You cannot recall an Outlook email after it has been delivered to someone outside your organization. Microsoft’s recall feature is limited to eligible messages between Microsoft 365 work or school accounts in the same organization, and the recipient must not have opened the message. For an external mistake, send a clear correction or clarification; if the message contained sensitive information, follow your organization’s incident-reporting process.
That means you cannot retract a message sent to Gmail, Outlook.com, Hotmail, Yahoo Mail, a personal address, or a contact at another company. There is also no command-line command that can undo delivery. Once an external message has been delivered, your practical options are to send a correction, contact the recipient, or ask the recipient to delete it. Microsoft explains Outlook recall requirements and limitations.
Can Outlook recall an email sent outside your organization?
No. Outlook’s message recall is not a universal “unsend” function. It attempts to remove an unread copy from an eligible recipient mailbox in the same Microsoft 365 organization.

| Recipient or account | Can recall work? |
|---|---|
| Another employee in your Microsoft 365 organization | Possibly, if the message is still unread and other requirements are met |
| Gmail, Yahoo Mail, or another personal provider | No |
| Outlook.com, Hotmail, Live, or MSN account | No |
| Recipient at another company | No |
| External guest or partner using a separate organization | No |
Even within your organization, recall is not guaranteed. The recipient must not have opened the message. A delivered but unread message may be recallable; an opened message is not.

What to do after sending an external email
- Send a correction quickly. Use a clear subject such as Correction: Updated attachment or Please disregard my previous email.
- Tell the recipient exactly what to ignore. Identify the original subject, attachment, date, or incorrect detail. Avoid vague wording that creates more confusion.
- Contact the recipient directly for sensitive mistakes. For confidential information, call the person or use an established business channel and ask them to delete the message and any downloaded copies.
- Notify your organization if necessary. Accidental disclosure of personal, financial, customer, or confidential information may need to be reported to your IT, security, privacy, or compliance team. Follow your organization’s incident process.
- Secure anything exposed by the email. Revoke shared-file access, rotate a password or token, disable an exposed link, or replace an attachment in the source system. Deleting the email does not undo information the recipient already saw or downloaded.
Example correction message
Subject: Please disregard my previous email
Please disregard the email I sent at [time] with the subject “[original subject].” It contained an incorrect attachment. Please delete the message and any downloaded copy. The correct document is attached here.
Do not rely on a correction email to erase the first message. It only explains the mistake and provides the corrected information. Outlook’s Resend command can prepare an edited copy, but sending it creates another message rather than retrieving the original. See Microsoft’s instructions for resending an email.
How to recall an email when the recipient is in your organization
If the recipient uses a Microsoft 365 work or school account in the same organization, you can try the supported recall procedure. The exact menu depends on your version of Outlook. A recall request is not proof of success: check the Message Recall Report for whether it succeeded, is pending, or failed.

Classic Outlook for Windows
With the classic ribbon:
- Open Sent Items and double-click the message.
- Select Message → Actions → Recall This Message.
- Choose Delete unread copies of this message, or choose Delete unread copies and replace with a new message.
- Select OK.
- If you selected the replacement option, edit the message and select Send.
On the simplified ribbon, use Message → More commands (…) → point to Actions → Recall This Message.
Microsoft also lists this alternate path in some classic Outlook versions: open the message, then select File → Info → Resend or Recall → Recall This Message…. If available, select Tell me if recall succeeds or fails for each recipient.
Why an internal recall can still fail
- The recipient has already opened the message.
- The recipient is outside your Microsoft 365 organization.
- The account is not eligible. Microsoft says the classic Outlook command may be unavailable if the account is not Exchange, and its documented classic workflow does not support messages protected by Azure Information Protection.
- The recipient mailbox is temporarily unavailable or has already processed the message in a way that prevents removal.
Microsoft says recall requests are usually reported in less than 30 seconds, but retries may continue for up to 24 hours if a recipient mailbox is temporarily unavailable. Microsoft also says status updates can take up to five minutes for a few hundred recipients and up to 30 minutes for messages sent to tens of thousands of recipients. These are Microsoft’s stated product timings, not performance guarantees. See Microsoft’s recall guidance.
The replacement option does not edit an external copy. For eligible internal recipients, Outlook attempts to delete unread copies and then lets you send a new message. It cannot repair a copy that was already opened or delivered externally.

What Outlook.com users can use instead
Personal accounts ending in @outlook.com, @hotmail.com, @live.com, or @msn.com cannot recall already-sent messages. Their alternative is Undo send, which delays sending for up to 30 seconds when configured. It is not a way to retrieve a message after delivery.
- Open Outlook.com and select Settings.
- Go to Mail → Compose and reply.
- Under Undo send, choose a delay of up to 30 seconds.
- Select Save.
After sending, select Undo send in the prompt before the configured delay expires. Once the message is sent, the delay cannot retrieve it. Microsoft documents the Undo Send option and its limit.
How to prevent external-email mistakes
- Add important recipients last, after reviewing the message and attachments.
- Use Outlook’s delayed delivery or an organization-approved outbound mail rule for a short review window.
- Check the attachment name and recipient domain before selecting Send.
- Share sensitive files through a managed storage service with revocable permissions instead of attaching permanent copies.
- Use a draft or test email when sending to a new external contact.
These precautions provide a chance to stop a message before delivery. They do not create an external recall capability.

No. Microsoft requires both accounts to belong to the same Microsoft 365 organization, and the recipient must not have opened the message.
Does Outlook recall work if the recipient has not opened the email?
Only potentially, and only for an eligible internal recipient. An unread message sent outside your organization is still not recallable.
Why is Recall Message missing in Outlook?
The account may not be eligible, or the feature may not be available in your organization. Microsoft says the classic Outlook command may be unavailable when the account is not Exchange; protected messages can also be ineligible for its documented classic workflow.

Is there a command-line way to recall an Outlook email?
Microsoft documents recall through Outlook’s Recall Message or Recall This Message menus, not a command-line command.
How long do I have to use Outlook.com Undo Send?
Outlook.com can delay sending for up to 30 seconds when Undo Send is configured. Use the Undo prompt before that delay expires; afterward the message cannot be recalled.
The Bottom Line
Bottom line: You cannot recall an Outlook email after it has been sent outside your organization. Outlook recall is limited to eligible unread messages between Microsoft 365 work or school accounts in the same organization. For an external mistake, send a precise correction, contact the recipient if the information is sensitive, revoke exposed access, and involve your security or privacy team when required. Outlook.com’s Undo Send delay can stop a message before delivery, for up to 30 seconds when configured; it cannot retrieve a delivered email.
