Reconcile UPI receipts by comparing three records for the same period: your business bank statement, the UPI settlement report from your acquiring bank or payment provider, and your sales or receipt log. A customer’s successful payment confirmation and the credit that reaches your business account are related records, but they are not necessarily the same entry or timing.
Why a customer’s UPI confirmation may not match a statement line
UPI is an instant payment system, but that does not establish a universal bank-statement description, settlement schedule, or one-credit-per-customer-payment format. NPCI says a merchant receives funds into a merchant pool bank account or merchant bank account according to the merchant’s agreement after the customer confirms payment. The destination and reporting path therefore depend on your acquiring arrangement. See NPCI’s UPI Frequently Asked Questions.
Merchants can accept UPI through QR, intent, application-based, or collect modes. The acceptance mode alone does not tell you how credits will appear in your statement or how your provider groups them. Use the settlement report and agreement for those details, rather than assuming a payer’s app screen will correspond to a specific statement narration.
Gather the three records for one period
- Business bank statement: Use the account specified in your merchant agreement as the destination for UPI funds.
- Acquiring bank or payment-provider settlement report: Obtain the report for the same date range. Ask the bank or provider which report applies if you do not know where to find it.
- Sales, invoice, or receipt log: Use your own record of the underlying business transactions, including amounts and available payment references.
NPCI’s settlement-process description concerns reconciliation by banks using NPCI reports and banks’ own reports. It is not a specification for a merchant-accessible NPCI report. Your merchant-facing report should come from the acquiring bank or provider. See NPCI’s Settlement Process.

Reconcile the records step by step
- Set the period. Choose the dates you are reconciling, then obtain the bank statement and settlement report covering that period. Keep the sales or receipt log for the same dates.
- Match statement credits to settlement entries. Compare dates and amounts, and use transaction references where the records provide them. Establish whether your arrangement reports individual payments or grouped settlements; do not expect every customer payment to appear as a separate bank credit unless your provider’s reporting confirms that format.
- Trace settlements to business activity. Match the settlement entries or batches to your sales, invoices, and receipts. Where references or amounts do not provide a clear match, leave the item unresolved and add it to an exception list instead of forcing it to fit.
- Investigate exceptions. For a missing, late, incomplete, or mismatched item, check the relevant provider report or status and contact your acquiring bank or payment provider. Give them the date, amount, transaction reference if available, and supporting records.
- Record a supported resolution. Document what explains the difference and retain the related statement, settlement report, sales record, and correspondence together under your normal recordkeeping process. Make an accounting adjustment only when the discrepancy has been explained and supported.
What to do when the figures do not match
Keep a short exception list with the affected date, amount, reference, records checked, and current status. This helps distinguish a payment awaiting investigation from a confirmed error and gives the provider specific details to trace. NPCI Support’s member-bank guidance for missing or late settlements and incomplete or mismatched reconciliation data asks for complete transaction details or logs. As a merchant, normally start with your acquiring bank or provider rather than assuming you can access NPCI’s bank support systems. See NPCI Support’s UPI FAQ.
Do not assume a universal settlement delay, fee, adjustment, statement narration, or dispute route. Those details depend on the acquiring arrangement and current provider procedures. If an intermediary handles your payments, check the agreement for who handles reconciliation, complaints, refunds, failed transactions, and disputes. RBI’s 17 September 2019 discussion paper states that agreements among payment gateways, aggregators, merchants, acquiring banks, and other stakeholders should clearly allocate these responsibilities; it is a discussion paper, not a standalone merchant procedure. Check your agreement for the reporting path
When starting with a new provider—or when the existing records are unclear—confirm these operational details in your agreement or directly with the bank or provider:

- Whether the report maps to individual payments, batches, or both.
- How to raise missing-credit, mismatch, refund, or dispute cases, and who is responsible for them.
- How to export or identify the report data needed to match your sales records.
Operational procedures can change. NPCI lists circulars by fiscal year, so consult your bank or provider for the current report names and process rather than relying on a procedure from another merchant or an older document. See NPCI’s UPI circulars.

Keep a usable audit trail
Store the statement, provider settlement report, related sales or receipt records, exception details, and resolution together in your ordinary business records. A spreadsheet, accounting system, or ledger can help organize the matching, but none replaces the bank statement or the acquiring provider’s settlement report. The reviewed official guidance does not establish one retention period for every merchant, so follow the requirements that apply to your business and the recordkeeping process you use.
