoft documents these choices in its Office desktop PDF instructions.

3. Compress pictures if the PDF is still large
Images can add substantially to a document’s size. In desktop Word, select a picture and open Picture Format > Compress Pictures. Depending on the version, you can apply compression to all pictures and choose whether to delete cropped picture areas. Microsoft explains the controls and warns that compression can change a picture’s appearance in its Office picture compression guidance.
Review Word’s image settings
In Word for Windows, check File > Options > Advanced > Image Size and Quality. Microsoft’s Word size guidance says to clear Do not compress images in file if you want Word to compress images, and suggests 150 ppi or lower for many documents. That is not a universal target: photographs, diagrams, fine labels, and print requirements may need more detail.

The broader Office guidance identifies 220 ppi as the stated default picture resolution in Microsoft 365, but that figure is specific to the context of that guidance, not a guarantee for every Word installation or file. Resolution settings are not a promise of any particular PDF size reduction.

Deleting cropped areas can reduce retained image data when the hidden parts are no longer needed, but you may lose the ability to restore the original crop. The Discard editing data option can also reduce document size by removing data used to restore edited images. Keep the untouched source copy if either change might matter later.

4. Balance image quality against file size
Picture compression reduces image data and may make pictures look different. Microsoft describes High fidelity as applying minimal compression unless an image exceeds the document canvas; it is an option to consider if images look pixelated, not a guarantee that every picture or exported PDF will remain unchanged. Likewise, turning compression off can improve picture quality while creating much larger files. See Microsoft’s guidance on default picture resolution and turning off picture compression.
5. Check the exported PDF before sharing
Open the PDF and check photographs, small labels, diagrams, and fine text at a representative screen size. If people will print it, inspect a page at print size too. If important details are hard to read, return to the source copy and try a less aggressive picture setting or export with Standard instead. Comparing the finished PDF matters because compression may affect different images in different ways.

What changes in Word for the web?
Word for the web has a separate PDF export workflow, including an option related to comments. Microsoft documents it in Export Word document as PDF. The picture-compression controls described above are desktop Office features, so use desktop Word if you need to adjust those settings.
