What should remain visible depends on why you are sharing the statement and who will receive it.
First, confirm what the recipient requires
Before editing the statement, ask whether redacted statements are accepted and exactly which fields must remain visible. Depending on the purpose, the recipient may need your name, address, statement dates, or a balance; hiding one of those could make the document unusable. If the submission is for a legal, tax, rental, mortgage, or financial application, check the organization’s current requirements rather than assuming a general checklist applies. Keep a written record of the request when the document is important.
The appropriate redactions can be purpose-specific. For example, UK HMRC supervision guidance describes a personal bank statement used to verify an address where transaction details were obscured and considered acceptable in that case: HMRC anti-money-laundering supervision guidance. That example does not establish what another recipient will accept.
Redact a statement safely, step by step
- Ask what must be shown. Confirm the purpose, required visible fields, whether transactions may be obscured, and the accepted file or paper format.
- Preserve the original. Save or photocopy the unedited statement, then make a separate working copy. The National Archives advises against redacting an original or master electronic record: The National Archives (UK), Redaction Toolkit.
- Mark only unnecessary information for removal. Depending on the request, this could include account or access numbers, unrelated transaction descriptions, or other personal details. Do not hide details the recipient requires without checking first.
- Apply a real redaction. For paper, use the photocopy method below. For a PDF, use a dedicated redaction feature that removes the underlying content, not a black shape or drawn overlay that merely covers it.
- Inspect the copy you will send. Review every page visually. For a PDF, check whether redacted text can still be selected, searched, or copied, and whether removing an overlay reveals it. Review the exported file as well. These checks can reveal common failures, but they do not certify a file as safe.
- Send only the necessary copy. Use the recipient’s requested secure channel, and keep the unredacted original securely.
Choose a paper or PDF method

For a printed statement
Work from a photocopy, not the original. Mark the information to conceal, then photocopy the marked copy again and inspect the new copy before sending. The National Archives explains its second-copy step this way: “The further photocopy is necessary as information redacted using marker pen can be read when held up to light.” This is the toolkit’s rationale for its paper workflow, not a guarantee about every paper or printing method.

For a PDF
Use software’s redaction function, then apply or save the redactions so they remove the content from the output. Do not assume that a black box, highlight, or shape tool permanently conceals what lies beneath it. Afterward, inspect the final exported PDF: verify the pages visually and try selecting, searching for, or copying the supposedly redacted text. Also check that the file you are about to send is the redacted export, not the original.

Not as a universal consumer rule. US Regulation P §1016.12 addresses specified disclosures by covered financial institutions to nonaffiliated third parties for certain telemarketing, direct-mail, or email marketing uses, with exceptions including some agent or service-provider disclosures. It does not tell an individual which fields to redact when submitting a statement: CFPB Regulation P, §1016.12.

Likewise, an IRS internal procedure instructs staff in a particular identity-theft processing workflow to mask routing and account numbers except for the last four digits. That instruction is limited to that workflow; it is not a general disclosure standard for consumers: IRS Internal Revenue Manual, identity-theft processing procedure.
HMRC guidance on automatic exchange of financial-account information concerns reporting in that regime, not ordinary sharing with a landlord or service provider. Its formal human-rights redaction process applies to information transmitted under those regimes: HMRC International Exchange of Information Manual.
