Then choose a quiet setup, make and review a short test recording, monitor the device during the conversation, and store the file securely afterward. A smartphone is enough for many audio-only interviews; video and remote interviews need additional checks.
1. Decide what the recording is for
First decide whether you need speech only, video, a transcript, or short clips for later use. That choice determines the equipment and checks you need. Also decide who will have access to the recording, where it will be stored, whether it may be shared, and when it should be deleted. Recordings can contain personal information, so collect only what the project needs.
Tell participants the purpose and intended use before asking for consent. Be clear about who may listen to or view the file and any confidentiality, withdrawal, or retention terms that apply to your project.
2. Prepare a flexible outline
Write down the topics you want to cover and a few open-ended prompts, rather than scripting every exchange. Questions that invite a person to explain an experience in their own words tend to leave room for useful detail. For example, ask “What happened next?” or “Can you give me an example?” rather than questions that can be answered only yes or no.

During the interview, listen closely and let the participant finish a thought. Follow up when a term is unclear or an answer would benefit from a specific example. The National Park Service describes respectful listening and trust as central to oral-history interviewing; the same habits help in many kinds of conversations.
3. Choose a recording setup

Choose a quiet, comfortable location where the participant can speak freely. Turn off avoidable noise sources and place the recorder where you can check it without making the conversation feel formal or intrusive. For video, also consider background and lighting. If you use an external microphone, the American Library Association’s guide suggests starting about one hand span—roughly 5 inches—from the speaker’s mouth; treat that as practical advice for that setup, not a universal microphone specification.

4. Get informed consent before recording
Explain what you will record, why you are recording it, who can use it, and how it will be stored or shared. Describe any relevant confidentiality or withdrawal terms, then obtain and preserve consent in a form appropriate to the project before you start recording.
Consent and recording rules vary by jurisdiction and context. GOV.UK’s Service Manual requires informed consent before notes or recordings in its user-research setting; that guidance does not establish a universal legal rule for every interview. Check the laws, organizational rules, and participant agreements that apply to your situation.

For a research call, Digital.gov offers this sample wording: “With your permission, I would like to record this call. The recording will only be used to help us figure out how to improve the site, and it will not be seen by anyone except those working on this project.” Adapt the explanation to your actual purpose, audience, access arrangements, and terms; this example is not universal legal consent language.
5. Set up and test the equipment
- Check power and space. Charge the phone, recorder, camera, or computer; confirm that there is enough storage for the planned recording.
- Check connections and controls. Confirm that any microphone or headphones are connected and that you know how to start, pause, and stop the recording.
- Make a short test recording. Speak at a normal conversational volume, then play it back through headphones if available.
- Listen for problems. Check that speech is intelligible and that avoidable noise, distortion, or handling sounds are not overwhelming the voices. Adjust the position or setup and test again if needed.
- For video or remote calls, test the full path. Check the camera image, microphone, software recording controls, connection, and playback—not just the live preview.
A test recording is more useful than assuming a microphone or app is working because its indicator light is on. Repeat the check after changing a connection, device, room, or recording method.

6. Start the recording clearly
Once consent is in place, start the recording and state only the identifying details your project needs, such as a project title, date, location, or participant identifier. If appropriate, record the participant confirming consent. Avoid announcing unnecessary personal or sensitive information into a file that may later be shared or transcribed.

Make sure the device is still recording, and check audio periodically without interrupting the flow. If there is a pause, glance at the recording indicator or confirm that levels are present. Keep your questions flexible: listen, ask follow-ups to clarify ambiguous terms, and invite examples when they would help. A recorder should document the conversation, not dictate its pace.

8. Close and manage the file
Thank the participant and explain any agreed follow-up. Transfer the recording and consent record to the project’s approved secure storage, limit access to people who need it, and use the material only as agreed. Review notes or recordings for confidential or identifying information before wider use. When secure transfer is confirmed, remove copies from personal devices if that is consistent with your project’s process.
Common recording problems and fixes
- The file is silent or missing. Check that recording actually started, the correct microphone was selected, and the device had power and storage. Make and play back another test before the interview resumes.
- Speech is hard to understand. Move the recorder closer to the speaker, reduce background noise, and check microphone connections. Test the revised position by recording and listening back.
- There is a hum, rustle, or handling noise. Turn off avoidable noise sources, stabilize the device, and avoid touching or moving the microphone while speaking.
- Remote audio or video breaks up. Check the connection and recording software, then verify the saved file by playing it back. If the recording is important, agree on a practical fallback with the participant before continuing.
- The participant is unsure about the recording. Pause rather than continuing to capture the conversation. Re-explain the purpose and terms, obtain clear consent before resuming, or continue without recording if that is appropriate.
